Business Communication Assignment - MEMO

The mid-level manager writes a memo to the CEO about considering a new computer network. The manager lists key factors that must be taken into account, including the cost of the new system, its accessibility, benefits, whether current technology can support it, and any disadvantages. The manager also notes trade-offs like trading an adequate current system for a better new one, and providing training to employees on the new system, which will cost money but train the workforce.

Business Communication Assignment

MEMO WRITING
Q1) Assume the role of a mid-level manager of a small company. The CEO,
Rachael Barker, wants your views on a new computer network she is
considering. The current network is adequate, but the new one will provide
much greater capabilities for managing files, word processing, and accessing
the database. Write a one-page memo in which you list (1) the key factors that
you believe must be taken into account in making the decision, and (2) the
trade-offs that must be considered.
To : CEO, Ms. Rachel Barker
From : Manit Kakkar, Mid-Level Manager
CC. : IT Head Department, Marketing Head Department, Finance Head Department.
Date : 9 November 2021
Subject: Modification of new computer network
After cautious consideration, I think it’s the time for the modification for a new and efficient
computer system considering good quality security functioning and better management for
database files.
I would like to draw your attention on the following key Factors on Considering the decision to
Implement the new system
 Cost - is the new system costly? Is it affordable? Will it cost the company a fortune?
 Accessibility - is the new system accessible in the locality of the company?
 Benefits - what would be the benefits of the new proposed system?
 Technology availability - will the computer network of the company be able to run the
proposed system?
 Disadvantages - what would be the disadvantages of the proposed network bring the
company?
 Manpower skills/training/knowledge - do our workforce/manpower have the skills,
information or knowledge regarding the proposed system? If not, should we give them
training seminars?
We will be trading off our adequate system for a much better system. Also, we will be giving
seminars/training programs for the workforce to guide them and give them information about the
proposed system, this will probably cost the company but in exchange, we will be training our
manpower. We will also be losing the system that is mastered already by staff, but in exchange
we will be given a new system and new flow but better productivity and better capabilities.

In respect of the above benefits, the new technology would be more efficient and must be
executed.
Thank you for your time. I am available for any clarifications or in case anything else is required
from my end.
