REFLECTION
1. How personal correspondence different from business correspondence?
A personal business letter, depending on its purpose, is written in a formal tone to
convey your message in a professional manner. Sending a resume through a personal
business letter shows your interest in a career; therefore, your cover letter describes your
ability to communicate with that company. On the other hand, a personal letter, especially
one to a close friend, can be informal and can also contain colloquialisms that are
generally unacceptable in business communications.

A personal business letter is a typewritten communication between colleagues


who you know personally, but who work for different companies. For example, if one of
her colleagues works for a company that received praise for a technology award, he could
write a congratulatory letter to his member of the professional development team.
Personal Business Correspondence maintains contacts with professional contacts made
through networks or business transactions. A cover letter that sends your resume is also
considered a personal business letter.

A personal letter is a communication between two acquaintances or friends,


regarding non-commercial matters. An example of a personal letter is a Christmas
greeting sent to a friend living abroad with wishes for a happy holiday and updates on
personal highlights from the past year. Personal correspondence renews and maintains
relationships with people you consider friends. Personal letters can be typed if they are
long, however handwriting a personal letter is also acceptable as long as your
handwriting is legible.

2. What makes written communication significant to businesses?


Communication is about building relationships by delivering messages. Clear
messages will help build trust and integrity between writer and reader. Correctly written
communication helps identify goals, identify problems, and find solutions. This is
important in all aspects of the business. Executives must write notes clearly so that staff
can understand directives without confusion. Sales reps must explain the features and
benefits in a way that excites the potential customer. Human resource managers should
aim to take note of any incidents and make reports.

Written communication is part of your brand. In general, most lyrics should have
a professional tone as well as adequate English skills and solid grammar. Without them,
readers might think that the company is full of illiterate people, unable to do a good job.
After all, with all the help that computer programs offer in spelling, grammar, and style,
there's no reason for a writer to be a communication professional.
3. What makes business letter effective?
An effective business letter contains all the information a reader needs to act
appropriately. The letter clearly states who the letter is from and where and how to
respond. It tells what the letter is about, when action should be taken, where action should
be taken, and why action should be taken today. The business letter is full of information
and nothing is omitted. You have a clear call to action and tell the recipient how to take
that action.
Business letters represent you when you transact in writing. For example, you can
write to request a price list, apply for a job, or ask about a refund policy. Although your
letter should not have a particularly personal tone, it should reflect kindness, clarity, and
understanding of your reader's needs. In business, time is of the essence. Make it easy for
your reader to help you by simply writing and simply incorporating the information your
reader needs.
