This module was designed and written with you in mind. This module contains
information, skills, attitudes, and values necessary for computer operations to be performed,
including the input, access, production, transmission of data using the appropriate hardware
and software, browsing the internet and the basic maintenance of computer system
You are required to go through a series of learning activities in order to complete each
of the learning outcomes of the module. Follow these activities on your own and answer the
given Task at the end of each learning activity.

The module is divided into four learning outcomes, namely:


● LO 1. Plan and prepare for task to be undertaken and Input data into computer
● LO 2. Access information using computer and Produce output/ data using computer
system
● LO 3. Use basic functions of a www - browser to locate information and Maintain
computer equipment and systems

After going through this module, you are expected to:


1. Determine requirements of task in accordance with the required output
2. Select appropriate hardware and software according to task assigned and
required outcome
3. Enter the data into the computer using appropriate program/application in
accordance with company procedures
4. Select correct program/application based on job requirements
5. Access program/application containing the information required according to
company procedures
6. Print out data as required using computer hardware /peripheral devices in
accordance with standard operating procedures
7. Establish information requirements for internet search
8. Implement procedures for ensuring security of data, including regular backups and
virus checks in accordance with standard operating procedures

2 Operation
These days, the computer has been one of the equipment that is treated as a necessity.
It is obviously useful and helpful for our needs in the business, office and even for students.
Also, researching of information is quite hard and challenging. You need to locate the book
and the author’s name in order to research in the library. Today locating information is being
made easy. Computers are always present and highly required to simplify tasks in all fields of
specialization. Therefore, one of the skills that everybody must have the ability to understand
the practical use of computers, how to operate it, and the familiarization of some devices that
play a big part in the operation of computers

Read the statements carefully then write TRUE if the statement is correct an write
FALSE if it is wrong. Write your answer on your notebook.

Personal Safety
Before you start working, make sure that your working environment is safe as well as your
equipment.
Spot the hazard in your working environment. Hazard is anything that could cause harm.
Example:
1. Pick up anything from the floor that could cause you to stumble.
2. If you do some electronics related repair, put the electronics waste in a trash can.
3. The wiring of your devices must be properly organized.
4. Put away foods and liquid from your computer.
5. Check the wiring of your devices for the possible open wire.

Basic Computer Operations

Input
Inputting is a computer's basic operation. This is the act of supplying the computer with data
and instructions via input devices.

Process
The function of a computer is information processing. The processor (CPU), which consists
of digital circuits that can read and execute code directions to do a wide range of jobs,
performs this function, from performing complicated mathematical calculations to sorting
entries from a database.

Storage
Information storage is among the features of a PC. In addition to holding data that has been
entered via input devices, computers need a means to retain the results of information
processing. This is done by means of storage devices, which can be external or internal.

Output
When data is obtained and processed by a computer, it outputs it as information. In
computing, data refers to any information presented in a useful form. Monitors, printers, and
speakers are among the most popular output devices.

Elements of computer System

A computer is an electronic device that manipulates data or information. It has the


capacity to store, retrieve, and process information. Typing documents, sending emails,
playing games and surfing the Web are among the many applications of computers.
Spreadsheets, presentations, and even videos can also be edited or produced using it.

1. HARDWARE - refers to physical, tangible devices and computer equipment that


provide essential functions such as input, process, output, and storage.
I. INPUT DEVICES are composed of a device that accepts data and instructions
from the user or from another computer system.
1. Keyboard - A computer keyboard is an input device used to enter
characters and functions into the computer system by pressing buttons, or
keys. It is the primary device used to enter text.
2. Mouse - The mouse is another input device used to point and select objects
on the computer monitor. Using the mouse and keyboard in combination
allows the computer user substantial latitude in how to accomplish a wide
variety of tasks.

