Business process outsourcing is a business practice in which an organization
contracts with an external service provider to perform an essential business task.
BPO has its roots in the manufacturing industry.The primary goal is to cut costs,
free up time, and focus on core aspects of the business. The two types of BPO are
front office and back office. Business process outsourcing is the act of outsourcing
some aspect of your business's operations to a third-party vendor or service
provider. A BPO call center is a team of outsourced agents who handle incoming
and outgoing customer calls for other businesses. There are different kinds of task
which should be handled by the Provider. Such as providing assistance to the
clients through different sources like Chat support, Email Support and Call
Support. In the current scenario this industry has grown and cover many areas and
creating thousands of jobs to the community. As a student of marketing we can
understand that the satisfaction of customer is how much important for a company
so that's why companies hired a third party to handle their work and fulfill the
customer needs to the best. There BPO companies helps them to retain their
existing customers and also encourage to attract new customers. There are
different types of services that offers by BPO such as Live chat support. Live chat
agents are the digital counterparts of salespeople standing along shop aisles,
asking customers if they need any help in selecting items, Analytics, Call center
services, Social media services. BPO offers several benefits, such as lower costs,
global expansion, and higher efficiency, while some of the drawbacks include
security issues, hidden costs, and overdependence.

Human Resource

The human resources department of an organization performs human resource


management, overseeing various aspects of employment, such as compliance with
labor law and employment standards, interviewing, administration of employee
benefits, organizing of employee files with the required documents for future
reference, and some aspects of recruitment and employee offboarding.

Training and Development


Training and development involves improving the effectiveness of organizations and
the individuals and teams within them. Training may be viewed as related to
immediate changes in organizational effectiveness via organized instruction, while
development is related to the progress of longer-term organizational and employee
goals.

Operations and Management


It is concerned with managing an entire production or service system which is the
process that converts inputs in the forms of raw materials, labor, consumers, and
energy into outputs in the form of goods and services for consumers.

Quality Assurance
Quality assurance comprises administrative and procedural activities implemented in
a quality system so that requirements and goals for a product, service or activity will
be fulfilled.

Sales and Marketing

A sales and marketing manager is responsible for researching and developing


marketing opportunities and planning and implementing new sales plans.

HR Department
Our team of qualified HR professionals ensures to manage employees not merely as
people but as an asset of TransData. We believe in keeping the TransData intact by
administering the vision of all employees as single working unit striving for a
common goal of making TransData prosper through hard work and dedication.

Finance Department

At our Finance department we have structured a team of competent personnel;


qualified in all the relevant financial functions. The team comprises of Chartered
Accountants, Financial Management Experts, Financial Analysts, Cost and
Management Accountants to look after every area of accounting and finance function
in the company.

Audit Department

In order to ensure financial and operational quality of process and adherence of


corporate control environment; different types of audits are conducted. The
operational audits are mainly conducted by GMP Compliance Committee which has
formulated an audit plan. On the other hand TransData has Internal Audit Department
which provides objective assurance and consulting activity to add value and improve
organization’s operations through disciplined approach to evaluate and improve the
effectiveness of governance policies. Both departments submit their findings to CEO
and prospective preventive

Briefly discuss about the 4P’s of the organization

The four Ps of marketing product, price, place, promotion are often referred to as
the marketing mix. These are the key elements involved in marketing a good or
service, and they interact significantly with each other. Considering all of these
elements is one way to approach a holistic marketing strategy.

Product

Product refers to a good or service that a company offers to customers.TransData is


offering its services at reasonable cost with high Quality. Ideally, a product should
fulfill an existing consumer demand. Our product may be so compelling that
consumers believe they need to have it and it creates a new demand.

Price

Price is the cost consumers pay for a product. TransData must link the price to the
product's real and perceived value, but they also must consider supply costs, seasonal
discounts, and competitors' prices.

Place

TransData makes decisions regarding place, they are trying to determine where they
sell a product and how to deliver the product to the market. Currently they are
offering their product through online channels.

Promotion

Promotion includes advertising, public relations, and promotional strategy. The goal
of TransData is to promoting a product is to reveal to consumers why they need it
and why they should pay a certain price for it.
• Human Resource Management

Employees recruitment and selection

TransData have a proper structure starting from posting an ad of a job to the selection
of right person for the right job.It includes conducting an official interview from
management side. They follow the process of hiring employees among the shortlisted
candidates and providing them a job in the organization.

