IMSE7902 Project Management

Group Assignment

Objective
Tools for project selection, initiation, estimation, planning and management have been discussed during the
lectures. The objective of this assignment is to assess whether students can apply the tools that they have learned
to plan and present a project, and to complete the assignment in teamwork.

What is expected?
1. Assume that you are an engineer of a global company which has operations in many different countries. You
have been assigned by the top management to join a virtual project team in which the members are chosen
from the operations in different cities of different part of the world. Your team is going to propose a project
for the company to develop an innovative way to enhance the logistics operations of the company. The goal
of your team is to convince the top management that the proposed project is feasible and beneficial to the
company.

2. A description of the background of the company should be provided. The company may be a concocted one.
The description of the company’s background should be comprehensive enough to provide information to
justify the motivation of the project being proposed by your team.

3. The project may be an information system that consists of customized off-the-shelf application software,
dedicated hardware, networking equipment and/or mobile devices; or it may be an integrated system of
mechanical, electronic and/or electrical devices; or any other systems that can improve the operation of a
logistics system. The objective of the proposed project can be improving operation efficiency; or achieving
better service quality; or reducing operating cost, wastage, or work-in-progress; or increasing system
reliability; or enhancing safety of the working environment for the operators; or any other process
improvement goals. Air cargo operation, airline operation, air terminal operation, warehouse operation,
distribution centre operation, express delivery operation, public transportation, container terminal operation,
inventory operation are examples of logistics operations to be considered.

4. Report
• Each group should submit a report to the Moodle before the deadline.
• The report should contain a cover page and a table of content. The cover page should include the course
code (IMSE7902), the course name (Project Management), the title of the project, and the names and
student numbers of all the team members. The project manager of the team should be clearly indicated.
• The report should contain a team contract which are rules to govern behaviour of team members and
resolve conflicts. The team contract should be agreed and signed by all team members. A responsibility
matrix should be included to clearly define the responsibility of each individual member.
• Description of the background of the company and the logistics operation to be improved should be
included in the report.
• The report should include a statement of work and a business case to demonstrate the business need and
to confirm feasibility and benefit (financial and nonfinancial) to justify the investment. A project charter
should also be included.
• The report should have a stakeholder register containing the information of the major stakeholders. Also,
the result of stakeholder analysis and a stakeholder communication plan should also be included in the
report.
• The scope of the proposed project should be defined clearly in a scope statement together with a work
breakdown structure in text indents hierarchy format.
• All major risks should be identified in a risk register together with a risk response plan.
• A Gantt chart should be included in the report showing a high-level schedule of the proposed project and
the milestones. Deliverables of the milestones should be clearly stated.
• The report should contain all the minutes of the group’s meetings. All meetings should be conducted
online using Zoom Video Conferencing App (https://zoom.us/). Each group is expected to meet at least
twice. Each meeting minute should contain the date and time of the meeting; the names of the attendee(s)
and the absentee(s); the agenda of the meeting including the issues that have been discussed; the decisions
that have been made in the meeting; and an action plan containing a list of works to be done and the
responsible persons. All the meetings should be recorded. The video recordings do not need to be
submitted but should be kept by the project manager until the end of the semester (23 December 2021).

• The report should contain an appendix indicating the contribution and the role of each team member.
• Use Microsoft Word for the report. Go to Design ® Paragraph Spacing and choose the option “No
Paragraph Spacing”. A4-size papers should be chosen for the report. Use the font “Times New Roman”
and a font size of 12. There is no requirement on the minimum number of pages, but the report should not
be more than 30 pages.

5. Presentation
• Each group should submit a Microsoft PowerPoint file to the Moodle before the deadline.
• The Microsoft PowerPoint file should record a slide show with video narration to present the proposed
projects. The duration should be at least 25 minutes but no more than 30 minutes.
• Technical detail of using Microsoft PowerPoint to record slide shows with narration can be found in the
Microsoft Office web site.

6. Timeline
Zip the report and PowerPoint presentation file into a single zipped file and submit the zipped file to the
Moodle system of this course on or before 30 November 2021. Each group should have one representative
to submit the required files. Marks will be deducted for late submission.

Assessment
1. Report (50%)
Assessment of the report is based on the presentation, style, accuracy, completeness, and relevancy of the
information provided in the report.

2. Presentation (50%)
The presentation is expected to be a teamwork, but the group may decide the format of presentation.
Assessment is based on whether the proposed project is clearly, fluently, and effectively communicated to
the audience within the time limit.

3. Peer assessment on slideshows between groups


The PowerPoint presentation slideshows of all the groups will be uploaded to the Moodle. Students are
required to watch all the slideshows and each student should submit a form to rank his/her preference of the
project presentations of other groups. Marks will be deducted if a student fails to provide his/her preference
on the slideshows of other groups.

4. Peer assessment on individual performance within group


Each student should submit a peer assessment form to provide the student’s assessment on his/her teammates.
Assessment on individual team member should be based on the evaluation of the contribution to the group
project. The final individual score will be adjusted accordingly. Marks will be deducted if a student fails to
provide an assessment on his/her teammate.

Remark: All the peer assessments should be completed on or before 7 December 2021.

Mark
This assignment contributes 20% of the total marks in this course.

List of errors that have been made in the past


1. Background of the “company” does not provide enough information to support the motivation of the
proposed project.
2. The scope of the proposed project is outside the requirement defined in the assignment.
3. There are too many grammatical or spelling mistakes in the report.
4. Limitations, assumptions, exclusions, or criteria of success are not clearly stated.
5. Deliverables of the milestones are not clearly defined.