3. Scanner - A scanner is use to capture a source document and converts
printed data or images into an electronic data format that a computer can
store or process as required.
4. Microphone - Microphone is used to input sound that is then stored in a
digital form. It is used for various applications such as adding sound to a
multimedia presentation or for mixing music

II. OUTPUT DEVICES are any piece of computer hardware that displays results
A projector is an output device that projects an image onto a large surface, such
as a white screen or wall.
1. Monitor - A monitor is an electronic visual computer display that includes a
screen, circuitry, and the case in which that circuitry is enclosed.
2. Printer - The printer is a device use to print texts and pictures.
3. Speaker - A computer speaker is an output hardware device that produces
sound.
4. Projector - A projector is an output device that projects an image onto a
large surface, such as a white screen or wall.

III. PROCESS DEVICE is the computer’s circuitry in the system unit. It plays an
important role in processing operations. It is used to process data, using
instructions from the program.
1. Motherboard – is the main circuit board of a computer. It contains all the
circuits and components that run the computer.
2. CPU (Central Processing Unit) - The processor is the main “brain” or
“heart” of a computer system. It performs all of the instructions and
calculations that are needed and manages the flow of information through
a computer.
3. Video Card/GPU (Graphics Processing Unit) - also called a display card,
graphics card, display adapter, or graphics adapter is an expansion card
which generates a feed of output images to a display device (such
as a computer monitor).

4. System unit is also known as a "tower" or "chassis," is the main part of a


desktop computer. It encloses the motherboard, CPU, RAM, video card, and
other internal components.
Other Internal Components of the System Unit
a. Power Supply Unit (PSU) - Installed in the back corner of the PC case,
next to the motherboard. It converts 220/110vac (standard house
power) into DC voltages that are used by other components in the PC.
b. Heat sink (also commonly spelled heatsink) - is a passive heat
exchanger that transfers the heat generated by an electronic or a
mechanical device to a fluid medium, often air or a liquid coolant, where
it is dissipated away from the device, thereby allowing regulation of the
device's temperature.
c. Optical Drive - An optical drive is a storage device that uses lasers to
read data on the optical media. There are three types of optical drives:
Compact Disc (CD), Digital Versatile Disc (DVD) and Blu-ray Disc (BD).

IV. STORAGE DEVICE stores data and programs. These hold data, information,
and programs permanently. A computer needs storage devices before and
after processing the data to store information and access later.
Memory
1. Volatile Memory – means that all the data are gone in the absence of
electricity.
Example: RAM or Random-Access
Memory is a volatile memory and
requires power to keep the data
accessible. It is a hardware device
that allows information to be stored
and retrieved on a computer.

2. Non-Volatile Memory – means that all the data remains in the storage
even in the absence of electricity.
Examples: ROM or Read-only Memory refers to computer memory
chips containing permanent or semi-permanent data in the
motherboard. Unlike RAM, ROM is non-volatile; even after you turn off
your computer, the contents of ROM will remain. It is often used to store
the BIOS program on a computer motherboard.
Magnetic Storage
1. Hard Disk Drive (HDD) - also known as hard
drive, is a magnetic storage device that is installed
inside the computer. The hard drive is used as
permanent storage for data.

2. Floppy Disk - is a removable data storage


magnetic medium that housed in a rigid plastic
cartridge measuring 3.5 inches square and
about 2millimeters thick. Also called a "3.5-inch
diskette," it can store up to 1.44 megabytes (MB)
of data.
Optical Storage
1. BD (Blu-ray Disc) – is simply called as Blu-Ray, a digital optical disc
data storage format. It was designed to supersede the DVD format and
is capable of storing several hours of video in high definition.
2. CD (Compact Disc) - also called optical disc is a nonmagnetic, polished
metal disk used to store digital information. The disc is read by the CD-
ROM.
3. DVD (Digital Versatile Disc) - an optical disc technology with a 4.7
gigabyte storage capacity on a single-sided, one-layered disk, which is
enough for a 133-minute movie.
Flash Memory
1. Solid State Drive – is a type of mass storage
device similar to a hard disk drive (HDD) but
uses flash memory. It supports reading and
writing data and maintains stored data in a
permanent state even without power.
2. USB flash drive - is a plug-and-play portable
storage device that uses flash memory and is
lightweight enough to attach to a key chain. A USB
drive can be used in place of a floppy disk, Zip drive
disk, or CD.
2. SOFTWARE – this term refers to the collection of electronic
instructions that tells the computer what to do. It is a computer program that is installed
in your computer.
I. SYSTEM SOFTWARE coordinates the activities and functions of hardware
and software. It controls the operations of computer hardware and provides an
environment or platform for all the other types of software to work in. It is the
most basic type of software in any computer system, which is essential for
other programs, applications, and the whole computer system to function.

