The biggest challenge of becoming a beast at work (and life) is not the lack of
opportunity; it's the abundance of them. There are 1,000 doors you could go
through at any given moment that may help you take a step forward or backward.
Your job is to close 999 of them and walk through the one that will give you the
biggest results.
To make progress, you must convert time into momentum by deciding ‘yes’ or ‘no’
when opportunity comes your way. Indecision, distraction, and a lack of direction
may get in your way. Follow the 10 steps below to turn yourself into an efficiency
machine and unleash your performance in whatever you do.
If you want to optimize your mindset you have to take care of your health.
Efficiency requires constant decision-making and evaluation. If you're running off a
sleep-deprived and foggy brain, how can you expect to make clear decisions? If
there’s no fuel in your tank, how will your body have the energy you need to move
forward?
Here are some of the best ways to map out your strategy:
Write out your goals. Know the specific targets you're moving towards and make
sure they include dates. Otherwise, they're just empty ideas with no legs. You need
benchmarks against which to judge your progress.
Journal. It allows you to run thought experiments by asking a key question: What
will it look like when I succeed? Thinking through the steps that will lead you to
your end goal will help you vet your strategy. If the experiment ends after the first
step because you cannot fulfill its demands, then you need to come up with a new
plan of attack.

When you don't protect your time and agenda for the day, it doesn’t belong to you.
Instead of tackling your top 3 most important things, you’ll end up working on
projects that are somebody else’s priority.
You must know your three most important initiatives at all times. Write down what
needs to get done to move you closer to your goals the night before. Schedule time
and plan your agenda for the day around these tasks. Protecting your time and
your agenda from external influence and pressure ensures that you're not wasting
time on things that don’t move you forward. People will try to pull you into their
agenda, with little to no regard for what’s most important to you.
1. Make an “important things” list. Write down the 3-5 things that will move
you closer to your goals each day and schedule time to get them done.
Reference your list often and prioritize what needs to be done from that list
first.
2. Only answer emails that serve your goal. Don’t start your day from a
reactive place by working through new emails sent by others. Stay in
control of what YOU need to focus on first.
4. Designate at least two days a week for “Deep Work” that needs your
intense focus. Give your brain the time it needs to create, not just react.
5. Allow yourself 4 hours of work before you take any meetings. Strictly limit
“last-minute” meetings to legitimately time-sensitive material.

Practice saying “no” to everything that isn't directly tied to your goals. (This
includes saying no to low-efficiency stuff, even if it’s moving you in the right
direction.) Master this practice and make sure that you care about what you’re
working on.
In Tom’s case, he doesn’t have to think about what to do when he opens his eyes in
the morning. He doesn’t need to entertain what he’ll do if he has unplanned
downtime. He has rules in place for these situations that allows him to stay
congruent with the type of person capable of building the next Disney.

5. No sex M-F.
12. Never do tomorrow what you could do today. Never do later what you
can do right now.
Creating "chunk tasks" can help eliminate distractions. For example, setting a
designated time every day to reply to emails will keep you from randomly checking
your inbox when you should be working from your “important things” list. Let those
around you know when you are available, and when you are not. This will minimize
task switching and operating from a reactive state.
STEP 7: PRIORITIZE
THE RIGHT THINGS

The ICE Formula (Impact | Confidence | Ease) is a helpful way to decide what you
should be prioritizing at all times. Think which initiative has the most amount of
Impact, is the one you have most Confidence in working, and can be done with the
least amount of Effort.
You will have tasks that require a lot of time and will not make a significant impact,
even if they work. Other tasks will be quicker and easier while making a decent
impact. The ICE Formula makes prioritizing simple by averaging these three
factors and then ranking the totals. (Look for ICE templates online.)
Experiment and evaluate the results. The more experiments you run, the better
you'll get at assessing what's going to work. Data is information rich and should
always guide your next move in your career and business.

STEP 8: RELENTLESSLY
GET SHIT DONE

Success has never happened by accident. Your life, in this moment, is an exact
reflection of your decisions. If you’re serious about maximizing your efficiency you
have to get shit done. Attach meaning and purpose to the thing you want the most,
and cultivate a sense of urgency to outwork everyone in the room. Get obsessed
with developing your skill set and being so good that you can’t be ignored.
Make sure your version of success is specific and clear. Remember, success is a
game of problem solving and in order to succeed, you have to be willing to try, fail,
adjust, and try again. Getting shit done means that you play to win every single
day, leaving it all out on the field.
Impact Theory Belief #13 states, “Everyone has something to teach you. Learn
from whomever you can.” Remember to check your ego and let no opportunity to
learn pass you by, whether it’s from a previous mistake, perceived failure, or
someone pointing out a perspective that you had never before considered.

Create a scale and grade yourself. Based on what you needed to get done for the
day, how much of it did you actually do? And how well did you do it? If you
consistently have low scoring days, figure out why. If you have high and low
rollercoaster scores throughout the week, figure out what you're doing differently
on your high days to maximize efficiency.
