Creating a Label to Email Students

The Gmail “label” feature allows you to categorize email contacts into labeled groups and send
a mass email to all members of a group. After receiving your student roster, you should create a
label for your students and use it to send them a welcome email.

1. First, access the Gmail Contacts screen.


a. To do this, navigate to your Gmail inbox.
b. Click on the grid of gray dots in the upper right corner of your screen, next to the
Settings gear icon (Figure 1).
c. Click on the blue Contacts icon.

Your screen should now look like Figure 2. In the middle section of the left toolbar, you will see
a few options related to labels.

2. Click the “+ Create label” option on the left toolbar.

3. A pop-up message will appear (Figure 3). Name your label and click “Save.”

4. Add contacts to your new label.


a. If you have your students’ email addresses already saved as contacts, you can
click “Label contacts” in the middle of the screen. However, it’s more likely that
you do not have them saved as contacts yet.
b. If you do not have your students saved as contacts, click the “Create contact”
button in the upper left. Then click “Create multiple contacts” (Figure 4).

5. A pop-up message will appear (Figure 5). Type your students’ BU email addresses into
the empty textbox. You can add all 25 at once.
a. When you’re done adding email addresses, click “Create.”

6. You should now be able to see all contacts added to the new label (Figure 6).

7. To email your students, navigate back to your Gmail inbox.


a. Create a new email draft.
b. Type the name of your new label into the “To” address bar of an email.
c. Once the label appears as a drop-down option, click on it (Figure 7). It will
populate all your students’ email addresses.
d. You can follow the same procedure to CC or BCC your students. Click on CC or
BCC and begin typing the label name (Figure 8).

*** NOTE ***

Be sure to update your email list as your roster changes over the first few weeks.
Students will need to be added and removed from the label each week.
