Concept And The Techniques Of Project Management

Introduction
Companies and other institutions in today's world require to have the best output in the market
where there is stiff competition. For the success of the organizations, they must be able to have
good strategies to do their activities and projects through project management. According to
Lock(2017), project management is the use of techniques, procedures, information, and the
ability to meet certain objectives of the project within agreed-upon constrain while observing the
project eligibility requirements. Final outputs are guaranteed by a certain budget and timeframe
in project management. For efficient and maximum output, there are new trends in project
management in which managers should adopt so that they can improve on the products they
intend to maximize output. This paper is going to discuss the concept and of project management
and outline various techniques used in project management.
The Concepts and the approaches to Project Management
The act of guiding employees’ exertions to fulfill all project aims while keeping them under
reasonable expenses defines project management. Information provided in the project is
documented and creates the outset of the development strategy. According to Samset and Volden
(2016), the key constraints are range, timeframe, and expense. Another limitation to project
management is to manage the distribution of vital ingredients and utilize them and achieve post
objectives. The objective of project management mainly is to produce an efficient product that
satisfies the needs of the consumers. In many instances, project corporate's purpose is to reform
and mold the client's brief to achieve your clients' requirements more successfully. Following the
definition of the client's goals, all following project alternatives should be guided by them(Lock,
2020). Take the employment of a consultant as an example. This concept of determining the
client's wants is beneficial to the production process to specify the required items or services.
The modern era of project management began in the 1950s. Project management is more than a
profession that emerged from various fields, including engineering, civil construction, and large
defense activities. According to Maley(2019), Henry Gantt is credited with developing the Gantt
chart as a project management idea, and Henri Fayol is credited with establishing the different
management domains that constitute the bedrock of the baseline of details about the project
delivery. Both  Fayol and Gantt were inspired by Frederick W. Taylor's thoughts on quality
management. His contributions set the foundation for recent project management techniques
such as work breakdown structure (WBS) and resource allocation(Meredith et al., 2020). The use
of the ideologies helped in the concept of managing the project in various firms during the
revolution and is still used today in management.

The success of each project is determined by how effectively four important components are
matched with the contextual dynamics impacting the project. According to Hoda and Murugesan
(2016), planning involves the aims and expectations by which try to solve on what are the
proposal's goals and desires? The second approach includes the Plan which defines the
operations of planning and scheduling. The entire approach to all activities and project
governance is referred to as the process. People: This includes the intricacies of their
collaboration and communication. Lines of authority, decision-makers, organograms, operational
plans, and others are all examples of control. Development projects can be organized and
completed in a variety of ways, such as staged, flexible, agile, or progressive. There are
numerous variations of program management, such as those centered on results (brand) or
actions (activity-based) (process-based)( Silvius et al., 2017). Regardless of the approach
adopted, significant considerations should be given.
There are various approaches to project management that every project manager should adopt to
analyze the success of the intended project of the firm. The scope and the nature of the project
are determined by the launching activities. According to Silvius et al.(2017), if this stage is not
well-executed, the achievement in addressing the business requirements is uncertain. Analyzing
the environment that supports that certain relevant standards are effective in the plan is the most
important strategic standard. Any flaws must be mentioned, along with a suggestion for how to
correct them.  strategies that cover the following categories should be included in the initial
stage. These details are documented in a customary of documents defined as Project Initiation
Documents. Classification of prepared papers intended to create an order for the life of a project
are known as project initiation documents(Lock, 2020). These usually consist of the proposal for
a project (proposal for a project), the scope of the company, the PBS(product breakdown
structure), the hierarchy of work defined in the work breakdown structure, the responsibility
assignment matrix, review of current operations and others including the SWOT analysis.
