Chapter 6 - Daily Startup and

Shutdown
The test center must be prepared before the first candidates arrive to take their exams
each day. Your test center must also file and store materials properly and close
applications at the end of each day. This chapter contains the startup and shutdown
procedures your test center must follow on a daily basis.

Your test center's manager determines your work schedule and hours.
However, Pearson VUE recommends that test administrators arrive at work
at least 30 minutes before the first exam is to be delivered for the day. This
allows test administrators time to perform the tasks described in this
chapter and be available to candidates who arrive early.

Daily startup summary
The Daily Startup Checklist contains all startup procedures. Some of the procedures are
explained further in the remainder of this chapter, if more detail is necessary. The VSS
website contains a copy of the Daily Startup Checklist that you can download and print
to keep at the front desk for easy reference.

Checking RMA

If your test center is located on a United States federal or state facility or


military installation, do not refer to the information in this section. Instead,
see Checking RMA at PVTC Government Centers in Appendix C.

The Pearson VUE Application Wrapper automatically connects to the Pearson VUE hub
over the Internet at scheduled intervals, including overnight, to run the Remote
Maintenance Agent (RMA). For more information about the Pearson VUE Application
Wrapper and RMA, see Application Wrapper and Remote Maintenance Agent in chapter 3.

Each morning, it is important to verify that RMA ran properly overnight to ensure that
your test center has the latest schedule and exam information. The VSS website
provides an RMA Connection Log report that allows you to look at your test center's
RMA connection history for a specific time period.

Follow these steps to run the RMA Connection Log report and check the RMA status at
your test center:

1. Open Internet Explorer, and navigate to the VSS website:

http://vss.pearsonvue.com

2. On the sign-in page, type your username, password, and test center ID, and then
click Login.

For more information, see Signing in to the VSS website in chapter 12.

The home page of the VSS website opens, and the System Stats table indicates
whether your wrapper service is working properly.

3. Click RMA Connection Log in the System Stats table.

4. On the Connection Log Site Selector page, select the time period you want the
report to cover, and click Run Report.

The report opens and shows when RMA connected to the Pearson VUE hub
during the selected time range. Details about how to interpret the report are
available at the bottom of the page.

If the report shows that RMA is not running properly or that no


connections have taken place since midnight, ensure that the server is
powered on. If the server is powered on, contact VSS immediately for
assistance.

Checking the schedule on the VSS website
Check your test center's exam schedule frequently using Site Manager, Admissions
Manager, or the VSS website. This section describes how you can view the schedule on
the VSS website. You cannot change the information as it appears on the schedule, but
you can use it to check in advance how many exams your test center will be delivering
throughout the day, which exams candidates will be taking, whether candidates require
accommodations, and other schedule details. It is also important to check the schedule
for future days or weeks to be aware of when candidates are scheduled to test at your
test center.

The Exam Schedules report on the VSS website provides details about your test center's
schedule. The report documents exams scheduled at your test center for the current
day or selected time period. You can display the schedule in either list or chart form.

Follow these steps to view the Exam Schedules report on the VSS website:

1. Open Internet Explorer, and navigate to the VSS website:

http://vss.pearsonvue.com

2. On the sign-in page, enter your username, password, and test center ID, and click
Login.

For more information, see Signing in to the VSS website in chapter 12.

3. Click Reports at the top of the page.

4. On the Reports page, click Exam Schedules.

For more information about other reports available through the Reports page, see
Reports in chapter 12.

5. On the Exam Schedules page, select the date range you want the report to cover,
and then click Run Report.

You can select the Chart Form check box on the page if you want to
generate a color-coded chart that shows how each workstation at your
test center is scheduled throughout a specific day. More information
about the color-coded chart is provided later in this section.

The report shows information about each scheduled exam appointment that falls
within the selected time range. The following image is an example of how the
report looks.

The report contains the following details about each exam appointment:

Detail Description

Time The starting time of the exam.

