MODULE-1

Introduction
Microsoft Word or MS-WORD (often called Word) is application software developed by Microsoft .It is word
processing software. It is used to create, edit, print and share professional-looking documents such as
applications, forms, templates, business cards, letters, paper, reports, and booklets, etc.

MS Word also provides certain additional features that make your work easy and structured. You can add page
numbers, headers and footers, and also look up a word in the Thesaurus to find similar words.

Headers and Footers

The header is a section of the document that appears in the top margin, while the footer is a section of the
document that appears in the bottom margin.

Headers and footers generally contain information such as the page number, date, and document name.

How to insert Header and Footer

Follow these steps to insert a header or footer in a MS Word:

1. Select the Insert tab.

2. Click either the Header or Footer command. A drop-down menu will appear.
3. From the drop-down menu, select Blank to insert a blank header or footer, or choose one of the built-in
options.

4. The Design tab will appear on the Ribbon, and the header or footer will appear in the document.

5. Type the desired information into the header or footer.


6. When you're finished, click Close Header and Footer in the Design tab, or hit the Esc key.

Note: After you close the header or footer, it will still be visible, but it will be locked. To edit it again, just
double-click anywhere on the header or footer, and it will become unlocked.
Footnotes and Endnotes

Footnotes and Endnotes in MS Word are used for adding notes, comments, or to provide references for the
text in the document.

Footnotes are detailed comments printed at the bottom of a page (i.e. in the footer) to give extra information
about something that has been written on the page. On other hand, endnotes are located at the end of a
complete document, or sometimes at the end of a chapter or section and are used for citation of sources.

Steps to insert Footnotes and Endnotes

1. Click where you want to reference to the footnote or endnote.

2. On the References tab, select Insert Footnote or Insert Endnote.

3. Enter what you want in the footnote or endnote.


4. Return to your place in the document by double-clicking the
number or symbol at the beginning of the note.

Drop Cap

rop Cap is a feature provided by MS Word in which the first character of the paragraph is bigger, and

D dropped on the sub sequent lines of the paragraph to mark the beginning of the paragraph.
Steps to use Drop Cap feature

1. Select the first character of a paragraph.

2. Go to INSERT > Drop Cap.

3. Select the drop cap option you want.

 To create a drop cap that fits within your paragraph, select Dropped.

4. Click on Drop Cap options from the list. The drop cap dialog box opens.
5. Select the desired font of the dropped letter from Font:drop-down list in the
Options section.
6. Select the desired option from the Lines to drop.
7. Increase the distance between the text and the dropped letter with the help of
Distance from text.
8. Click on OK

Tab Stop
Tab Stop refers to preset text position. This feature enables the user to change the default distance covered by the
Tab key for the preparation of columnar data in MS Word.
Note: Tab key moves the cursor half an inch forward in MS Word document. Types of
Tabs:
Left Tab: With this kind of Tab Stop, text or numbers are left-aligned in the column. Right Tab:
With this kind of Tab Stop, text or numbers are right-aligned in the column. Center Tab: With
this kind of Tab Stop, text or numbers are center-aligned in the column.
Decimal Tab: With this kind of Tab Stop, fractional figures are aligned in such a way that all decimal points are
vertically aligned.
Show/Hide Tool ¶
There are some non-printing characters that are used for displaying the formatting of a document. They only
appear on the screen and not in the printout. In order to display Word’s non-printing characters, click on the
Show/Hide ¶ option in the paragraph group of the Home tab.
Following symbols represents the usage of the keyboard key at that location in the document:

Format Painter
Format Painter allows the user to copy the format from one place to another. Follow these
steps to copy the format:
1. Select the text or graphic that has the formatting that you want to copy. Note: If
you want to copy text formatting, select a portion of a paragraph.
2. On the Home tab, click Format Painter.
3. Use the brush to paint over a selection of text or graphics to apply the
formatting.
4. To stop formatting, press ESC.

Answer the following questions:


1. What is the purpose of a Tab Key?
Ans. Tab key moves the cursor half an inch forward in MS Word document.
2. Where do you add footnotes and endnotes in a document?
Ans. Footnotes are detailed comments printed at the bottom of a page whereas endnotes are located at the
end of a complete document

3. What is Format Painter?


Ans. Format Painter is a feature of MS-Word which allows the user to copy the format from one place to
another.
4. What are non-printing characters?

Ans. There are certain characters that only appears on the screen and not in the printout.These are called
non-printing characters. Example: Enter, Space Bar ,etc.
5. Explain different types of Tabs available in MS-Word.
Ans. Types of Tabs:
Left Tab: With this kind of Tab Stop, text or numbers are left-aligned in the column. Right Tab:
With this kind of Tab Stop, text or numbers are right-aligned in the column. Center Tab: With
this kind of Tab Stop, text or numbers are center-aligned in the column.
Decimal Tab: With this kind of Tab Stop, fractional figures are aligned in such a way that all decimal

6. Write steps to insert header and footer in MS-Word document.
