Background:

Project management is the process if planning and controlling the development of a system within
a specified at a minimum cost with the right functionality. Project management is the use of
specific knowledge, skills, tools and techniques to deliver something of value to people.
The development of software for an improved business process, the construction of a
building, the relief effort after a natural disaster, the expansion of sales into a new
geographic market—these are all examples of projects.

Project Work Plan:

Prepare a list of all task in the work breakdown structure plus:


 Duration of task.
 Current task status.
 Task dependencies.
 Key milestone dates.

Tracking Progress:

 Gantt chart:

The Gantt chart was invented in the early 1900’s by Henry L. Gantt, an American
engineer and social scientist. The horizontal axis is (linear) time; each task is given its
own horizontal band where the calendar duration of the task is indicated by a box, line, or

other object with a variable horizontal dimension. Tasks are often grouped into
categories, and each category can be treated as a summary task whose duration spans all
the tasks within that category.

 A bar chart that shows the status and dependencies of tasks in a project.

 Used to track the status of each task and break tasks into smaller segments while a project is in
progress.

Pert Chart:

A PERT chart is a network diagram used in the Program Evaluation Review Technique
(PERT) to represent a project’s timeline. It allows project managers to estimate the
duration of projects based on the analysis of task sequences.
PERT charts are used by project managers to create realistic schedules by coordinating activities
and estimating their duration by assigning three time estimates for each (optimistic, most likely
and pessimistic). This makes PERT charts useful when planning projects where the duration of
activities is uncertain.

Risk Management:

Risk management is the practice of identifying, evaluating, and preventing or mitigating risks to
a project that have the potential to impact the desired outcomes. Project managers are typically
responsible for overseeing the risk management process throughout the duration of a given
project.
 Risk is a probability that some adverse circumstances will occur.
 Project risk which effect or resources.
 Product risk which affect the quality or performance of the software being developed.
 Business risk which effect the organization developing the software.

Risk Management Process:

To protect a project from unplanned risk, project managers typically follow an ongoing risk
management process which helps them identify, understand, and respond to threats and
opportunities. Before beginning this process, however, it’s important to fully understand your
organization’s practices and how you will conduct your risk work for that project. This plan then
will drive the following steps:

 Identify the risks that could potentially impact your project.


 Assign ownership of each identified risk to a team member who will be charged with
overseeing that threat or opportunity. Although some project managers prefer to assign
ownership after the risks have been analyzed and prioritized, taking this step early can be

beneficial. “Many times I assign an owner to the risk very early on because I want that person to
drive the analysis of the risk,” Emerson notes. 
 Analyze each risk to fully understand the driving factors involved and potential impacts.
Be sure to consider the breadth and depth of each threat at this stage in order to evaluate the
severity of each risk in the context of the overall project.
 Prioritize project risks according to urgency and the severity of the impact they could
cause. 
 Respond to your identified risks in accordance with your risk management approach,
either by taking steps to prevent the risk event from occurring or to minimize the impact if it
does occur. This step should include building the response as well as taking action.
 Monitor your risk management strategy and make changes as needed.

CASE Tools
 Microsoft Project is the clear market leader among desktop project management
application.

 Primavera Project Planner: multi-project, multi-user project, and resource planning and
scheduling.
 Sure Track Project Manager: resource planning and control for small to medium sized
project.

LAB TASK

Task: Consider the following scenario and Gantt chart and pert chart on MS
Project. Also the activity diagram of pert chart.

At a high level, the project team would spend15% of their time on gathering
requirement and analysis (1.5 month), 20% of their time no design (2
month),40% on coding(4 month) and unit testing, 20% on system and
integration testing (2 month). At the end of this cycle, the project may also
have 2 week user acceptance testing by marketing teams. In this approach,
the customer does not get to see the end product until the end of the project,
when it became too late to make significant changes.