Student The name of the candidate.

Exam The identification code and number for the exam.

Exam Title The title and length (in minutes) of the exam.

Deliverable If there is a check mark under Deliverable, the exam is available


for delivery. If the Deliverable check box does not have a check
mark, the exam still needs to be downloaded to your test center.
When you check your schedule each morning, make sure all exams
for the day are deliverable. If they are not, run RMA manually. If an
exam is still not deliverable after running RMA, contact VSS
immediately.
When a connection is made to the Pearson VUE hub, RMA transfers
exams from Pearson VUE to your test center. Exams are
transferred as close to the delivery date as possible to ensure that
your test center has the most current version of the exam that is
available. This means that the Deliverable check box may not be
checked for exams that will be delivered sometime in the future.
RMA will transfer the exam a day or so before it needs to be

delivered.

Delivered If there is a check mark under Delivered, the exam-appointment


time has passed, and the results have been uploaded to Pearson
VUE.

Accommodation If there is a check mark under Accommodation, the registration


has been granted accommodations. Click the check box to display
details about the accommodation. In most cases, the
accommodation is a time extension for a non-native English
speaker. In some cases, Pearson VUE contacts you in advance
about accommodations, such as when there is special equipment
required or there is a special task you need to perform during the
exam.
For more information about accommodations, see Handling
accommodations in the VUE Testing System in chapter 9. Refer to the
exam sponsor's client reference for information about the
accommodations offered by the exam sponsor.

Client Displays the name of the exam sponsor.

As explained earlier, when you select Chart Form when choosing the parameters
of the report, you can generate a color-coded chart that shows how each
workstation is scheduled throughout a specific day. The following image is an
example of the report in chart format.

Refer to the following guidelines when viewing the report in chart form:

● Time periods are divided into blocks that represent exam appointments
scheduled to take place on a particular workstation.

● The color of a block of time represents an event that has occurred or will
occur at that time. Each color has the following meanings:

o Bright green: The workstation is ready to deliver an exam.

o Lavender: An exam was delivered.

o Yellow: An exam is scheduled to be delivered.

o Turquoise: The workstation is reserved.

o Salmon: The system is unsure of how the workstation will be used during
the time period.

● You can click the check mark or the A next to an appointment time to view
information about the appointment in a separate window.

● After you generate a chart, you can generate another chart for a different day
by following one of these actions on the webpage:

o Enter a date in the Choose Different Date field, and then click Go.

o Click the calendar icon, select a date, and then click Go.

o Click Back to [previous date] to generate a chart for the previous day.

o Click Forward to [proceeding date] to generate a chart for the next day.

Checking the schedule in Admissions
Manager
Check your test center's exam schedule frequently using Site Manager, Admissions
Manager, or the VSS website. This section describes how you can view the schedule in
Admissions Manager. You cannot change the information as it appears on the schedule,
but you can use it to check in advance how many exams you will deliver throughout the
day, which exams candidates will take, whether candidates require accommodations,
and other schedule details. Also check the schedule for future days and weeks to be
aware of when candidates are scheduled to test at your test center.

The schedule window in Admissions Manager provides details about your test
center's schedule. For security reasons, never leave Admissions running
unattended. When you are done using the application or if you need to leave
your desk, be sure to close it.

When you take a break, go to lunch, end the work day, or leave your test
center for any period of time, be sure to log out of all applications. The test
administrator who is currently registering, proctoring, or administering
exams must log into the applications with his or her personal username and
password.

Follow these steps to view the schedule in Admissions Manager:

1. Click Start on the Windows taskbar, point to All Programs, VUE Applications, and
click Admissions Manager.

If your test center is a PVTC Select that is set up with Cloud Control
Technology, do not open the application directly from the Windows
taskbar. Instead, start a session on Cloud Control , and then double-click
the Admissions Manager icon from the Pearson Admin – Applications
window. For more information, see Opening the VUE applications at PVTC
Selects in appendix D.

