UKG Ready WFM Checklist

Purpose
In order to ensure your project runs as efficiently as possible please provide the below data as instructed by
your Project Manager prior to your first Business Process workshop.

This checklist below provides you with a list of items that you can start to get together now to make this
process as quick and easy as possible. Your Project Manager and Application Consultant will discuss these
further with you in the during the Business Process Workshop and will reference these requirements
throughout the life of the project

Completed Item Description

Employee Masterfile information can be imported directly into the


Workforce Ready application and we will be able to provide you with a
template format to populate this information. Your Project Manager
☐ Employee Data and/or Application Consultant can advise further. Please Note:
Employee information should not be emailed as this is a Privacy risk
your Project Manager and or Application Consultant can show you
where this can be uploaded into the system for review.

List of your pay codes referred to as Counters in Workforce Ready. For


☐ Pay Codes example, Normal (NORM), Overtime (OT1.5), Shift Allowance (SHFT15),
etc.

List of leave codes referred to as Time Off Codes in Workforce Ready.


☐ Leave Codes For example, Annual Leave (ANNLVE), Personal Leave (PERS), Jury Duty
(JURY) etc.

List of the different employee schedules\shifts your company uses. We


☐ Schedule/Roster need the start and end times as well as what days (Monday, Tuesday,
etc.) they are in effect for.

Payroll Calendar / List of your payroll calendar, which should contain starting and ending

Pay Periods dates for your pay periods and payroll processing dates.

List of your cost centres, which may be used to allocate time to


☐ Cost Centres departments, jobs, tasks, positions, projects etc. This may be closely
aligned to your current organisational structure.

If you have any holidays such as regional holidays, show days etc. please
☐ Public Holidays obtain and provide a list of your holidays and the dates they are
observed.

Please obtain a payroll (time data) import specification document from
Payroll Import your payroll software vendor. This will be used to configure your payroll

Specification data export file for import into your payroll system for processing. If
possible, provide a sample import file.

Current Payroll and Please obtain and provide the names of your current Payroll and HR

HR Vendors vendors as well as the version of software they are on.

Please be prepared to speak about your pay calculations, items such as:
• Public Holiday Pay Calculations (how to pay if worked/not
worked)
• Ordinary, Overtime / Double Time Pay Calculations (Daily

/Weekly)
• Shift Premium Calculations (Morning, Afternoon, Night shifts)
• Any Other Pay Calculations That Effect How Employees Are Paid
(Allowances)

Please be prepared to describe your requirements regarding how to


round your employees’ clock in/out times. For example, round down to
the nearest 15 minutes OR 7/8-minute split. Please consider what
☐ Rounding happens before and after scheduled start times. NOTE: Rounding and
Exceptions are not the same. Rounding is determining how the system
will calculate payment when an employee clocks in early/late i.e. raw
punch times, rounded times, scheduled time only etc.

Please be prepared to speak about your pay calculations, items such as:
• Meal Deduction Amounts
☐ Meal Deductions
• Punch Rounding Settings
• Breaks

Please be prepared to advise your exception notifications. For example,


what exceptions (Late In punch, Early In punch, Absence, etc.) would

Sample timesheets and prepare test cases, scenarios and exceptions of


your employee’s time and attendance to aid in better understanding
