1. What actions will you take to implement these improvements?

Ans: Improving Performance of the Supply Chain, some strategy or things need to implement.
These are: -
• Involvement in assessment team: In aby disaster response, an initial assessment conducted
by program department. But most of the time they do not include supply chain professional
in the assessment team. For a successful relief operation, it is very important to have a
proper assessment. So, for a proper assessment, I will talk with the management for making
a SoP for assessment where it will be mandatory to have a supply chain professional in the
team.
• Communication: For a better supply chain process, it is very important to have strong
communication with different people within the organization and other different
humanitarian organization. I will make proper a plan to increase the communication skill of
supply chain persons within the team. Also, will regular follow up with other organization
and departments to link among the people responsible for operation.
• Analyze the supply chain strategy: I must analyze the supply chain strategy of my
organization for improving supply chain performance. I need to make it sure that our supply
chain strategy is suitable for our operation. For improving supply chain performance, it is
important to have a suitable strategy for operation. I will analyze the strategy and take
action to make suitable for operation.
• Embrace Technology: Information technology is one of the most important things to
improve performance in supply chain. I will take action to use technology to improve the
supply chain. The right technology like, forklift, Automatic picking machine, warehouse
management systems can make supply chain effective, successful, and accessible to all. Also
using of ERP Software for whole supply chain process is helps to fulfil the demand on a
timely manner. I will establish an ERP System for supply chain to Gear up all the process.
• Conduct training for Skill Development: For supply chain professional and other
department staff, it is very important to know the use of process and procedure of supply
chain properly. Also, they should have knowledge about supply chain process and
procedure. I will conduct training course for supply chain professional and others
department staff for development their skill and knowledge about the process and
procedures of supply process.
• Collaborating with association: For a better and successful operation, there is no alternative
to keep up to date with the changes in logistics and supply chain. I will involve with an
association like Logistics Cluster for keeping up to date with the changes. Also, it will
increase the skill and knowledge of supply professional.
2. How will you monitor the effect of these actions to see if they are improving the performance
of the supply chain?
Ans: There are some ways to monitor the effect of actions to see improving the performance of
the supply chain. It is important to monitor the effects for improving the performance.
Otherwise, it will not be easy to reach the goal. There will some mistakes to implement those
action and then need to improve the way and evaluate the process. By monitoring the effects, I
can easily evaluate the implementation process. After involving in the assessment team, it is
very important to follow how supply chain professional is working with the people from
program departments. It is also needed to see that how supply plans work for initial assessment.
After evaluation of assessment report, it is easy to find that implemented actions are working or
not. Then, I will monitor how communication is working within the organization and with
 different organization. If the supply chain running properly than before with communication,
then performance of the supply chain will improve.
By evaluating the peoples understanding about process and procedures about supply chain we
could easily monitor that implementation of actions for improving performance of the supply
chain.
Monitoring the warehousing systems and evaluating the work in ERP, it is possible to find out
that performance of the supply chain improving or not.
At the end, follow up the task is most important to implement the actions for improving
performance.
3. What is ‘segregation of duties? Does it need to be applied to any aspects of the supply chain?
Ans: Segregation of duties means dividing the responsibilities or task among appropriate person
or department within an organization. Then no one can control the whole process from
beginning to end. In supply chain process, duties and responsibilities are segregated to different
person and department. Example, in a humanitarian organization someone from program
department or budget holder raise the Purchase Requisition. Then procurement person is
responsible to procure it, warehouse person’s duties to receive it and keep it in warehouse.
Also, they are responsible for dispatch those things. In the end, finance department is
responsible to pay it to supplier. This whole process done by several responsible people or
department. This is called segregation of duties. Duties and responsibilities are segregated to
the people as per their job responsibilities.
In Supply Chain process, it is essential to apply segregation of duties for every aspect. It will take
time if all the process done by a single person. Even, there is a high chance of corruption or
fraud in supply chain process. Segregation of duties help an organization to complete the suppl
chain process within the timeframe and in fair way.
4. What are ‘Standard Operating Procedures (SOPs)’? How can you use SOPs to help improve
supply chain performance? How can they help with segregation of duties?
Ans: Standard Operating Procedures or SOPs are link between organization policy and
procedure which need to perform for every routine activity. For success of an organization, SOPs
are essential. Organization can be benefited by using SOPs in every step of their work. It helps to
reduce mistakes and increase the efficiencies of staff.
Using of SOPs to improve Supply Chain Performance: SOPs for supply chain plays vital role to
improve the performance. Different SOP for different step helps to achieve the goal of supply
chain. A good SOP for disaster assessment can improve the performance of supply chain. When
there will be a SOP for Disaster response, supply chain department will prepare themselves for
any emergency relief operation. That time operation will have less error and big success.
Communication SOP will help supply chain related peoples to communicate with other
department and other different organization in proper and effective way. I will use this SOP to
communicate within the organization and outside the organization in supply chain process. It
will improve performance of the supply chain. Like this, Information Technology SOP, supplier
SOP, Warehousing SOP I will use for every step of supply chain process.
SOPs help to with segregation of duties in supply chain process. In a SOP, there will definition
who will be responsible for different task and how they can complete the task. Like, in
warehousing SOP there will be description of responsibilities and the way of completion of
duties. From receiving goods to deliver it to the beneficiary everything is in SOP. So, it is helps to
segregate duties to responsible person.
Also, it is helps procurement related person to do his duties as per policy of the organization. If
there are SOPs for every department, then it helps to segregate the duties.