An introductory screen appears, followed by the VUE Admissions Manager Login


window.

2. In the VUE Admissions Manager Login window, type your username and
password, and click OK.

Admissions Manager opens to the schedule window. (If the schedule window does
not open, click the schedule icon in the left pane.) The following image and table
explain the main features of the window.

Feature Description

Previous and Show you the schedule for previous and upcoming weeks.
Next

Appointment Click the numbered time slots on the schedule to see the
slots candidates scheduled during that time. The number indicates how
many candidates are scheduled to begin an exam during that one-
hour period.

Notes section The section at the bottom of the schedule window lists the exam
status, the exam, and the candidate's phone number.
When applicable, this section also lists information about
accommodations.
The Native Language Details information appears only when a
candidate's registration profile lists the candidate's name in
multiple languages. When applicable, this section displays the
name in non-Roman characters.

Sort Columns Allows you to sort the schedule to your preferred order for viewing
or printing. Sort in ascending or descending order based on one of
these criteria: time + candidate name, candidate name, exam
sponsor name, or the candidate's client ID number (CCID).

Admit and Allows you to perform the admission steps to admit the candidate
Revoke or revoke the admission. For more information, see Admitting the
Admission candidate in chapter 8.

Refresh Click Refresh Schedule at the bottom of the window to update the
Schedule status of the exams. This updates the schedule if RMA has run
since you opened Admissions Manager.

Print Prints the schedule for the selected date. To print a schedule,
select a date at the top of the schedule, and then click Print. When
the Print dialog box appears, select your options and click OK.
Schedule information is printed for each time period during the
selected day. If there are no exams scheduled for that day, a
message stating that appears on the printout.

If your test center is part of a site group, you may be permitted to view
and print schedules for other test centers in your site group. For more
information about site groups, see Working with other centers in your site
group in chapter 4.

After you select an appointment slot on the calendar, a list of exams scheduled
during the slot appears in a table format below the calendar. The table includes
the following details about each scheduled exam:

Detail Description

Time The time at which the candidate is scheduled to take an exam.

Candidate The name of the candidate.

Client The name of the exam sponsor offering the exam.

CCID The CCID column only contains the candidate's client ID number if
the exam sponsor is configured to populate the column with
information.

Exam Code The identification code or number assigned to the exam.

Length The length of the exam in minutes.

D The D represents "deliverable." If you see a checked box under this


column, the exam is available for delivery. An empty box means
the exam has not yet downloaded to your test center.
When checking your schedule each morning, make sure all exams

for the day are marked deliverable. If they are not, run RMA
manually. If an exam is still not deliverable after you run RMA, click
the exam on the list to see a status message at the bottom of the
window that explains why the exam is not available, and then call
VSS immediately.
When a connection is made to the Pearson VUE hub, RMA
transfers exams from Pearson VUE to your test center. Exams are
transferred as close to the delivery date as possible to ensure your
test center has the most current version of the exam that the exam
sponsor has available. This means that a box may not be checked
for exams that will be delivered sometime in the future. RMA will
transfer the exam a day or so before it needs to be delivered.

A The A represents "accommodations." If you see a box with an A


under this column, accommodations have been granted for the
exam. Click the exam on the list to view a description of the
accommodation in the Notes section at the bottom of the window.
In most cases, the accommodation is a time extension for a non-
native English speaker. In some cases, Pearson VUE contacts you in
advance about accommodations, such as when there is special
equipment required or there is a special task you need to perform
during the exam.
For more information about accommodations, see Handling
accommodations in the VUE Testing System in chapter 9. See the
exam sponsor's client reference for information about the
accommodations offered by the exam sponsor.

You can click an exam on the list to see a status message at the bottom of the
window. If an exam has notes supplied by the exam sponsor, those notes appear
below the status message in your test center's preferred language. If the notes
have not been translated into your test center's preferred language, they are
written in English.

