Chapter 2

MANAGEMENT AND PERSONNEL FEASIBILITY

Management and personnel are important aspects in establishing a

business. They are the ones who’s running and leading the business into its

success or into its loss. This chapter tackles the business organizational

structure, the personnel needed, as well as their job descriptions, responsibilities,

and qualifications. This also tackles the form of ownership, the basic

considerations, and projected time table of the business.

Purpose of the Project

The purpose of establishment JASE Pastries is to engage people to eat

healthier products and help the community in promoting healthy eating. It is very

important to take care of our health, especially now that we are in the time of

pandemic. One of the best ways to avoid acquiring diseases is being healthy.

The nutrients needed by our body came from the foods that we eat and this is

why we should look into the foods that we take on our body. JASE Pastries will

produce malunggay pastries to give customers healthy benefits from buying and

eating the products. Malunggay is a very healthy vegetable containing lots of

nutrients and according to studies, it is a good health enhancer. Also, the

purpose of JASE Pastries is to make malunggay pastries as one of favorite

snacks of children, to help parents make their children easily eat a healthy snack

that they will enjoy and ensure healthy benefits from eating it.

Form of Ownership

JASE Pastries is a general type of business partnership. It is owned by

four female persons who agreed to share profit and loss following the terms of

the general partnership agreement. Article 1767 of the Civil Code of the

Philippines defines partnership as a contract between an association of two or

more persons engaged in a certain business and binds them to share money,

property, or industry with a common fund.

A general partnership according to Corporate Finance Institute, is an

agreement between partners to establish and run a business together. All

partners in a general partnership are responsible for the business and are

subject to unlimited liability for business debts. The reason why the proponents

chose this type of business partnership, it is because a general partnership is

easy to establish. A general partnership faces simplified taxes. All profits and

losses are passed through to the individual partners. Lastly, partnership contracts

are easy to dissolve at any time.

General partnerships allow you to negotiate the terms of profit and loss

allocation, management operations, and interest transfers. This means you have

control over who works on which aspects of the business and can establish

mutually beneficial structures, salaries, and payments, among other things.

Personnel Qualifications, Duties and Responsibilities

Job Title: Store Manager

Job Descriptions: Store Manager is responsible for overseeing the daily

operations of a store, making sure it runs smoothly and effectively. Their duties

include motivating sales teams, creating business strategies, developing

promotional material, and training new staff.

Salary: PHP 20,850.00 monthly

Duties and Responsibilities:

 Develop business strategies to raise our customers’ pool, expand store

traffic, and optimize profitability

 Meet sales goals by training, motivating, mentoring, and providing

feedback to staff

 Ensure high levels of customer satisfaction through excellent service

 Complete store administration and ensure compliance with policies and

procedures

 Maintain outstanding store condition and visual merchandising standards

 Report on buying trends, customer needs, profits etc

 Propose innovative ideas to increase market share

 Conduct personnel performance appraisals to assess training needs and

build career paths

 Deal with all issues that arise from staff or customers (complaints,

grievances etc.)

Job Title: Baker

Job Descriptions: Baker craft recipes and create baked goods. They measure

and mix raw ingredients, bake and decorate items, and ensure that all raw and

finished goods adhere to quality and food safety standards.

Salary: PHP 16,050.00 monthly

Duties and Responsibilities:

 Designing, improving recipes. Decorating and displaying finished

products.

 Measuring and combining ingredients and using mixers, blenders, heat

sources, and other equipment to make baked goods, such as cookies,

cupcakes, cakes, etc.

 Testing ingredients and finished goods to ensure that each item meets

food safety and quality controls.

 Keeping records relating to deliveries, inventory, and production levels.

Requirements and Qualifications:

 Male/Female

 Experience as a Baker, Pastry Chef or similar role

 Familiarity with all professional kitchen equipment

 Understanding of food safety practices

 Experience with pastry decoration techniques

 Excellent time-management skills

 Ability to remain calm and focused in a fast-paced environment

 Certification from a culinary school is a plus

Job Title: Kitchen Assistant

Job Descriptions: Kitchen Assistants perform all cleaning, washing, and

preparation duties required in kitchens. They assist the baker with all tasks

necessary to ensure that kitchen operations run smoothly.

Salary: PHP 10,500.00 monthly

Duties and Responsibilities:

 Properly cleaning and sanitizing all food preparation areas

 Washing and appropriately storing all baking equipment and baking tools.

 Sweep and mop floors at the beginning and ending of shifts.

 Assisting the baker with the preparation of baking ingredients.

 Arrange equipment and ingredient deliveries.

 Keep the food and supply storage areas organized.

