Stakeholder Engagement

BUS 5661: Strategic Project Management

Overhaul my organization’s human resources information system can be a very difficult task

and I have seen before that this can lead to disaster if not plan properly. A good communication

plan can provide information on how to keep the stakeholders engage with the team. A good

communication plan is really important and without it, the project can fail or not reach the goals

the project is set for. The project manager must work closely with the stakeholder. A good

project plan should have a well-planned communication strategy. A project stakeholders

management process will involve identifying the stakeholders, plan stakeholder management,

manage stakeholder engagement and control the stakeholder engagement.

Identify each of the stakeholder and their project information needs. Each of the

stakeholders is different and in their own right will require different information. The first step

is to identify each of these stakeholder needs, document, and the time frame that they need to

view the updates. We do need to keep in mind that a stakeholder is any person or group that

does have a vested interest in the success of the project and a key stakeholder is defined as a

person whose support is critical to the success of the project. If the key stakeholder were to

withdrawn the project would fail.

Another step in identifies each of the stakeholders we need to know exactly what information

they are looking for. The project manager needs to describe the information, the provider of the

information, when and how it is collected, and how the information is reported. Also, all the

stakeholders can be organized in groups so common information required can be identified. So

for example, in the overhaul of the company’s human resources information system, we have

different services such as payroll, benefits, employment opportunities, new hires, and training.

Each of these groups has different leaders and each of these leaders will require different things

to make sure that the project is at best with their responsibilities.

A stakeholder analysis is a method of systematically gathering and analyzing quantitative

and qualitative information to determine who interests should be taken into account throughout

the project(PMBOK, pg.250). The stakeholder analysis is a critical part of the project's

performance. Identify factors that will influence stakeholder engagement including culture,

policies, risks, communication channels, local/global trends, and resources. There are multiple

classification models used for stakeholders analysis such as power/interest grid, power/influence

grid/ influence/impact grid, and salience model (PMBOK, 2013).

One of the questions ask when working with stakeholders is how do organizations navigate

pressure from stakeholders and employees across different environments. Organizations have to

have a plan on how to engage the stakeholder strategies. A stakeholder engagement strategy will

help project managers plan how often he/she need to communicate with the different groups.

My first step in developing a strategy for engaging the listed stakeholder is to develop a

communication plan. This communication plan will help in understanding who the stakeholders

are. Identifying the stakeholders is a primary task because all the important decisions during the

definition and planning stages of the project are made by these stakeholders (Verzuh, pg. 98).

We can develop a checklist tool to help in identifying the stakeholders who are engaged in the

work of the project and those who are only affected by the project. Identifying the stakeholders

early, analyse their interst and importance and this will enable the project manager to able to

classify the stakeholder priority and their relationship with the project.

As I have said before that it is very important to actively engage stakeholders by

communicating with them. In our checklist tool, we need to understand how often each one of

these stakeholders needs to get a report on the state of the project. Each one of these

stakeholders has its requirements and we need to make sure as project managers. We should

understand and fulfill these requirements such as how and when we should communicate with

each of the stakeholders. Not all stakeholders will require the same report information so project

managers will need to know what information each of the stakeholders require.

To develop a strategy for the engagement for the listed stakeholder I have discussed the first

step is to identify the stakeholders and their priorities. The next step was to decide how to

communicate with these stakeholders. Stakeholders are the heart of a successful project and the

heart of successful project management involves satisfying the expectations of these stakeholders

(Verzuh, 2016). Engagement strategies associated with stakeholders' engagement and high

performance can lead to a successful project.