These are the most common status messages:

Status Meaning

Prepared The exam is ready for delivery. The appointment has been
processed by RMA, and the necessary files are available, so the
exam can be delivered.

Appointment A future appointment that has not yet been processed by RMA,
Scheduled usually because it is more than seven days in the future.

Checking the schedule in Site Manager
It is important to check your test center's exam schedule frequently using Site Manager,
Admissions Manager, or the VSS website. This section describes how you can view the
schedule in Site Manager. You cannot change the information as it appears on the
schedule, but you can use it to check in advance how many exams your test center will
be delivering throughout the day, which exams candidates will be taking, whether
candidates require accommodations, and other schedule details. It is also important to
check the schedule for future days or weeks to be aware of when candidates are
scheduled to test at your test center.

The Calendar and Roster tabs in the Availability category in Site Manager provide
details about your test center's schedule. The next few sections provide more
information about how to use and understand the details in each tab.

Using the calendar

When you click on the Calendar tab in the Availability category, a calendar appears
and shows when appointments are scheduled at your test center. The following image
and table explain the main features of the Calendar tab.

Feature Description

Date drop-down In the upper-left corner is a drop-down list that allows you to change
list the calendar to another week. By default, the current week appears on
the calendar. For more information, see Changing the calendar view.

Key The key in the upper-right corner of the screen helps you understand
the color coding on the calendar.
 Gray indicates times the test center is closed.
 White indicates times the test center is open.
 Blue with white indicates times when exams are scheduled at
your test center. For example, in the previous image there is one
exam scheduled on Tuesday at 3:00 pm.

Blue boxes with The space immediately below each day on the calendar indicates how
a number many exams are scheduled at the test center on that day. For example,
in the previous image there is one exam scheduled on Tuesday. If there
are no exams scheduled on a day, the space is white.

Changing the calendar view

You can view your test center's schedule in the Calendar tab by day, week, or month.
To change the calendar view, click the drop-down list located above the calendar.

A small calendar opens, showing the month and view settings currently shown on the
calendar.

By default, the current week, highlighted in blue, is shown on the calendar. To view the
calendar by day, week, or month, select the tabs that are under the calendar.

After you select a view, you can pick which day(s) you want to see, depending on which
view you selected. The days highlight in blue after you select them. For example, if you
click the Month tab, all the days in the month are highlighted in blue.

After you select the view and day(s) you want to see, click Apply. The Calendar tab now
displays the settings you selected.

You can also click Apply to refresh the schedule on the Calendar tab if RMA
has run since you opened Site Manager.

Using the roster

The Roster tab in the Availability category displays a list of candidates who are
scheduled for an exam at your test center on a specific day.

By default, the roster displays all candidates who are scheduled for an exam on the
current day in a table format. You can view the roster for another day by selecting the
day from the drop-down list located at the left side of the screen. You can view the
roster up to two weeks before the current date or two weeks after the current date.

Viewing the roster list


The Roster tab includes the following details about each candidate:

Detail Description

Start Time The time at which the candidate is scheduled to begin the exam.

First/Middle The first and middle name of the candidate.

Names

Last Name The last name of the candidate.

Client The name of the exam sponsor offering the exam.

Exam Code The identification code or number assigned to the exam.

Length The length of the exam in minutes.

Phone Number The candidate's phone number.

Accommodations The number of approved accommodations for the exam.


For more information about accommodations, see Handling
accommodations in the VUE Testing System in chapter 9. See the exam
sponsor's client reference for information about the accommodations
offered by the exam sponsor.

By default, the roster is organized by Start Time and Last Name. For more information
about how to sort the roster, see Customizing table content in chapter 4.

You can view more information about a candidate in the Roster tab by accessing the
detailed view pane. For more information, see Accessing the detailed view pane in chapter
4.

Filtering and searching in the roster


You can filter the list in the Roster tab to show only candidates who are scheduled for
certain exams and times. This can be done by using the drop-down lists indicated in the
following image. Only clients and times with candidates scheduled at your test center
on the specified day can be selected from the drop-down lists. After you select a client
and time, click Filter to generate the list on the Roster tab.