1. Operating System – is the program that, after being initially loaded
into computer by a boot program, manages all the other programs in a
computer.
Examples– Microsoft Windows, Mac OS, Linux, Ubuntu
2. Utility Programs – are small, powerful programs with a limited
capability, they are usually operated by the user to maintain a smooth
running of the computer system.
II. APPLICATION SOFTWARE is a computer program that performs a specific
task. (Application software examples – MS Office, OpenOffice, Media Players,
MS Access, educational software, media development software, Antivirus
software, etc.)
Types of Application Software
1. Word processor is a software program capable of creating, storing, and
printing documents. Some examples are Microsoft Word, WordPro,
AppleWorks.
2. Spreadsheet is a data file made up of rows and columns that are used
to sort data and allow a user to manipulate and arrange data easily,
commonly numerical data. Examples are Microsoft Excel, Lotus 1-2-3,
Apple Numbers, and OpenOffice Calc.
3. Presentation Software is a software program that helps create a
slideshow that addresses a topic. It is often used in businesses and
schools for discussing a topic or for teaching. Examples are Microsoft
PowerPoint, Adobe Persuasion, HyperCard, OpenOffice Impress and
Scala Multimedia.
4. Database Management System (DBMS) Software is a program that
controls the organization, storage, management, and retrieval of data in
a database. Users can create tables, queries, forms and reports. DBMS
software examples are Microsoft Access, Oracle Database, MySQL and
FoxPro.
5. Desktop Publishing Software is used to produce high-quality printed
documents such as magazine, greeting card, posters, etc. and allows
you to use different typefaces, specify various margins and justifications,
and embed illustrations and graphs directly into the text. Desktop
Publishing software examples are Adobe InDesign, QuarkXPress and
MS Publisher.
6. Web Browser is a software application used to locate and display Web
pages. Examples are Internet Explorer (IE), Mozilla Firefox, Opera and
Google Chrome.
7. Graphics software or image editing software is a program or collection
of programs that enable a person to manipulate visual images on a
computer. Computer graphics can be classified into two distinct
categories: raster graphics and vector graphics. The most common
example is Adobe Photoshop.

I. Method 1. Manually locate the file. This method is applicable whether your file is
stored in a hard disk, flash drive, network drive, CD/DVD, or portable external hard
disk.
1. Use shortcut key Window + E to launch windows explorer. Window + E means
to press and hold down first Window key (do not release), followed by letter E
key then release both keys.
Note: Window key is a key in your keyboard with this logo

2. Point your mouse and double click to the drive (drive C, D, E for example)
where you store your file.

3. Double click again the folder where your file is located.


4. Once you found your file, double click the mouse to open it.
II. Method 2. Using the Search box. (This method is applicable also in storage devices
mentioned in Method 1.) Your computer has a “Search” feature where you can type at
least part of the filename of your file, then the computer will find it for you.
1. Use shortcut key Window + E to launch windows explorer.
2. Open the drive letter
3. On the upper right corner of the window, you will find the search box.

4. Enter the filename you want to search in the search box and press enter.
5. A list of files will be displayed as a result of a search. Select your file and double
click to open it.

1. Using your mouse, click the Start button, then select the desired application. If you don't
see the one you want, click All Programs to see a complete list of applications.
Note: If your desired program is located in “Desktop” just double click the icon to open.

