Scope of work for Security Services

General Instructions
Visitors Movement: In absence of the receptionist, security personnel shall attend all visitors in polite manner to enquire purpose of visit. After availing necessary details, will request the visitor to be seated at reception and inform concern employee to whom visitor wants to meet. Security personnel shall request the visitor to make appropriate entry in to the register kept at Reception. Security personnel shall request all staff members to utilize visitors room. Concerned employee shall receive the visitor to take him to the specified place for meeting. Security personnel shall request all regular visitors to make entry into the visitors register & issue them temporary I.D. Card to access in the premises & meet the concerned employee as per his instructions. Security personnel shall allow in/out general maintenance personnel on instructions from either staff member or company representative. Security personnel shall direct all guest to enter/leave from appropriate entrance/exit. Security personnel shall keep track of the movement of all employees & Contract employees who are allowed to access from any entrance other than the main one.

Lights & Air Conditioners: Security personnel shall ensure that all lights & Air conditioners to be switched off whenever it is not required. All security personnel shall have the knowledge of the positions of electrical lighting & aircondition switches of the office premises.

Discipline: Security personnel shall interact politely and firmly with all staff members & visitors. They have to be well mannered and keep respect of all. All security personnel shall wear neat & clean uniforms & clean-shaven every day. They will not chew anything like Pan / Tobacco. Security personnel shall adhere to the companys policies under the supervision of Admn. Dept. All eatables are strictly prohibited in the general premises.

Telephone System: Security personnel shall take care of incoming telephone calls after working hours. Security personnel shall answer all telephone calls politely in a specified way as per instructions Admn Executive or front office representative, e. g. Good morning / Afternoon / Evening & May I help you Sir / Madam. Movement of Office Equipment / Material: Security personnel shall check all incoming office equipment/material as per challan as given below. o Fresh Material / New Equipment coming with proper challan/Invoice. o Replacement of material coming for rejection. o Equipment coming after due repairs o Personal equipment of individual employee with proper declaration. Security personnel shall make proper entries in the specified register & keep the register updated. Security personnel shall check all outgoing Material / Equipment as per proper gate pass duly signed by the competent authority as given below: o All Company Material / Equipments going out for replacement / Repairs (Returnable). o Material / Equipment going permanently to the branches.

Security personnel shall keep track on the material / equipment which is going on returnable basis as per schedule date of return & all such overdue things to bring to notice of Admn. Dept. Security personnel shall bring to notice of Hr & Admn Dept about any shortage or excess quantity found which does not match challan/gate pass. The security personnel must ensure no movement of equipment / material from the office, without signatures of the competent authority on the gate Pass List of specimen signatures of authorized signatory will be kept at reception with the security personnel. Fire extinguisher System: Security personnel shall be trained for fire fighting as per specific schedule. All record of such training is to be maintained in appropriate register. Security personnel shall keep track of expiry date of all fire extinguishers, and bring it to the notice of Admn Dept. well in advance before expiry date. Admn. Dept. has to make arrangements for a refilling of all fire extinguishers.

Rotation of Guards: . Security personnel shall be rotated to other site by systematic schedule with out disturbing routine work.

Emergency Procedure

If needed call police 100, call (security agency) control room e. Security guard should inform branch in charge/local admin manager/regional admin

In case of fire Raise alarm Try to extinguish it by using fire-fighting equipment. Inform contact person/duty manager. Call fire brigade 101, if ordered by admin/duty manager and direct them to the location. e. Security guard should inform local police station and fire brigade.

3. Accident /Personal Injurya. Give first aid b. Inform concerned staff. c. Call for ambulance 4. Provision of First Aid a. Know the location of the first aid box. b. Take the injured to the medical room in the building if available. c. Security guard should inform local Doctor/Emergency/ Admin in case of requirement.

To know the location of the following a. Fire hydrants b. Fire extinguishers c. Siren/Alarm Bells d. Fire Control Panel e. Electrical Panel f. AC Switch g. Glow Sign Board Switch h. Lift Switching Off i. Emergency Exit j. Server Room k. Admin. Manager Location l. Duty Manager Location m. First Aid Box Location n. Medical Room o. Nearest Location of Ambulance p. Near Fire Station

Nearest Police Station Local Doctor Reception Staff Canteen Perimeter Patrolling a. Any suspicious item seen lying around, check but do not touch. b. Check all security lights are in working condition. c. Any person moving without ID or Visitor card to be stopped and enquired. d. Any contract worker like gardener, electrician, labor keep a strict watch on them and their work. Keep a record of time and name in log/note book. e. Check no Person is moving in restricted area.

Visitors a. Check identification b. Confirm from staff if the person has appointment with him/her. c. If the concerned person cannot accompany the person then to escort the visitor to the reception. d. Note/check the items which the visitor is carrying mobile, laptop, palmtop, briefcase, bags etc. e. Issue visitor pass f. In case the visitor is in office premises for long to check with the concerned person.

7. Staff a. Check ID card (match the photographs) b. ID to be always displayed c. During patrolling if any one is seen without ID card/Visitor card enquire and check. Request the staff to wear the ID card and in case of a visitor take them to the security desk and enquire. d. Do not argue with staff e. Be always polite and courteous, but firm f. Allow staff only after full and proper identification.