Next to the Filter button is the Search field, which allows you to search for candidates
in the roster by first, middle, or last name.

Other roster features


Above the search feature are the following three buttons:

● Refresh: Refreshes the roster so it shows new appointments and updated


appointment times.

● Details: Allows you to view more details about a candidate. First, select the
candidate, and then click Details. The Appointment Details window opens and
provides more information about the appointment, such as registration ID, status,
exam name, list of accommodations, and delivery assistance.

● Print: Allows you to print the roster for the selected day. Site Manager will print the
list in the order you have sorted the list on the screen.

Testing the admissions data equipment
There is an application on the administration workstation called Test Admissions
Equipment, which allows you to verify that the admissions data equipment is working
properly. Test each device at least once per week and on the day you know you will be
using the device.

Follow these steps to perform the tests:

1. Click Start on the Windows taskbar, point to All Programs, VUE Applications,
VUE Support Tools, and click Test Admissions Equipment.

If your test center is a PVTC Select that is set up with Cloud Control
Technology, do not open the application directly from the Windows
taskbar. Instead, start a session on Cloud Control, and then double-click
the Test Admissions Equipment icon from the Pearson Admin –
Applications window. For more information, see Opening the VUE
applications at PVTC Selects in appendix D.

The Test Admissions Equipment window appears.

2. Select an admissions data type from the drop-down list, and then click Test.

Different windows will appear depending on which type of equipment you are
testing. Follow the instructions on the screen to test the equipment. See chapter 8
for more information about how to collect admissions data with each type of
equipment.

3. After you have tested all the equipment, click the red button at the corner of the
window to close the application.

If you are unable to capture admissions data using the equipment, contact
VSS immediately to report the problem. If you are instructed to use a
backup procedure, see chapter 8 for more information.

Copying backup signature sheets

Make sure that your test center has enough copies of the Backup Signature Sheet. You
can obtain the backup sheet from the VSS website on the Downloads page. For more
information on how to use a backup sheet, see Backup signature process in chapter 8.

Verifying recording equipment
Some test centers are required to use Chateau XP, EZWatch PRO, or the Eagle Eye
Security Device to record audio and video from the testing room.

Not all test centers are required to use the audio and video equipment
described in this section. Pearson VUE will notify you if you are required to
use specific audio and video equipment.

These applications and hardware allow you to listen to testing room audio and view
testing room video from the administration workstation while recording occurs. On
days when audio and video recording is required for scheduled exams, you must
confirm that the Chateau XP, EZWatch PRO, or the Eagle Eye Security Device is working
properly.

If your test center uses Chateau XP or EZWatch PRO, follow the steps in the next few
sections to launch either application and ensure that the audio and video recording
equipment is working properly.

If your test center uses the Eagle Eye Security Device, follow these instructions:

At the beginning of the testing day, turn on the monitor for the Eagle Eye Security
Device. If the monitor does not present you with video and audio feedback when turned
on, make sure that all wires connecting the monitor, Eagle Eye Security Device, and
recording equipment are properly connected and running. If the problem persists after
you confirm that all of the hardware is properly wired and running, contact VSS
immediately.

At the end of the testing day, turn off the monitor, but do not turn off the Eagle Eye
Security Device.

After it is installed, the Eagle Eye Security Device should never be turned off.

Starting Chateau XP

If your test center uses Chateau XP for video and audio recording, follow these steps to
start Chateau XP:

1. At the administration workstation, double-click the Chateau XP icon on the


desktop.

The Chateau XP console opens.

2. Press the Esc key on the keyboard.

3. Enter the username and password your test center uses to access Chateau XP.

The default username and password is user (all lowercase).

4. Click the arrow button at the bottom of the screen to display more buttons.

5. Click Link at the bottom of the screen.

The Remote access window appears.

