Leave Policy

OBJECTIVE:
The Company encourages you to plan your leaves in advance and leverage your accumulated
leaves. This policy provides guidelines for permissible leave from work during the financial year.
This policy is not applicable for interns. Interns are not eligible for any paid leaves during the
internship period. Any leave taken will be deducted from the Intern’s stipend.

POLICY DETAILS:
1. Effective Date: The leave accounting year will be from April to March every year.
2. Paid Leaves: All employees on the rolls of the Company will be entitled to 12 days of paid leave
per annum earned as one leave per month worked basis. Employees are required to earn leaves
before utilizing the leaves.

3. Distribution of leaves:

4. Notice for leave: Sufficient notice of leaves help us plan project deliverables and align with
customer commitments. We recommend the following timelines for notifying your leave plans:
a. Half Days: TWO DAYS prior to the day on which such half day leave
b. Full Day Leaves: One-day leave One week prior to the first day of leave
c. 2 or more days of leave: 2 weeks’ prior notice in case of leaves exceeding 2 or more days
d. Leaves cannot exceed FIVE working days at any time.
e. All leave requests need to be sent to the reporting manager and copied to
[email protected].

5. Work from Home Policy:


a. You are required to follow the Work from Office (WFO) schedule as published by HR from
time-to-time.
b. All leave requests and Work from Home requests need to be approved by your manager.
c. Please apply for a leave If you are not well or dealing with any health issues. It will be
difficult to focus on work and provide desired output in such circumstances and we
recommend taking the time off to recover.
d. Once the leave or WFH request is approved, a formal mail stating the day and the reason
for working from home should be sent to [email protected] and [email protected].
e. The formal email should be sent well in advance (at least 2 days in advance) and not on the
day of the leave/ WFH request so that your lead/ manager can plan deliverables accordingly.
f. Please refer Section O - Work from Home Policy in the Employee Manual for additional
details regarding the policy.
To Summarise:

1. WFO is not optional.


2. All WFH and Leave requests require prior approval from your manager.
3. WFH is not at your discretion. This needs prior approval.
4. Sufficient heads-up should be provided.

6. Approval of Leaves: The following criteria are applicable for approval of leaves:
a. Approval of leave application by your immediate lead
b. Sufficient leave balance at the time of applying for the leave as well as at the time of
the proposed leave.

7. Late Arrival or Early Checkout:


a. Late Arrival: Half day leave will be deducted for check-in after 10.30 am.
b. Early Exit: Half day leave will be deducted for early checkout before 3.00 pm.

8. Loss of Pay (LOP): We discourage leaves beyond leave balance. We realize you may be required
to take leaves exceeding your leave balance due to unforeseeable circumstances. Please discuss
with your reporting manager in such cases.

9. Comp Leaves & Overtime Payment: Compensatory leaves will be earned only in case when an
employee has worked on a weekly off/holiday as per request from the Reporting Manager. All
compensatory leaves need to be approved by the Reporting Manager via email.

10. Lapse of Accumulated Leaves:


a. Paid Leaves are valid for the next 12 months and will lapse at the end of the 13th month. For
example, a leave earned in the month of April 2021 will lapse on April 30, 2022 and so on.
i. Balance of paid leaves in the account of the separating employee will be
payable based on regular monthly salary credited into the individual’s bank
account.
ii. Employees should have completed SIX months of continuous employment in
the Company to be eligible for encashment of leaves balance.
b. Compensatory Leaves are valid for the next 6 months and will lapse in the 7th month. For
example, compensatory leave earned in April 2021 will lapse on October 31, 2021.
Compensatory leaves are encashable only at the time of exit from the Company.

In case of leaves, Compensatory leave balance will be deducted before any deduction from
Paid Leaves.

11. Maternity Leave (as per The Maternity Benefit Act 1961):
a. Applicability: These leaves are applicable only to married female employees who have
completed 6 months (180 days) of continuous service with the Company.
b. Maternity Leave is applicable for a maximum of 26 weeks.
c. Notice of Leave: Any woman entitled to maternity benefit should give notice in writing to the
Company, stating that her maternity benefit and any other amount to which she may be entitled
be paid to her and that she will not work in any establishment during the period for which she
receives maternity benefit.
d. The Management should be intimated three months prior to the leave:
i. About pregnancy.
ii. About child’s birth due date.
iii. Leave Plan with leave start date and leave end date.
