The Format
• Box is compulsory. Inside which the content of the notice
must be written.
• Issuing Authority / Name of the institution(In Capital Letters)
• The word “Notice”
• Heading
• Date
• Content
• Writer’s name with the designation
Content
Notices should cover some important points that are to be communicated
to the readers. Let us summarise the five points that the content of the
notice will cover, the five W’s
1.What: What is the notice about? The notice should be clear about what is
going to happen (event), or what has already happened (occasion). This is
the crux of the message and should be written clearly. There should not be
any ambiguity.
2.Where: If the notice is about an event, then the location of such an event
must be written clearly. The venue or the location are important details, so
make sure to include this in the notice.
3.When: This is the time and the date of the event or meeting. If possible
the duration of the event should also be mentioned to people can schedule
their time accordingly.
4.Who: This will be whom the notice is addressed to. Who all are suppose
to adhere to the notice should be clearly mentioned to avoid confusion.
5.Whom: And final detail should be whom to contact or get in touch with.
This mentions who the appropriate authority is to contact.
Expression
The expression means how the students have
expressed the data and facts in the notice via their
content. Here the student’s language, use of
sentences, grammar and spelling are taken into
consideration. Therefore make sure to use involve
all the facts and data in the questions with good and
crisp sentences in the notice.
Tips to Remember regarding Notice Writing
•Be precise and to the point. The ideal length of notice is
50 words, so precise language is appreciated.
•It is a formal form of communication so the language used
should be formal as well. No flowery text.
•Keep the sentences short and use simple words. Since
notices are fairly brief it is best to keep it simple.
•Use passive voice as far as possible.
•Present your notices in a proper format in a box. The
presentation should be neat and clear.

Remember
• It must contain complete information.
• The order of presentation should be clear.
• State the purpose of notice clearly.
• Content should include all necessary information, e.g. for a meeting
the time, venue, date and agenda.
• Use impersonal language, i.e., third person. Avoid ‘I’ and You’.
• Give the designation of the writer just below the signature.
• The date of writing notice is generally put at the top.
• Stick to the word limit.
On the occasion of Annual Science and Technology Day, Delhi Public
School, New Delhi has decided to organise a Science Exhibition. Vikram
who is the secretary of the Science Society, wants a meeting of the office-
bearers to discuss the arrangements for the science exhibition. Write a
notice in not more than 50 words.

going to organise a Science Exhibition. All office bearers are requested to
attend a meeting in the School Library on 30 July, 2020 at 4 pm to
discuss the arrangements for the Science Exhibition.