6. If the Status column does not state Con, double-click the name of the server.

7. Click OK to close the Remote access window.

8. On the Chateau XP console, click the round button next to the Link button.

The remote control pane appears and lists your test center's digital video recorder
in the pane.

9. Double-click your test center's digital video recorder entry in the remote control
pane, and then click Rec.

The Remote channel select window appears.

10. At the bottom of the Remote channel select window, select the All monitor
only check box, and then click OK.

Always keep the monitor turned on. If the monitor is not on, the audio and video
cannot record. Be sure that you can hear audio from the testing room at the
administration workstation and see video of the testing room on the monitor.

Your test center is now prepared to play and record the output from the
microphone and digital video camera(s) in the testing room. This will occur
automatically during the required time period, and you do not need to do
anything else during the day.

If you are not able to hear audio from the testing room or see the video, contact
VSS immediately.

Verifying Chateau XP is recording

If your test center uses Chateau XP for video and audio recording, you can view
recorded videos to verify that Chateau XP is recording your testing sessions.

Follow these steps to view recorded videos in Chateau XP:

1. Go to the DVR and make sure that the Chateau XP console is open on the monitor.

2. On the lower-right side of the screen, click Play, and then click Files Mode.

3. Click the plus sign next to ChateauXP Host to expand the file list.

4. Click the plus sign next to a folder to expand the file list further.

5. Continue to expand the folder until you get to the Video folder.

When you select the Video folder, a list of recordings appears.

6. Double-click a recording from the list that has a large file length.

A video window displays, allowing you to view the recorded video.

6. Click Play and view the clip. You do not need to watch the entire clip.

7. Close the video window after you have viewed the clip.

8. On the lower-left side of the Chateau XP console, click the button with an up arrow
to return to the monitor.

Starting EZWatch PRO

If your test center uses EZWatch PRO for video and audio recording, follow these steps
to start EZWatch PRO:

1. Turn on the DVR. EZWatch PRO automatically launches and starts displaying
cameras on the monitor.

If the application launches in full screen view, press the escape key to return to
the EZWatch PRO console, as shown in the following image.

At the bottom of the console, there are buttons that you can select to display
different camera grid layouts on the screen. Refer to the following table for more
information:

2. Click the camera grid button that allows you to display all of the cameras you have
in operation at your test center.

3. Ensure the speakers at the administration workstation are turned on.

4. Have someone go into the testing room and speak or make a loud noise to ensure
sound comes through the speakers at the administration workstation.

To exit EZWatch PRO, click the red button on the lower left-side of the
console. To minimize EZWatch PRO, click the gray button with an
underscore (next to the red button).

Verifying that EZWatch is recording

If your test center uses EZWatch PRO for video and audio recording, you can verify that
EZWatch PRO is recording your testing sessions by going to the DVR and making sure
the EZWatch PRO console is open. You should see a normal view as you would while
monitoring candidates.

Playback steps for EZWatch PRO

If your test center uses EZWatch PRO for video and audio recording, follow these steps
to playback recordings:

1. In the main console, click Playback.

2. In the playback pane, click Date Time.

3. In the time table, highlight the part of the graph that has colored bars (these bars
represent recorded files), and then click OK to go back to the playback console.

4. Watch the video and verify that the video has the following qualities:

● Clear and sharp

● Not too dark or light

● Shows no obstructions in the way

● Noise is heard in the testing room

If you notice any conditions affecting a good recording, contact your Pearson VUE
point of contact or VSS as soon as possible to get the problem resolved.

Daily shutdown summary
At the end of the testing day, compile and file away any special forms or files that were
used during the day. These include any used backup sheets, log sheets, or web camera
files that were collected during admissions.

The Daily Shutdown Checklist contains all shutdown procedures. Some of the procedures
are explained further in the remainder of this chapter if more detail is necessary. The
VSS website contains a copy of the Daily Shutdown Checklist that you can download and
print to keep at the front desk for easy reference.

