Student Monitor checklist

Command Center:

BEFORE SESSION:

 Dress business casual; Attendees and presenters/moderators will see you.

 Check/remove any activity in the background of your camera


 Check-in with Command Center at least 30 min prior to start of session via text or Zoom upon
arrival and departure of your shift. Let them know if you have the session link or NOT.
o NOTE: check your spam folder for the BigMarker email(@bigmarker.com) with your
unique session link.

If you have 2 devices, you can also communicate with the Command Center via the
UMTC Zoom Session (Link will be shared on Monday).

DO NOT attempt to run both Big Marker and Zoom on the same machine. The UMTC
Zoom will also be shared with Lily and Steve, both of MassDOT, whom are our center’s
direct overseers.

 Sign into the session via the unique link provided.

 Introduce yourself to the session facilitator in your session room.

 Turn OFF your camera at start of session.

DURING SESSION:

 Make sure Facilitator announces Closed Captioning information (IF it’s provided for your
session)

 Make sure everyone is muted, except the presenters (and moderator-after his/her
introductions) -all attendees should be muted upon entry.
 Check the Q&A for any technical problems – do not publish any tech issue questions, unless
instructed to do so by command center

 Text, Zoom, or call the Command Center if there is a problem:


 Identify yourself
 Identify the session #
 Describe problem
 Provide name of person with the problem
 Communicate via Q&A privately with the person having the technical issue: that issue is being
addressed, ask further questions, if necessary or as requested by command center

EXPECTED FAQs:

 “Will this session be recorded?”


o Yes
 “How do I access recordings after the live session is over?”
o At https://www.umasstransportationcenter.org/assnfe/ev.asp?ID=4451 site for up to
90 days
 “I can’t hear/see the speaker. How do I fix this?”
o Is your computer audio muted?
 Yes - ask them unmute computer audio 
 No – see next question
o Is your audio connected to the correct source?
 Yes - direct issue to command center
 No - instruct them to select the correct source
 Still issue? - direct issue to command center
 “The stream is lagging.” or “I keep getting kicked out of the session. How do I improve the
quality of my connection?”
o Offer speedtest.com to confirm upload/download speeds?
o Are you Using Chrome or Firefox search engines?
 Yes - direct issue to command center
 No - instruct them to exit webinar and login using one of those 
 Still issue? - direct issue to command center
o Are you using any VPN’s?
 Yes - ask them to disconnect/close the VPN 
 No - direct issue to command center
 Still issue? - direct issue to command center
 Is session being closed captioned?
o Yes - provide link
o No - we can offer it with the recording after the conference upon request.
