A Formal Letter is an official letter written for the purpose of requesting, ordering,
apologising, enquiring , etc. It is written in a formal language.
Parts of a Letter:
1. Address: You have to put your address on the top left hand corner of the page. Do
not write your name, only the house name, number and the locality, the city or town
and the pin code are to be written.
2. Date: The date is written below the address after leaving one line. The format of the
date is 8 th June 2021.
3. Salutation: In formal letters, the salutation is written as:
Dear Madam, or Dear Sir,
4. Heading of the letter: It is written below the salutation, without writing as subject,
the heading is directly written as ‘Leave application’ or ‘Complaint against stray dog
menace’ etc.
5. Body of the Letter: The following points must be kept in mind while writing the body
of the letter:
a. Read the question properly and plan the content carefully.
b. The body of the letter must be divided into paragraphs.
c. While writing a formal letter, stick to the point.
d. Be courteous even in letters of complaints. The language must be formal.
e. Be sincere and realistic in your writing.
6. Subscription or Leave taking: This part of the letter is also important as it requires
you to be courteous. Ex: Yours affectionately, Yours truly, Yours sincerely etc.
7. Signing Your name: The name of the writer comes below the subscription as given
under:
Full name is used with designation if required .