Running RMA

RMA is responsible for transferring information between your test center and the
Pearson VUE system. This includes transferring the results of exams that were taken at
your test center. Test centers are contractually obligated to return results to Pearson
VUE on the same day exams are delivered. Until all results are returned, your test center
may be suspended and payments to your test center for exam delivery and registration
may be delayed.

Therefore, please make sure that RMA is run daily and particularly at the end of each
day on which testing occurs. You can run a report on the VSS website to check when
RMA was last run; see Checking RMA in this chapter. If the report shows that RMA has
not run yet, run RMA manually to make sure that all results for the day are transferred
to Pearson VUE.

Refer to chapter 3 for more information about RMA and the Pearson VUE Application
Wrapper service. Also see Running RMA manually in chapter 3 for more information on
how to run RMA manually.

If your test center is located on a United States federal or state facility or a


military installation, do not refer to the information in chapter 3. Instead,
refer to appendix C.

Handling log sheets and rules agreements

At the end of each testing day, compile and file away the following documents. Copies
of these documents are available on the VSS website in the Downloads page.

Document Instructions

Test center log sheets At the top of the log sheet, you will see “Page___of___”. Count the
total number of log sheets used that day, and write that number in

the last blank on each page. Write the page number in the first
blank on each page if it has not been filled in yet.

Rules agreements Compile all rules agreements, such as the Pearson VUE Candidate
Rules Agreement and any specific exam sponsor candidate rules
agreements signed by candidates.

File each day's set of documents by date in a secure place. Your test center
must keep these forms on file for 12 months in case they need to be
referenced because of a security issue or other type of issue.

Filing and storing backup admissions data information

In the event that one or more of the admissions data capture equipment is not working,
you may be required to capture backup admissions data. Pearson VUE or an exam
sponsor may request a copy of the original backup files obtained during admissions in
order to verify a candidate's identity. Therefore, all backup admissions data sheets and
files must be stored for 30 days. You may file the forms at the front desk, and any
electronic files should be saved on the administration workstation by following the
backup admissions data processes in chapter 8.

After 30 days, all backup sheets must be destroyed and all backup admissions
data electronic files must be deleted.

Checking inventory

Your test center must keep inventory of all exam sponsor supplements and exhibits and
any test center supplies needed to deliver exams. Complete the following tasks at the
end of each day:

● Verify supplements and exhibits against your test center's inventory.

● Check inventory of other test center supplies, such as erasable noteboards and pens.

● Put away all confidential exam sponsor materials, such as exam exhibits, in a secure
area. See the exam sponsor's client reference for details about requirements.

● For more information on how to obtain certain test center materials, see Ordering
materials from Pearson VUE in chapter 11.

Creating and updating cases

Make sure that cases have been created properly for all incidents that occurred during
the day, even if VSS or someone else at Pearson VUE created the case. For more
information about cases, see chapter 11.

Submitting Site Visitor Log Sheets

This section is applicable at PVTC Selects only. For more information about
the differences between a PVTC and PVTC Select, see About the test center
network in chapter 1. For more information about handling site visitors and
accommodations personnel at a PVTC Select, see Site visitor security in
chapter 5.

All assistive personnel and other visitors at your test center are required to sign a Site
Visitor Log Sheet. Follow these steps to scan the log sheets and attach them to a case:

1. Verify that the Site Visitor Log Sheet contains your test center number, the date,
the test administrator's name, and the test administrator's signature.

2. Scan the Site Visitor Log Sheet, and save the scanned file(s) in .png or .jpeg format.

3. Create a case, selecting these options:

Admissions/Check-in

Site visitor

Select the appropriate type of site visitor from the drop-down list, attach the
electronic file of the Site Visitor Log Sheet to the case, and submit it.

4. Securely file the paper log sheets according to date.

Retain the paper log sheets for 30 days. After 30 days, shred the paper files, and
delete the scan files.
