II TRANSFER OUT/ CHECK OUT


(It is important to note that the guide must be at the hotel lobby at least, 15 minutes before the
pick-up time. The best policy is that the guide is already in the lobby before the first guest comes
to the lobby. This will give the guest the feeling of security. Always remember that nothing is
more exciting that is going back home after a long holiday.)
Guide : Good afternoon, Mr. Smith. Good afternoon, Mrs. Smith. Did you enjoy your
stay?
Client : Yes, thank you. It’s such a nice place. I think we’ll come back for our next
holiday.
Guide : I’m glad to hear that. If you come back, don’t hesitate to contact us.
(When all the clients gather in the lobby, it is best to distribute the plane tickets first as it has
always been too risky to keep them too long)
Guide : There you are, please check your flight coupons and all the connecting flight.
I’m afraid that we can’t reserve your seats as it must be done at the check in
counter. Therefore, you will ask the person in charge at the counter about the
seat you requested. Alright, would you please check your luggage once again
before we put them into the luggage van?
(This time you have to mark and count how many pieces of luggage are. Then, you have to
confirm the number with the bell boy. It is also good to advise the bell boy to wait for you at the
airport before the luggage is brought through customs. This allows the clients be able to have a
final check of their luggage. Before you leave the hotel, you have to check with bell captain that
all the guests have settled their bills. When everything has been settled, it is time for you to
arrange the bus which can be contacted through the taxi counter where a loudspeaker is provided
for specific purpose)
Guide : alright everybody, are you ready to board the bus now?
(When all the guests are on the bus, remember to check once again that everybody is already on
the bus)
Guide : Well, good afternoon, ladies and gentleman, first of all, the company would
like to thank you for choosing us as your travel agent and we greatly hope you
all enjoyed your holiday in Bali and will choose Sugriwa Travel again for your
next holiday. The company also wishes that you had a nice and memorable
holiday in this small and beautiful island. For your information, your flight
departure is … (tell the time). You will have a transit in Abhu Dabi, but you will
not change your airline, so you do not need to do re-check in or baggage claim.
At the Ngurah Rai Airport, you will have to do all the checking in procedure by
yourself as non-passenger are not allowed to enter the check-in area. However, I
will be waiting for you outside, if you need help, you know where to find me.
Please notify me when you get your boarding pass as a sign that you are ready

for your flight home. This also means that I can leave you all. The last step, you
will have to do is to go to the airport tax counter where you have to pay your
airport tax. It is ….. (Tell the price) rupiahs per person.
(Many guides try to develop a personal conversation with one or two clients at this stage. For
example, asking one of the clients whether she/he took a pictures or showed photos of something
typical about the island or the people of Bali. By doing this, you will be able to establish a more
friendly and personal relationship with your clients. If you have your clients stay at a hotel
located in Sanur area, it might be interesting to provide them with an information about what
they see on the way to airport.
Guide : Well, ladies and gentleman, the empty space in your left side was used to be a
Balinese traditional salt farming. Some farmers built their living quarters on the
spot. The area was converted into shrimps farming where export quality shrimps
were produced there. This continued for a number of years involving millions of
rupiahs as the investment. It was a labor-intensive project. However, it was
realized that the project had brought a number of environmental problem such
as, pollution and destructive marine ecosystem. The local government of Bali
then realized the project had a potential danger to the marine ecosystem. As a
result, this project is banned until now. The shrimps farming is completely
closed and the area is now preserved as a green belt where mangrove trees have
been replanted in order to protect the marine ecosystem in the area. This, in my
opinion, is a wise step towards a Green Bali Policy for the environmental
protection of the island.
Guide : Well, ladies and gentleman, we are arriving at the airport. Just before you leave
the bus, please check all of your belongings and make sure nothing is left
behind. Thank you.
(When the guides lead the guests to the customs area, please check the luggage once again and
walk in front the guest)
Guide : Well, just before we go inside, would you please check once again your
luggage? (Everybody checks their luggage). Alright, I am afraid that I can only
wait for you here. Would you please put all of your belongings on the conveyor
belt for inspection? If you think you have your magnet-sensitive stuff, would
you please have it personally to be inspected by the person in charge?
Guest : What about our films? Is it safe to have them X-rayed?
Guide : Yes it is. Well, thank you very much. I guess you can now proceed to the
counter over there. After you receive the boarding pass you will have to pay the
airport tax over there. Please don’t forget to let me know about that.
(Some travel agents have their own representative in charge for helping their clients deal with the
check in. in that case, you can tell your clients about the service. When you think that all of the
clients have received their boarding pass you can now leave the airport and back to office).
