File Management Skills Worksheet

Our lesson objectives are:


By the end of the lesson, we will be able to:
i) Recognise different file formats
ii) Identify the difference between a file and a folder, and the benefits of each.
iii) Create a folder using Windows File Explorer.
iv) Move a file into a folder.

A. Types of Files
1. We use computer programs to complete daily tasks at work, school or home. Name a
computer program to complete each task below.

Task Name of Computer Program


Type out a letter
Create a spreadsheet with monthly sales
Design a slideshow for a presentation

2. When you type out a letter or create a spreadsheet you can store the information. The
information you store is saved in a file. Each computer program or software saves the file
with a unique format.

Some examples of file formats are:


A document typed using Word has the .doc format.
A spreadsheet created by Excel has the .xls format.
A slideshow designed in PowerPoint has the .ppt format.

B. Creating a File
1. Using Microsoft Word, create a file called FirstnameShopping, e.g. JohnShopping, and
save it in the Documents folder.
2. Add two more Word files and call them:
FirstnameStudies e.g. JohnStudies
FirstnameHobbies e.g. JohnHobbies.

3. Using Microsoft Excel, create a file called FirstnameList, e.g. JohnList and save it in the
Documents folder.

C. Creating a Folder
1. In real life, people may have a lot of paper documents. What can we do to make sure the
documents are organized and easy to find?

2. Using the Start button, scroll down the list of apps and select Windows System. Under
this option you will find File Explorer. Click on this option.
3. Look at the different sections of the File Explorer Screen. Label the four different parts of
the screen.

5. Create a folder using File Explorer. Create the folder in the Documents folder. Name the
folder FirstnameDocuments, e.g. JohnDocuments

D. Moving a File to a Folder


1. Using Windows File Explorer, locate the Word file called FirstnameShopping.
2. Select the file and click Cut, and then find the folder with your NameDocuments.
3. Click on Paste and the file will move into the folder.
4. Repeat the steps to move the other two Word files into the same folder.
5. Create a new folder in Documents called FirstnameSpreadsheets, e.g. JohnSpreadsheets.

6. Locate the Excel file called FirstnameList.


7. Select the file and click Cut, and then find the folder with your FirstnameSpreadsheets.
8. Click on Paste and the file will move into the folder.