2. The application will appear in a new window.

Parts of a window
You'll see the same three buttons in the upper-right corner of almost every window. These
buttons allow you to perform several functions, including these below.

• Click the Minimize button to hide the window. The window will be minimized to the
taskbar. You can then click the icon for that window on the taskbar to make it
reappear.

• Click the Maximize button to make the window fill the entire screen.

• If the screen is maximized, the Maximize button will be temporarily replaced by the
Restore button. Just click it to return the window to its original size.

• Click the Close button to close the window.

Producing Output
Printing
1. Check the printer.
2. Check printer USB cable if connected in the USB port on your computer.
3. Connect the power cable to the electrical outlet.
4. Put a paper in printers’ paper tray.
5. Turn on the printer.
6. Locate the file you want to print. Your file may be
in a hard disk, flash drive, or
CD or DVD storage device. Once found, double
click to open it. The computer will automatically
open your file in associated application software.
7. Click “File” menu above, select “Print” or simply
hold down “CTRL” key followed by “P”. Then fill-up
or click common
To print:
a. Select the number of copies.
b. Select a printer from the drop-down list.
c. If you only want to print certain pages, you
can type a range of pages. Otherwise,
select Print All Pages.
d. Select the correct paper size.
e. Click the Print button
Surfing the Web
“Web Surfing” or “Surfing the Web” means to browse and run the program thru World
Wide Web by going from website to website in search of something that interests you.
Before we talk about how to surf the web, it may be helpful to explain a few key terms.
• Web Page - is a single page of information on the World Wide Web.
• Website - refers to a group of web pages identified by a single domain. Compose of
web pages begin with “www”. Eg. www.facebook.com
• Homepage - is the first or front page of a website. If you were to type
“www.facebook.com” into your web browser, the first web page that came up would be
the website’s homepage.
• Search Engine - is a website that searches the World Wide Web for specific keywords,
which you enter into a search field. The search engine then displays a list of web pages
that are somehow related to the keywords you entered. The following are the most
commonly used search engine with its designated logo.

1. Click a browser that you want to use – Chrome, Firefox, or Edge
2. Type the search engine that you want to use in the web browser’s URL (Uniform
Resource Locator) and press the Enter key.
3. Use the search tab or the address bar of your search engine to find information on the
web.
4. When searching for an information on the web, the results are categorized –
All, Images, Videos, Maps, News, More,

Maintaining Computer Equipment and Systems


There are many ways to care for your personal computer or laptop. One best way is
providing it with routine care and basic software and hardware maintenance to
perform well and extends its life. The following are ways of extending the life of your
computer.
1. Install Antivirus Software
Antivirus software is responsible for catching viruses in spammy downloads and fishy
websites.
2. Perform Regular Software Updates
Updates generally and contain fixes for bugs and glitches as well as enhanced
security features which keep your PC running smoothly.
3. Run Computer Maintenance
Computer maintenance is an important step in protecting your computer. Scans and
updates are also necessary.
4. Backup Files
It is a good thing to backup all files so that they are there if something happens to a
computer by saving to external hard drives which are the popular choice for backing
up photos, videos and other files.
5. Clean the Screen
The screen should be always kept clean using a soft cloth or wipes specifically made
for electronics.
6. Remove Dust from Vents and Fans
The fan and vents keep your computer from getting too hot, but dust can get inside
and cause them to run slow.
7. Use a Surge Protector
Just one power surge can fry your computer while it’s plugged in. Protect your system
with an inexpensive surge protector, and carry one with you, too.
8. Avoid Extreme Temperatures
Moderate temperatures of 68 to 71 degrees Fahrenheit are ideal temperatures for
computers. Avoid leaving your laptop in a hot car or cold, damp basement for
instance.
9. Carry Laptops in Cases
If you bring your computer with you to school or work, make sure that you transport it
in a padded carrying case. These cases not only protect computers from scratches
and dents, but also, they prevent them from getting dust and debris inside the fans,
vents, etc.
