1.0 PROPOSAL TITLE “Web-based Alumni Tracking System in MMC”

2.0 RATIONALE

Alumni are probably one of the most important constituents of a school institution. “They create
the university’s reputation, which relies in large part on how successful graduates are in the real world.
This process is self-feeding as well. If a school becomes well known for producing graduates that are
intelligent, innovative, and effective in their fields, then its reputation will grow.

Colleges track their graduates because they need them to continue to show interest. Not only
the college alumni a pool of potential individual donors, they are also a testament to the value of a
continued association with the school.” Hence, it is not easy to keep track of students once they
graduate. And with the steady increase in the number of college graduates, employment opportunities
become very competitive. Therefore, graduates find it hard to get jobs suitable with their skills and
acquired knowledge.

3.0 OBJECTIVE OF THE STUDY

General Objective. The main objective is to easily track the alumni and to help them find
jobs easily and also to make them updated about the school events and activities.

Specific Objectives:

1. To enable graduate students to register alumni via a website.


2. To track of how many achievements the alumni’s have and how the school helped them to
reach their achievements.
3. To enable administrators to key-in data regarding alumni activities and information.
4. The Data entered by alumni members are easily managed and intended for the data analysis
process.

5. To help graduate students find jobs easily.


6. To make a communication and strong bond between the graduate students and the school.

4.0 AREA OF INVESTIGATION

Scope:

The proposed system will have registration for alumni using their previous student id
number to identify if they are the graduates of the school and the proposed system will have a
achievements menu and it will show in the list of the proposed system also the alumni can post
an event for their fellow alumni to get together or make an event like parties, and also job
opportunities are include in the proposed system not only for the new graduates but also to the
old graduates to find job easily.

Delimitation:

It can help the institution in tracking and determining the number of graduates, tracking
graduates employment status, and evaluating grades, comments or suggestions, thus, helping
the school on improving its services, curriculum and activities. In this study security of data and
strict accessibility of the system is prioritized. For security and to avoid loss of important data,
the record of graduates has a reliable storage or database. The information about enrollment,
grades of students, subjects, and schedule of class are not covered by the study.

5.0 SIGNIFICANCE OF THE STUDY

The MMC, Administrator and the Alumni will benefit from this system.

MMC: Having this system will attract more students because of the events, announcements and
job opportunities after the graduation and those are posted in this proposed system.

Administrator: It will help the administrator or the employee who handled the records of
alumni’s to less paper works.

Alumni’s: Alumni will find job opportunities with this system and also to make the alumni
updated with the school activities and events.

6.0 SIMILARITY OF PREVIOUS STUDIES

This contains the related concept about the study. The contents will provide a number of
resources and references related to the research and to enhance or enrich the scientific

research that will provide the researcher with a solid ground and substantial information about
the research that is being done

Luciano, Alcantara and Renato (2020) Employability of graduates is one of the indicators
being assessed by Higher Education Institutions (HEIs) to find out
whether the quality of education they provide is suitable to the needs of the industry. This study
was conducted to develop an alumni tracing system designed to allow the University to
purposely trace its alumni using the internet. The system can be used as tool in finding out
important information about them like their employment status and in identifying which skills are
essentials in their present work. This information in return can help the HEI determines the
improvement that they need to do with the existing curriculum. It can also generate
comprehensive reports which are necessary for planning, program implementation and any
decision-making purposes.

Bista et al. (2021) Alumni tracking is a difficult task for any institution that has been
running for a long time. The Department of Electronics and Computer Engineering (DOECE),
Pulchowk Campus, IOE, has been offering undergraduate programs since 1994 A.D. and
masters programs since 2001 A.D. The existing information about the alumni of the department
is unmanaged and out of date. This paper presents a web-based system to integrate data of
alumni into a well-managed database, and to act as a portal where alumni can update their
current status and view online alumni yearbooks. This work aims to make the task of alumni
tracking easier and simpler for the department. The web-based portal has been accessed by
many alumni of the department starting from the earliest batches to update their information and
see the whereabouts of others.
