The Davao City University of the Philippine Sport Complex
The Davao City – University of the Philippines Sport Complex is a sport facility
complex located in Mintal, Davao City Philippines is a Olympic-standard track
and field and football/baseball stadium. And the Davao City Sport Complex has
the 29 hectire campus with the capacity of 30,000 people and it can
accommodate the one-week celebration of the Seven Festivals in the Philippines.

temperature screening and other symptom checking in a way that is safe and

Criteria for judging: Symbolism (20%– The entry should project and
symbolize the meaning of Kadayawan. Design (40%)– This pertains to the
concept and artistic merits of the design taking into consideration Balance,
Proportion, Emphasis and Repetition, Harmony and Rhythm as primarily
reflected in shapes/images and colors. Execution (40%)– How the design is
realized and how the float is made are the focus in this criterion. For
considerations are quality of craftsmanship, stability of structure and decoration,
choice and creative use of materials.

This EVENT VENUE CONTRACT dated November 10, 2020, is made by and
between Danilo L, Conception of University of Davao Sports Complex and
Nicole Apolinar of Event manager of We Got You. In consideration of the mutual
promises and covenants in this Contract, of which the receipt and suciency are
hereby acknowledged, the parties further agree to the terms as follows:

Police typically are responsible for maintaining public order and safety, enforcing
the law, and preventing, detecting, and investigating criminal activities.
In the Event they usually policing principles of preventing crime, keeping the
peace and helping reassuring the event is safe.
Government
Government authorities play a key role in ensuring community events are
organized, supported and facilitated. The government also help through providing
venues, funding, skilled labor or access to resources, or by taking on event
management responsibilities to deliver a public event.
Environment
Considering environment for choosing a good location or potential venue that will
help attendees to feel comfortable and safe.

There should be a fine balance between implementing safety guidelines, while
also ensuring participants benefit from the event.
Even with the general community quarantine (GCQ) underway, the health and

Access – is there sufficient access to the event site/venue for pedestrians and
vehicles? Are people with disabilities, wheelchairs or pushchairs able to access
the venue? Are there enough emergency exits?
Hazards – does the site have any existing hazards, such as overhead electric
power lines or buried services that your structures could interfere with? Is it prone
to flooding or high winds? Consider ground conditions and topography when
positioning any temporary structures.
Facilities – how far away are the nearest hospital and fire station? What are the
public transport links like? Consider the infrastructure you need for your event.

staff safe at any event. A good security team will also help reduce the risk of
damage to the venue, keeping those all-important costs down. Security can
prevent such intruders and ensure only your invited guests gain access to your
event.
Building relationships with companies before asking for their support will help you
successfully sponsor your event. Going to the same events decision-makers
attend, interacting with them, or attending their events are great alternatives to
start building connections with these companies. Don’t forget that your goal is to
create a relationship that isn’t an “ask” from the get-go.
The more information you have on each company, the better you’ll be at
communicating the event value in your pitch, which is essential to secure
partnerships.
COVID-19 has had a tremendous impact on events all around the world, but with
the licensing and distribution of vaccines, there is a light at the end of the tunnel.
As you begin to prepare a festival, you must be aware of what local public health
officials require in terms of health and safety regulations. As you arrange your
event, keep an open line of communication with the relevant health officials and
consider going above and beyond minimal health regulations to protect the safety
of your staff, volunteers, guests, and the general public.
Now that you've set your budget, it's time to start looking for a festival location or
venue. A festival venue can actually tell how participants and performers
perceive the festival, and it is therefore important that you choose a place that is
demographically accessible to the target and that suits the experience that you
want to offer.
Nothing beats the satisfaction of seeing all of your festival planning and
preparation pay off. However, there are always last-minute issues that arise in
the lead-up to and on the day of the event. You should also try to plan for those
last-minute situations. you should always have a Plan A, Plan B, Plan C and so
on.
VIII- Consider brief information on how possible risks will be managed this

hindrance of the event. Ways on how to address issues shall be clear to the
client.
As a result of the COVID-19 epidemic, we've all had to evolve and adapt as an
industry, overcoming several unanticipated hurdles and obstacles. The events of
2020 are arguably the most compelling indication that no matter how well-
planned an event is; it will always be subject to unforeseen circumstances.
As an event creator, you must be aware of these potential pitfalls and event
planning mistakes, and make a contingency plan that puts you in the best
position to turn things around quickly.
Your next step is to liaise with an entertainment agency to make sure you know
of someone relevant who also has availability on the day. That way, you have
someone you can quickly reach out to if needed.
Implement measures like barriers, floor markers, and people on hand to regulate
lineups to help maintain social distance safe.
Preparation is key
When it comes to event planning gone awry, inadequate preparation is generally
at the base of the problem. As a result, utilizing the above list of event planning
challenges and solutions, it is critical to plan for every possibility. Remember: you
can't plan for everything, but having a backup plan can make you feel more
relaxed, prepared, and ready to face whatever your event day throws at you.

Discuss the operation will look like to the Venue
The Davao City University of the Philippines Sports Complex will be the venue of
the event. The venue consists different fields and covered court to accommodate

the indoor and outdoor activities. The Venue coordinator will be the one will
assigned the facilitators and staffs in every activity in the event. Only the VIP’s,
participants and staffs can enter the venue and they need to follow the protocols
and comply the requirements.
To the Parking
In the parking lot, there will be 20 staffs that will organize the people that will
need to park near the venue. Specific parking slots are present, for the staffs, for
VIPs, and for participants. The staffs will secure the entrance to guide them
where to park and for exits on the parking lot to avoid traffic.
Registration
For registration, early before the event starts, pre-registration sheets will be
distributed to the groups who will participate in different kinds of activities. Then a
week before the event, they will comply their registration sheets to the event
coordinators. There will be a staff in every entrance of the venue to check the list
of names of the people who participated in the event. They also need to show
their swab testing certificate and wear their face mask and face shield to ensure
that the virus will not be present in the venue.

