Present Appointment System Used

According to (Volpane, Cabarrubiasa, and Macabasag 2016) studied that the

“Laguna University Healthcare Information System” is a stand-alone system that was

developed for the Laguna University School Clinic. This system helps in order for them

to enhance the management of medical and dental records of the students, backing-up of

retrieving medical records, monitoring inventory of medicine and statistical records. So

that the developed system is proposed to improve the process of managing medical and

dental records in Laguna University Healthcare. (Aileen Manuel, n.d).

Problems Encountered with the Present System Used

In these systems make patient management easier and more efficient. Some online

scheduling systems for appointments also have management of patient health records as

part of the package. The organization can create a single point from which to save,

update, manage and analyze patient information. MocDoc study by Sanjana (2019)

It is also possible to avoid redundant data entries about the same patient. In

addition, the ongoing records of the patient can be updated at each appointment, making

patient information available for easy and fast access in one place.

Functional Requirements Needed for the Proposed System

The research entitled “Feliciano Dental Clinic Management System with SMS

Notification”, conducted by (Armisto, Balanlayos, and Buenavista, 2017), the main

objectives is to provide information about the patient profile including patient personal

detail, patient treatment, patient appointment, patient billing, and inventory management.

And it will resolve all the current problems SMS at a clinic to promote a paperless office
that would enable faster and more efficient storage, retrieval, and updating of clinic

records. The study proves that it gives advantages to both users. The developed system

provides convenience to them that gives them an easier task.

An information system is an arrangement of information technologies used for

capturing, storing, and distributing data to meet an organization needs. These include

computer hardware, operating system and application software as well as

telecommunication and networking technologies. Profit making business enterprises,

non-profit making charity bodies, social organizations and government agencies all rely

on information systems to be effective (Wikipedia.org, 2013).Hence, health care

information system is a computer application for patient health center to represent patient

information in a user friendly interface to allow users to review and interact (adding,

saving, modifying, deleting, etc) with patient health information, such as diagnosis,

medicine orders and other services. Moreover, application, health information system

works as data repository for patient health information such as patient registration,

systems administrator and financial management (Giffin et al., 2012).In addition, a health

care information system has a set of important patient information stored in electronic

format that provides health staff, the flexibility and accessibility to patient's information,

stored in the system server.

  On the other hand, an Electronic Patient Record (EPR) is defined as the process to

convert the traditional documentation medical paper-based records into electronic

computer-based information system medical records. These include all patient medical

records such as written text, codes, images, audios, and video notes and any other

information related to the patient (Liu and Zhu, 2012)


Features that can be included in Development of Proposed System

Based on Smith (2012) entitled “Automated Record Keeping System”. The

existing system is just using a logbook for them to record those information. This record

keeping system uses to lessen the capability of producing legible documents of all

original and refilled prescription information. During the course of an onsite inspection

the records must be accessible for viewing or printing. So that the researcher solve the

problem by creating a system that can be more manageable and easier to use. The

researcher conclude that the develop system is for patient’s data management. With the

developed system being used problem such as misplacement of records, illegal access to

data and time delay in processing data are easily handled by the system.

The researchers used the concept of this study to develop Municipal Health Office

Appointment System with SMS Notification. The implementation of the System simply

improves the consistency of the consultation process of the Barangay Malasiqui Health

Office. This will benefit most especially the patients. It provides satisfaction and better

service to the beneficiary/community it serves through this system. With this system,

doctors and nurses can better maintain the condition of patients, as the process of

appointing them will be easier. They will be able to fulfill their mission, vision, and

purpose by providing their services sincerely to the Barangay's patients/community for

medicines/treatments.
As stated by Mas (2013), “Nowadays people are seeking for a convenient

way of being reserved on their appointments. So do in clinic reservation process. In this

situation therefore, Online Clinic Reservation System is a good project to ease on

difficult and too time consuming manual appointment reservation processes.” The main

objective of Mas’ study is to provide a convenient way of appointment reservation for

patients and to computerize the patients’ information review, maintenance and updates.

However, Mas’ study mainly focuses on the appointment reservation while in the

proponents study, various features are included. For instance, the billing statements or

records of transaction of every patient will be covered in the system.

The use of online services nowadays becomes more necessary in the

various fields. It is because of the advantage and useful effects to many people when it

comes to online reservation because our society is facing rapid growths of need,

availability and development of different commercial web-based application.

Information system uses a client-server environment to provide flexibility for

interactive adding, deleting, updating, etc. of data among the clients. In addition to

managing data, it also distributes data based on client-server environment, thus increasing

its efficiency (Mehdi et al., 20012).

The challenge here is how an information system manages the health care

database to save time and reduce cost and improve the quality of services. A health care

system generates a large amount of patient data, archived and can be manipulated by a

computer-based information system. For instance, a computer-based medical record


improves the accessibility of patient information and provides useful data for several

studies in patient health information.
