Today, we will continue our previous lesson which


is advance word processing.
Before we start. Who can give a short recap about
the last topic we discussed?

Ma’am, last meeting we discussed about the productivity
tools. Productivity tools help us on using advanced knowledge
in word, PowerPoint, and excel applications.
Very good Maricar.

Ma’am, we also discussed the word processor specifically the
Microsoft word. And we also discussed on how to insert
different objects using Microsoft word such as; picture, chart,
smart art, clip art and shapes.

I will divide you into four groups. Then, I will give


each group a short letter. Each group need to read
the letter in 1 minute. Then after the 1 minute you
need to exchange the letter to other group.

Today we will discuss about Mail Merge and Label


Generation which are competency that really
important to every senior high school student
before you finish this subject, it will be very
important and helpful once you are graduate and
work in any office that you will require to create a
letter that you will need to send it to different
recipients. This lesson will be very essentials to all
and also aside from the mail merge. We will
discuss on how to save documents into portable
document format and also how to restrict format.

Here’s our Objectives for today. Can you please

3. Perform the steps in creating a simple mail merge.
at the end of our lesson we should accomplish
those objectives.

Mail merge this feature allows you to create documents and
combine or merge them with another document or data file.
This is commonly used when sending out advertising materials
to various recipients.

and combine or merge them with another data file.

mail merge have a three components, such as;


Main document, Data Source and Merge
Documents.

So, let’s define first Main document


Mary Kris can you please read the meaning of main
document.

Main document the letter which contain the email information


for each of the merged document that can be letter,
stationary or template. It also contains the field names which
contains the instructions for carrying out the merge.

Next, Angelo kindly read the meaning of Data
Source. Data source it is also called data file which comprises the
information to be merged into a document such as the list of
names and addresses to be used in a mail merge. This must
be connected to the data source before it can be use the
information in it.

data file is a Label Generation and this is where the
individual information or data that needs to be
plugged in to the form document is placed and
maintained.
before you begin mail merge, you need to consider
the important field such as the Name and Address.
And also the content of the letter.

a mail merge. Merge document this is also a word processing document that
is the generated output after executing the merge process.

STEP 8: in the mail merge recipients dialog box. You can
check or uncheck each box to control which recipients are
included in the merge. By default, all recipients should be
selected. When you’re done click OK.

recipients are included in the merge. I will

STEP 9: from the Mail Merge task pane, click NEXT: WRITE
YOUR LETTER.
We will start to write the content of our letter.

STEP 10: Now you’re ready to write your letter. When it’s
printed, each copy of the letter will basically be the same:
only the recipient data such as the name and address will be
different. You’ll need to add placeholders for the recipient
data so Mail Merge knows exactly where to add the data.

STEP 11: Place the insertion point in the documents where


you want the information to appear.

appear with various options. Select the desired options and

Problem: Miss. Ivana Alawi, the director of admissions at YOUTUBE University , has asked you to send an
orientation letter announcement to all incoming freshmen. You decide to use a form letter.
1. Create a folder called “YOUTUBE University Mail Merge” save all files created in this activity into this folder.
2. start with a blank file and save it with the name “YOUTUBE University Letter” when you are working always Save
your work as often as you can.
3. Before doing anything, select “1.15 Line and Paragraph Spacing” Font style should me Bookman Old Style size
12. Margins should be at 1 inch all sides.
4. Create the data file or the recipients from the table below. Save the data file with the name YOUTUBE University
Freshmen.