Another approach to the way a project can be successful is including the plan that is designed to
an adequate degree of complexity after the commencement phase.  According to Kerzner(2019),
the major goal is to formulate strategies schedule, money, and resources to determine the amount
of effort done and efficiently handle volatility throughout the execution phase. Unable to
appropriately plan, as with the Initiation process group, severely diminishes the proposal's
probability of gaining its objectives. Recognizing deadlines and creating work and product
breakdown structures, finding the activities required to complete the deliverables while
networking the activities in their logical sequence, gauging costs and time for operations are all
planning phases, and estimating the resource requirements for the activities(Fewings and
Henjewele, 2019). This involves creating a timeline, budgeted risk management, quality
assurance procedures, and obtaining official authority to start work. Additional procedures, such
as communicating and scope effective management, assigning functions and responsibility,
deciding which one to buy for the project, and organizing a push session, which is are often
recommended.
Monitoring and controlling are strategies that are used to watch project execution by which
possible problems may be discovered quickly and corrective deeds can be taken, if necessary, to
keep the project on track. According to Samset and Volden(2016), one of the main advantages of
project controlling and monitoring is that project performance is monitored and assessed more
regularly to detect any deviations from the project management plan. Measuring the current
project activity, for example, is part of monitoring and controlling. Project variables are being
compared to the project management plan and the project performance baseline, Implementing
necessary actions to correctly handle concerns and risks,  and influencing elements that might
undermine the change control process such that only authorized modifications are made.
When the objective of the project is met, the company may decide to close the project or
continue with the project according to the complexity of the strategy implemented. According to
Lock(2017), closing refers to the project's final endorsement as well as its completion. The
preservation of documents and the documentation of knowledge gained are different
administrative tasks that include the following stages. The first stage is the Contract closure
where the team completes and settles each contract related to the project or project phase
including the settlement of any open items and closing each contract. The second phase is the
Project closure where the team formally finishes the project phase, completes all activities across
all process groups. The Post Implementation Review is also covered in this phase of closing the
project. This is an important stage of the project for the project team to learn from previous
initiatives and apply what they've learned to future projects(Meredith, Shafer, and Mantel, 2017).
In most cases, a post-implementation review includes examining what went well and assessing
what went wrong with the project.
For a successful plan to be implemented and produce the intended results requires good project
portfolio management tools. According to Sane(2019), Project portfolio control is being used by
a wide range of companies to choose the correct projects and then use product development
techniques to provide the results in terms of advantages to the outcome expectations, private, or
non-profit institution. Portfolio managers are comparable groupings of work. Besides corrective
structure to all projects in the portfolio, and by a group of practitioners share some common
expertise and technologies, asset allocation supports efficiency gains, enhancing chances of
success, and minimizing scope creep. Product development workplaces are frequently
established as an institutional system that consistently supports project investment
portfolios(Meredith, Shafer, Mantel, and Sutton, 2020). As a result, project portfolio
management is generally carried out by a group of executives who are structured within the
organization.
Throughout the world of management, complexity and its nature play a significant influence.
According to Fewings, and Henjewele(2019), studies show that there is a paucity of
characterization and an appropriate understanding of complexity in connection to the analysis of
complex projects. Even though provided a relatively comprehensive understanding of the project
scheme, the workload is a feature of a project that makes it difficult to understand, predict, and
regulate its statistical properties. According to Kerzner(2018), in multi-project architectural
setups, identifying complicated tasks is very critical. Because the scope of the project and project
performance is perceived to be linked, it is time to establish and evaluate scope creep for
efficient project management. Structural complexity also referred to as particular complexity or
complicatedness refers to the number of different interconnected pieces that make up a structure.
It is usually analyzed in terms of planned values, diversity, and interconnection, as well as
technology and firm characteristics(Martinelli and Milosevic, 2016). Ambivalence,
unpredictability, dissemination, development, and turbulence are examples of effective intricacy
occurrences, features, and depictions in the process of project management.
Techniques Used in Project Management
Critical Path Analysis
This is a venture the executives' system that involves outlining each of the significant
assignments that should be finished to finish an undertaking. According to Fewings and
Henjewele (2019), CPM analysis involves deciding how much time is needed to finish each
activity just as the conditions of every action on the others. is a critical part of the task
executives' strategies. CPM expects you to make an undertaking model that involves a rundown,
all things considered, or a WBS, the time it will take to achieve every one of those assignments,
and any conditions that might exist between the errands and the venture's endpoints, like
achievements and expectations(Lock, 2017). You can utilize this data to decide the briefest way
between the booked assignments and their fruition, just as in the soonest and most recent
occasions these undertakings can start and end without influencing the venture plan.