Training & development

In order to make new employees more known to the company the TransData hired a
team of Trainers that provides training to the newly selected staff and tell them about
the working of the company. This process occurs just after the selection of candidates.

Performance management

There is a proper way of performance management in which HR department gets the


information about the working of employees and then appraise them accordingly. It
includes the promotion of their job and increment in the salary as well.

Compensation policy

Compensation includes payments like bonuses, profit sharing, overtime pay,


recognition rewards and sales commission. TransData also provides social services
benefits to the employees in the form of medical allowance, overtime, and bonuses.

• When evaluating services from a specific sector, some key ratios


are more informative than others.
• TransData is characterized by high capital expenditures, such as
the amount that must be spent on R&D to explore new ideas.
• Key financial ratios for BPO companies are those related to R&D

At TransData micro environment deals with the environment which is in direct


contact with company and affects the routine activities of business straight away. It
is a collection of forces or factors that are close to the organization and can influence
the performance as well as the day to day activities of the firm, Six components of
microenvironment are: 

Company, Marketing Intermediates, Suppliers, Competitors, General Public and the


Customers

Analysis of the macro environment of the organization


Macro environment refers to the major external and uncontrollable factors that
influence the decision making of an organization. A company does not operate alone
in its business environment, but operates in a larger context. It comprises of forces
that provide opportunities, but at the same time also pose threats to company.
Six components of macro environment
are Demographic, Economic, Natural, Technological, Political and Cultural environm
ents. 
Industry analysis

Industry analysis is a market assessment tool used by businesses and analysts to


understand the competitive dynamics of an industry. As mentioned earlier TransData
lies in BPO industry so there are many competitirs out there and competition is too
much high. The only company can survive in this condition by providing services at
Comparively reasonable costs and Quality work.

Forecasting demand

TransData consider this factor as an important element while planning about the
future goals. Its help them to determine the expected future position of the company.
Demand forecasting helps estimate the total sales and revenue for a future period of
time.

Customer analysis

Customer analysis helps TransData to gather information about the Clients. They use
different channels such as Fiver, Upwork, and other platforms to attract the
customers.

Competitor analysis

When it come to the competition then companies take serious note about the working
of their competitiors.TransData keeps the information about competitors' features,
market share, pricing, marketing, differentiators, strengths, weaknesses, geography,
culture and customer review.

STP
STP marketing focuses on commercial effectiveness, selecting the most valuable
segments for a business and then developing a marketing mix and product positioning
strategy for each segment. TransData targets their customer with specific services.

Marketing mix strategies

Marketing mix model helps TransData to quantifies the impact of marketing strategies
across traditional and digital media based on an organization's past media
investments. The paradigm shift in the Online marketing landscape has had a
significant impact on the promotional strategies of BPO companies..

SWOT Analysis

For BPO companies SWOT analysis helps to identifies and assesses the strengths,
weaknesses, opportunities and threats an organization faces. A SWOT analysis of the
TransData industry illustrates to upper management what the industry is excelling in,
what improvements need to be made, where growth is possible and what preemptive
measures need to be taken to protect shareholder or company value.

Strengths
The strength of this company is that they have comparative advantage over its
competitors because they have good organization structure and providing high
quality services on comparatively low costs. They also have advantage of good
search engine optimization at search engines.

Weaknesses
Weakness of this company is that the salary system is not as goos as their
competitors. Many employees seeking to switch the job just because of low salary
package and no fix date of salary.
Opportunities

The opportunity for this company is to get more and more projects by doing
online marketing. In the current scenaio many companies are still looking to hire a
BPO company and it is the moment to grab more business by making clever moves.

Threats
The strong part of competitors are actually the threat for a company. By keeping this
mind this company tries to overcome the drawbacks.

After the completion of SWOT analysis the following are the recommendations of the
company.

* Company should Reduce Unnecessary Investments.

* To get more advantage company should optimize Servers, Software, Networks,


Storage, Other Resources.

* They should Simplify & Standardize All Business Processes.

* They should make a better strategy to give salaries to staff on time.

* They should make a proper way of appraising employees such as annually or semi-
annually increment in salaries, It helps them to retain their employees.

* Government should regulate the BPO industry because these are the leading
industries of modern era. It helps the comminty by providing more jobs to local
residents.