 Take out the garbage

Requirements and Qualifications:

 Male/Female

 A fast learner with an interest in kitchen work

 The ability to stand for long hours

 Willingness to adhere to health and safety rules

 Good organizational skills

 The ability to work unsupervised in a busy environment

 Patience and cool-headedness

Job Title: Counter Staff

Job Descriptions: The first employee that customers meet upon entering the

store. They are responsible for handling the sales process, from the time of the

first request to the execution of the order.

Salary: PHP 10,500.00 monthly

Duties and Responsibilities:

 Provides a positive customer experience with fair, friendly, and courteous

service.

 Registers sales on cash register by scanning items, itemizing and totaling

customer purchases and bags purchases.

 Resolves customer issues and answers questions.

 Balances cash drawer by counting cash at beginning and end of work

shift.

 Enters price changes by referring to price sheets and special sale

bulletins.

 Maintains a safe and clean working environment by complying with

procedures, rules and regulations.

Requirements and Qualifications:

 Male/Female

 Knowledge and use of cash register

 Excellent interpersonal, good communication and listening skills

 Previous food service experience

Personnel Policies

To prevent any problem at JASE Pastries store, employees are

encouraged to follow the policies while at work. All employees must familiarize

themselves with the rules and regulations. Regardless of the position, each and

every one within the business is expected to follow the policies. Before beginning

to work, the baker and the kitchen staff should wash the hands and arms. Any

employee should not leave his/her workplace except when the manager

instructed him/her to do so.

Professional Ethics for Food Service Personnel

Physical Projection

 The hair should be clean, neatly combed and should wear a hair net.

 Length of men’s hair should not go beyond the collar and the side hair

must not cover the ear and should wear a hairnet if the employee is in

charge in the kitchen.

 The uniforms must be comfortably fit

 All prescribed uniforms should be worn on designated days.

 Men free of beard or mustache

 Female employees must have light and appropriate make –up that should

be retouched from time to time.

 Earrings are never appropriate for men; female employees should never

wear dangling earrings.

 The baker and kitchen staff must have no tooth decay

 All employees must be free from body odor

 The fingernails must be clean and free from dirt.

 All employees are not allowed to have long fingernails.

 Excessive jewelry is not appropriate.

Work Behavior and Habits

A professional server must behave with gentleness and in strict

observance of the rules of basic work ethics.

Unpleasant habits and behavior

 Grouping together with other staff for a chat while in duty

 Mannerism like biting nails, biting lips, crossing arms, etc.

 Frowning look and show of irritation towards to customers

 Suggesting or demanding a tip is not allowed

 Bluffing customers

 Using rude and insulting languages is prohibited.

Rules and Regulations

A. Store service operation

Monday - Sunday 8:00 AM - 6:00 PM

B. Absences

All employees should plan to be absent in the work due to personal

reasons, must obtain approval from the store manager two or four days

before the planned absence. However, if unexpected absences personnel

should be notified and give the reason for being absent that day. if the

employee cannot report within the day, it will be considered AWOL

(Absence without Official Leave).

C. Leaving Workplace

Any employee that leaves his or her workplace just to chitchat with

other staffs is not allowed unless the manager instructs the employee to

do a specific work.

D. Conduct and Behavior

 1st Offense - Verbal Warning

 2nd Offense - Memo

 3rd Offense - Suspension

 4th Offense -Termination

E. Compensation Policy

 No work, No pay

 All employees are paid based on the fixed rate/amount for their

position given by the owners.

F. Terms of Payment

 Sales can be on cash basis

 Sales can be paid through GCash, debit card or credit card.

G. Operating Policies

 Operating hours will be from 4:00 am-7:00 pm from Mondays to

Sundays

 No under time

 Employees should wear proper uniform

 If there is equipment that is destroyed the employee who is in charge

for that should pay the damages or it will be deducted from his/her

salary

 If the Cash didn’t match to the sales, the Cashier/Counter staff will be

liable for the missing amount or it will deduct to his/ her salary.

 All employees should meet the working standard requirements.

 Absences due to sickness should present medical certificate

 Late employees would receive the following punishments at:

o 1st Offense - Verbal warning

o 2nd Offense - Verbal and Written Warning

o 3rd Offense - Salary deduction

o 4th Offense - suspension for 2 days

o 4 consecutive Absences - Dismissed to his/her job

 Overtime for each employee should be paid based on the hourly rate

H. Relating to Customers

Each and every one should show friendliness to all customers and

avoid frowning and showing disrespectful actions. Greeting all customers

should be shown every time. Asking and suggesting orders in a friendly

way. Answering their inquiries in hospitable manners and upon payment it

is important to show gratefulness, thanking them and telling them to come

again.