Cause And Effect Diagram
A cause and effect diagram is a visual device for sensibly putting together likely explanations for
one specific issue or outcome by graphically representing them in expanding profundity,
suggesting causal connections between thoughts. A fishbone graph, regularly known as an
Ishikawa chart, is a famous kind. According to Maley(2019), a tree outline can likewise be
utilized to portray circumstances and logical results connections. A reason impact graph supports
the association and shows various perspectives concerning key causes while distinguishing the
reason for an issue. The C-E Diagram is a fundamental apparatus utilized by progress groups in
the beginning stages (Emere, Musonda, and Okoro 2019). The chart is loaded up with thoughts
created during a conceptualizing or liking meeting. The group ought to take on a vital or
positioning framework because the rundown of issues on a C-E might be very long.
Gantt Diagram
A Gantt diagram is a technique where the results of a project plan are broadly represented in
form of graphs. It's a type of bar diagram that shows the beginning and end dates of task
components including assets, arranging, and conditions. According to (Martinelli and Milosevic
2016), Gantt graphs are valuable for something beyond arranging and booking undertakings
across at least one venture. You may likewise plan and timetable complete tasks, plan in runs and
achievements, plan collaboration, and look at arranged against genuine venture plans. Assuming
that you're using the project manager's online Gantt graph, you might change plans on a case-by-
case basis and even connect subordinate exercises with a straightforward snap and drag (Fewings
and Henjewele 2019). When there are assignments that can't begin until another is done, task
conditions are utilized. They can be connected to the Project Manager to keep away from any
vacation or colleague blockage.
Brainstorming
This is a combination of thoughts and ideas process involving acquiring an overview of musings
from the social event's people to think about a response for a specific issue. According to Lock
(2017), by the day's end, conceptualizing is a circumstance wherein a social occasion of people
amass to dispose of limitations and produce novel contemplations and game plans around a given
space of interest. People can think even more energetically and devise anyway numerous
groundbreaking considerations as they can. Every one of the thoughts is written down without
being judged, and the thoughts are investigated after the meeting to generate new ideas
(Martinelli and Milosevic 2016). Conceptualizing mixes horizontal thinking with an easygoing,
casual way to deal with issue goals. It urges individuals to concoct thoughts and contemplations
that might seem somewhat peculiar right away.
Project Evaluation Review Technique
It's a period assessment approach utilized in a project by the executives. Booking is fundamental
for finishing a venture on time, yet additionally for remaining inside the spending plan. The more
you work, the more you will be redressed. It utilizes an assortment of basic measurable strategies
to deal with likelihood. According to Martinelli and Milosevic (2016), Energetic utilizations the
WBS to separate assignments into itemized exercises, which are then added to a Gantt diagram
to recognize related exercises. You produce a showed guide of the organization of exercises and
their interdependencies utilizing that information. A hub on the guide represents an occasion, and
exercises are addressed by bolts attracted starting with one occasion then onto the next in the
arrangement they happen (Meredith et.al 2017). The most punctual time (TE) and most recent
time (TL) for every movement, just as the leeway time for every action, are determined
subsequently.
Kanban
Kanban can be utilized as a task in the executives' system to support the checking and the board
of ventures by zeroing in on consistent conveyance without overburdening the group. Kanban
empowers the venture group to work together more successfully. According to Emere, Musonda,
and Okoro (2019), Kanban is taken to the powerful utilizing project the executives programming.
ProjectManager has a board view that adjusts with all of the other undertakings sees, permitting
groups to work in any capacity they want. All progressions are reflected no matter how you look
at it in the apparatus. Groups revere the simplicity with which they can deal with their
accumulation and booked runs (Lock, 2017). Chiefs gain the permeability they need to detect
possible bottlenecks and promptly redistribute assets to keep creation pushing ahead.