Each activity has facilitators in order to have a proper and clear competition.
Facilitators will explain the mechanics, rules and criteria of every activity. Here is

Event theme
Event theme is the idea behind the entire shindig. It often involves the overall
tone, structure, and goals of the event. Mardi grass theme will be the theme of
the event. Staffs will wear a uniform with a color of purple, green and gold
combinations. Also, the venues will have a decoration with this color
combination.
Decorations
For the decorations, the event coordinators will assign 30 staffs for decorating
the gymnasium and 50 staffs for the football field. The decoration will be based
on the theme of the event. In the field, the staff will create a performing stage for
the different activities outdoor. There will be a budget for the decorations of the
event.

competition that has traditionally focused on judging and ranking the physical
attributes of the contestants, although most contests have evolved to also
incorporate personality traits, intelligence, talent, and a contestant's ability to
answer judges' questions

3) Information Manager
They have the following responsibilities:
1. Manages the information acquired through different sources.
2. Responsible for the documentation of all business operations carried out pre-
event, at-event and post-event.
3. Maintains database of service providers, delegates, guests, organizers,
sponsors, partners, clients, target audience, media people and various govt.
departments officials.
4. Formulates, prepares and implements the risk management plan.
4) Logistic Manager
They have the following responsibilities:
1. Responsible for custom clearances and other clearances.
2. Responsible for warehousing of cargo
3. Cargo insurance
4. Expected to move goods and merchandise from one destination to the other in
the most efficient manner.
5. Responsible for procurement management and resource management.
6. Formulates, prepares and implements the risk management plan.
5) Security Manager
They have the following responsibilities:
1. Responsible for formulating, preparing and implementing the security plan and
strategies how to protect delegates, guests, service providers, organizers,
sponsors, partners, clients, target audience, goods and merchandise, etc.
2. Procurement management and resource management.
3. Formulates, prepares and implements the risk management plan.
6) Infrastructure Manager
They have the following responsibilities:
1. Procurement management and resource management.

2. Responsible for setting up and dismantling the infrastructure for the whole
event like:
a. Construction of boundary walls, entrance and exit gates, driveways, walkways
and parking lots
b. Seating arrangement, stage design/ set up.
c. Construction of green rooms, staff rooms, storage rooms, power rooms, toilets,
sewage systems, stalls, counters, booths and kiosks.
d. Responsible for setting up electricity, water and phone connections.
e. Responsible for conservancy
Crowd Control
It is important that you ensure that the crowd in the venue never grows
beyond the capacity limit.
Monitor the registration line to keep it organized and prevent people from
cutting. (Using cones, yellow tape, or stanchions is a great help here.)
Protection preparations for VIPs are not the same as security services for
the general public. VIP security is unique in that the bodyguards are solely
responsible for the safety of the dignitaries against criminal organizations
such as terrorists and robbers, as well as overzealous admirers attempting
to approach them, further invading their private. You must also devise a
thorough security strategy to ensure their timely and seamless arrivals, as
well as their safety in your event's atmosphere and location.

This subject was so memorable that despite all of the related subjects that I had
already taken, it was the most beneficial to study/learn. It can help you
understand what strategy, skills, thinking, and tactics you need to handle an
event, and I am grateful that this subject provided me with a head start on how to
make an event plan successful.It also gave me a head start on how to secure
solid sponsorship and find a good organizer for the event you want to be a huge
success. Having a competent professor in this subject was beneficial since he
can explain all of the intricacies you need to know in order to complete the task
correctly and will provide you with clear instructions.
He also does not want any of you to go without learning or unfinished work; he
always wants all of the tasks he assigns and discusses with you to be completed
well and approved. Since the day we started working on the plan and proposal,
I've had the foresight that it may be simple to complete with the support of good,
clear directions and teamwork.
Everything went okay with a few tweaks, but we got it done and fixed it by
assigning tasks to one another to save as a team contribution and performance.
In addition, I've been allocated to be a multi-task member in this event plan and
proposal so that I can understand how to handle different aspects of the event
and what flow we might experience by the assigned position.
It can be difficult to do right immediately, but with patience and a step-by-step
procedure, it can be done. All I can say is "Thank You" for being a part of this

What I have learned from the subject Meetings, Incentives Conferences and
Event management is when planning an event, you should know and check
every little detail to prevent conflicts and disapproval when proposing the event
proposal. Planning plays an important role in the reduction of future uncertainty
of an event. It is matter of fact that future is uncertain and risk-oriented. What will
occur tomorrow we cannot say with certainty but we can forecast about future
events through planning. When working as a team, there must be a clear
communication and commitment in organizing an event. Also, teamwork is
important in an organization because it provides employees with an opportunity
to bond with one another, which improves relations among them. Teamwork also
increases the accountability of every member of the team, especially when
working under people who command a lot of respect within the business.
When organizing an event, you must know the complex of it. You must have a
contingency plan and fund if your plan a did not work out. It was quite hard for us
preparing for the event because of the pandemic. Not everyone can attend the
meet ups and not everyone can reply as soon as possible because we also have
different priorities at home. We had sleepless nights while planning the event.
For me it was hard planning the line-up activities and the menu. We also did a lot
of revision on planning the event but it helped us think more critically. Mr. Niegas
as a professor made sure to guide us while preparing for the big event. We
wouldn’t accomplish this event without his help and also with our team leader.
We put a lot of effort on planning the event and gladly the panelist did not decline
our proposal because it has a lot lacking. We are thankful that although we had a
lot of revisions, we still reached the passing grade.
