1. INTRODUCTION

This user guide presents an overview of the software's features and gives step-by-step
instructions for completing tasks. Its main task is to describe the basic principles of the
application's operations that are required for the continued operations . It contains information
related to keeping the system in full working condition.

1.1. SYSTEM OVERVIEW

The Customer Service Software (CSS) is a window application used as a way of provision of
service package to customers. It is mainly designed for the customers' care process offering
simple solution for water service utilities, authorities who need to customize the service in a
modernized and technological manner.

1.2. ORGANIZATION OF THE MANNUAL

This manual is a generic user guide document for use by the software users. It provides guidance
and template material which is intended to assist the relevant management or technical staff,
whether client or supplier, in producing a successful usage. It is also useful background for
anyone involved in using the software, mainly describing the basic principles of the Customer
Service Software (CSS) that are required for the continued operations containing information
related to keeping the system in full working condition.

1.3. GLOSSARY

· CSS- Customer Service Software


· Cust- Customer
· Tab- One of several small, labeled, clickable areas of the top of a window that allows you to
switch between separate documents or web pages
· Bill- a printed or written statement or invoice of the money owed for services in which the
water supplier gives you which you will have to pay
· Account Period- The period of time covered by a company's works
· Disconnect customer- Block the customer from being using utilities provided by the sewage
authority with the customer being the registered on the system
· Terminate customer- Delete the customer from being registering on the system
· Consumption- The amount of water used up by a customer
· Tariff- Price paid by consumers for water
· Penalty- Punishment for customers for breaking the utilities rule
· Sewerage- The provision of drainage by sewers
· Contract Number- Unique contract identifier reference indicated by the utility for an
agreement with customer

2.1. HARDWARE AND SOFTWARE REQUIREMENTS

Hardware Requirements
Ø Processor : Pentium Dual Core, i3,i5,i7

Ø RAM : 2GB and above

Ø Hard Disk : 80GB and above

Software Requirements
Ø OS : Microsoft Window 7 and Above

2.2. RUN CSS

1. Click Start button then search for the CSS


2. Type CSS
3. Click the Customer Service Software(CSS)

3. USING TABS

Customer Service Software (CSS) has four tab menus, Welcome, Setup, Customer and Reports.
Under each, there are buttons that are categorized based on their functionality.
Ø Home Tab: This is the main page seen. It serves as a navigation to other pages on the
application.

Ø Setup Tab: used to setup data that are helps to save basic data for input forms for Customer
related information’s.

Ø Customer Tab: Used to register and update Customer and related information’s.

Ø Reports Tab : Used to generate different reports and summary of customer data.
Ø Summary Tab: Used to view summary of the activities done
Ø Bill Related Reports: Used to view reports related to bill

3.1. HOME

This is the starting screen after logging in. There is a basic summary and general formation about
customer service software (CSS). Some of the basic information on welcome tab windows are:
Current Working Period, Login Username and full name and other information gives you a basic
data in customer related information.

3.1.1. CHANGE PASSWORD

1. After Logging in to the system, Click on CHANGE PASSWORD from Login Information

2. Enter the Current Password


3. Enter the New Password
4. Confirm Password
5. Click on Change

3.2. SETUP

Setup tab helps you to setup information for the system. These are, Account Period, Options,
Fiscal Year Period and Refresh Data. After you maintain the data on setup, you will access the
data on customer registration and other forms from a combo box.

3.2.1. ACCOUNT PERIOD

The Bill system maintains information using government account period. That is, from July to
June based. You will register customer or updated customer information for a specific period.
The system allows you to change an account period by using Change Account period button.

To change your working account period follow the following steps:


1. Click on Setups
2. Under the dropdown list, click on Account Period
3. Select the Fiscal Year
4. Select the Fiscal Month
5. Tap the User ID
6. Click on Change button

3.2.2. OPTIONS

This gives an option to change customer's information like Customer Category, Meter Size,
Country Origin and so on.

To Change the Information, follow these steps


1. Click on Setup
2. Under the dropdown lists, Click on Option
3. Select your choices
4. Click Ok
5. If you want to Cancel the changes you made, click on Cancel

3.2.3. REFRESH DATA

This is used to refresh the Data you have been making change of.

To open the Refresh Data Tab,


1. Go to the Setups
2. From the dropdown lists, Click on Refresh Data
It then shows you a success message like this

3.3. CUSTOMER

Customer Tab is used to maintain customer related information. It also helps you make a change
or take action on customers (Register, Update, Changer Meter, Update Coordinate and others.)

3.3.1. REGISTER CUSTOMER

To Register new customer,


1. Click on Customer
2. From the Lists on Register Customer, click on Basic Data

3. Enter Date
4. Click on GO

5. Enter Customer's Information
Ø The system checks the data entry before saving. If it find an error when saving, it will
promote you a dialog box and show you an error message on the right side of the
window.

Ø If all the necessary of information is fulfilled, the system will register the entry into the
database.

Ø If you want to reset the input data and restart from the beginning for current input
customer data click Reset button. Click on Save Basic Data
6. If you want to clear, Click on Reset

3.3.2. DETAILS DATA

To go to the main Details data page,


1. Click on Customer
2. From the Lists on Register Customer, click on Details Data

3. Enter Date
4. Click on GO

5. Enter Customer's Information


Ø The system checks the data entry before saving. If it find an error when saving, it will
promote you a dialog box and show you an error message on the right side of the
window.

Ø If all the necessary of information is fulfill the system store a new customer data into the
database permanently.

Ø If you want to reset the input data and restart from the beginning for current input
customer data click Reset button. Click on Save Basic Data
6. If you want to clear, Click on Reset

3.3.3. IMPORT DATA

This is used for importing customer's data from an Excel or other data sources. If you have a
batch of customer data written in excel format, It is possible that you can import customer's data
here.
1. Click on Customer
2. From the Lists on Register Customer, click on Details Data

3. Enter Date
4. Click on Details Data

5. Select the Data Source


6. If you want to include Attitude and Longitude coordinate for basic data, tick on the box
7. Click on Import

3.3.4. UPDATE CUSTOMER

This is used for Making changes to Customer's information


1. Click on Customer
2. From the Lists on Modify, click on Update Customer

Click on Next

3.3.5. UPDATE COORDINATE

This is used for Making change to the Coordinate


1. Click on Customer
2. From the Lists on Modify, click on Update Coordinate

6. Tick on Include attitude and longitude
7. Tick on Select for XLS(x) spreadsheet format

9. If the lists are seen on the right side of the window select the list you want to change of

3.3.6. DELETE CUST RECORDS

This is used for deleting specific customer records


1. Click on Customer
2. From the Lists on Modify, click on Delete Cust Records

3. Click on Go

4. Enter one of the basic columns like Kebele, ketena


5. Select the sorting mechanism
6. Now the customers' list is visible on the right side of the window. Select the list you want
to delete
7. Click on Delete Record(s)

3.3.7. CHANGE ACTION

This is used to change customers' Status like Disconnect, Reconnect and Terminate

a) On the first page of Change Action, Put the Name or Contract No of the disconnected
customer you want to reconnect