Work Breakdown Structure (WBS)
A work breakdown structure (WBS) is a technique for separating an enormous undertaking into
more modest, more sensible lumps. WBS is a "deliverable situated various leveled disintegration
of the assignment to be finished by the team," as indicated by the Project Management Body of
Knowledge (PMBOK). In other words, the WBS is a pictorial portrayal of each venture work
(Martinelli and Milosevic 2016). The outcome is at the highest point of the page, with a line
driving down the page to a container (or boxes) addressing the bigger undertakings that lead to
that finished venture. According to Emere, Musonda, and Okoro (2019), every one of these cases
is then associated with more modest exercises by lines that run underneath it. All that must
initially be arranged before it tends to be set in motion, as each accomplished venture director
gets it.
Scrum
Scrum is an Agile undertaking the board style that involves a little group oversaw by a Scrum
Master, whose essential obligation is to take out any boundaries to finishing work (Datrika
2018). The group meets day by day to survey current errands and any bottlenecks that should be
cleared, and work is done in short cycles named runs. According to Meredith et.al (2017), to
guarantee that each venture deliverable is excellent, take a stab at utilizing Scrum, perhaps the
most generally utilized Agile methodology. You'll be working in runs with Scrum. You'll deal
with a particular deliverable/highlight during each run. Runs should endure something like
fourteen days, and day-by-day status gatherings ought to be held. You ought to gather an audit
meeting later in the run, submit thoughts for working on the following run, and afterward
continue onward.
Waterfall Project Management Technique
Waterfall project management outlines a venture into accurate, stages, with each new stage
beginning exactly when the beyond one has been done. This venture the boarding procedure is
the most standard system when managing a strategy, with colleagues working straightforwardly
towards an outcome situated target (Maley, 2019). Each part assumes a portrayed part, and the
stages or goals are not commonly expected to change. According to Meredith et.al (2017),
waterfall project management turns out best for projects with since a long time ago, point-by-
point designs that require a solitary timetable. Changes are regularly deterred (and expensive).
Interestingly, in an Agile venture, the management includes more limited undertaking cycles,
consistent testing and variation, and covering work by different groups or donors.
Agile Project Management in various companies
Many firms have benefited from the various project management techniques. A study was done
by dr. DR. YUSUF MUCHELULE (Ph.D.) on the effects of agile project management on
telecommunication companies revealed that group preparing affects projects achievement in the
Vofafon bunch. According to Datrika (2018), the concentrate additionally closed undertaking
observing cycle impacts the task's achievement in the Vodafone bunch. From the outcomes, the
review suggested that the top administration ought to guarantee extraordinary workers preparing
to furnish them with the essential information and abilities for successful undertaking the board.
The top administration ought to likewise guarantee powerful observing and assessment methods
to limit asset wastage and augment project achievement.
Ford motor company is one of the biggest beneficiaries of agile project management techniques.
Employing a blend of the various techniques, at EMBA PRO we represent considerable authority
in Agile Project Management procedures. By applying Agile administration procedures to the
issue explanation in Ford Motor Company: According to Datrika (2018), the blueprint for
Mobility contextual investigation, we can form an expansive scope of arrangements like item and
administration development in the Technology and Operations industry, plan of action
advancement, smoothing out of activities, and adjusting the upstream and downstream worth
chains. Light-footed Management will empower senior chiefs in " Ford Motor Company:
Blueprint for Mobility " contextual analysis to – put up advancements quicker for sale to the
public, the lower hazard of item send-off, and give freedoms to the group to make changes
depending on the client input (Maley, 2019). This helped the firm in various projects in the firm
towards the expansion of their market In the world.
Conclusion
The success of every implemented project requires proper management and thus every manager
should be wise when actualizing the team involved in the management of the project. There is a
need of using the appropriate techniques and a well understanding of the concept of project
management. The act of guiding employees’ exertions to fulfill all project aims while keeping
them under reasonable expenses defines project management. Companies and other institutions
in today's world require to have the best output in the market where there is stiff competition. For
the success of the organizations, they must be able to have good strategies to do their activities
and projects through efficient project management techniques and concepts.
