CHAPTER ONE
INTRODUCTION
1.1 BACKGROUND OF STUDY
This case study is about a canteen ordering and management system, it allot fast
services to their customers. Usually People have to go to canteen and order the foods and
they have to wait in queue for a long time to get the orders. But with the help of this you
just have to follow a very simple process to order your stuffs. And you need not to wait in
the long queue. This will help to manage canteen operations primarily in small canteen
organizations which have barred customers and products. This system is supported to
eliminate and in some cases reduce the hardship faced by this existing system. Equally, it
manages meal orders, billing & payment. Digital signage for menu displays. Eliminates
the queues ensuring seamless canteen operations.

1.2 STATEMENT OF PROBLEM

2
1.3 OBJECTIVES OF STUDY
The main objective of the study is to develop a canteen ordering and management
system which is accessible in the web that will provide a convenient way of ordering food
online to customers using their smartphones instead of going out and wait in queue for along
time. So in order to achieve this, we designed a system with the following:
The products and services offered would provide the customers with all the different
categories of available products that they can choose and select from. Available food menu
will be displayed with its price. The system will provide a user friendly environment between
the customer and employee thus increasing the efficiency of the food ordering system. It will
also help for easy retrieval of orders made by the customers.
This study also lays out a design for a new system to be developed and brought to the
market for convenience of accessibility through using the web, where users can log in to our
server and make a selection of whatever food they like and give a choice if either pay after
delivery(Cash-on-Delivey) or pay via the internet.

1.4 SIGNIFICANCE OF STUDY

Development of computer technology in almost in all of the fields of operation and its
used in relation to information management, peolple try to look for convenient way for food
ordering and management by the development of online ordering system for companies to
meet up with demands of the customers. Therefore, the food ordering and management
system will help customers and management to:

1. Advertise available foods in their company

2. Reduce the workload in the workers
3. Reduce time wasted in data processing
4. Create a platform for online purchase and delivery of fast food
5. Keep accurate record on purchased order and delivery.

1.5 DEFINITION OF TERMS

1. Omnichannel
denoting or relating to a type of retail that
integrates the different method of shopping available to consumers
2. Tarnish
3
make or become less valuable or respected.
3. Barred
preventing entry or exit or a course of action
4. Allot

CHAPTER 2
REVIEW OF RELATED LITERATURE
2.1 CONCEPTS AND THEORIES
An order management system is a software system that facilitates and manages the
execution of trade orders. In the financial markets, an order must be placed in a trading
system to execute a buy or sell order for a security. Many order management systems offer
real-time trading solutions, which allows the user to monitor market prices and execute orders
in multiple exchanges across all markets forthwith by real-time price streaming. Some of the
benefits that firms can achieve from an order management system include managing orders
and asset allocation of portfolios.(Murphy, 2020)

An OMS operates on automation, and an automated order processing system saves

costs on manual labor, decreases the risk of human error across invoicing and order data, and
frees up time for companies to focus on growth and customer satisfaction. It also increases
data security as there is less need for manual intervention.

According to Dimov(2019), today’s retail industry is a complex landscape.

Customers want you to be flexible and they want to be instantly recognised across the multi-
channel network. A growing trend is to order online and pick up in-store, as shoppers want to
save time. They expect great customer service and want their order status sent out to their
favourite communication medium. As such, we are now in an omnichannel retail world. To
work with all the new sales channels while juggling fulfilment options requires an OMS. The
system you choose isn’t just managing orders anymore. It goes beyond order and inventory.
Today’s systems must be advanced tools to help you manage customers and make the buying
journey seamless. Ultimately, you need a powerful and advanced system.
New processes always have risks but the benefits and advantages can be invaluable
as you scale your business. There are many benefits available to distributors who invest in
4
these systems, including more visibility into what sells, streamlined shipping, better brand
experiences and buyer loyalty drives business. (What Is An Order Management System: The
Distributor’s Guide, 2020)
The more touchpoints and stakeholders involved in the order management process,
the more obstacles there are to its success. Some of the key challenges for businesses
include human error and process backlogs, inventory visibility, transportation errors, and
poor communication, which can all seriously negate customer satisfaction and ultimately
negatively impact loyalty.(The Challenges of Order Management, 2020)
Order management is simply the process of efficiently tracking and fulfilling sales
orders. It includes the cycle of people, processes, and suppliers to create a positive customer
experience. The order management process starts from when a customer places an order, to
keeping track of that order until it is fulfilled. It also involves keeping a record of the
customer – which may include their purchase history, payment method, and volume of order.
Sales departments give notification to the warehouse to fulfill the order, and the order is then
shipped to the customer.

Many wholesalers find that when the business takes off, many problems can arise due
to the number of people involved as a company grows. As one-off incidences, problems such
as late placement of order or wrong items delivered are seemingly harmless, but these can
tarnish the reputation of a business and lead to unsatisfied customers. (Dani Hao, 2020)
Not all data and processes needed to run an omnichannel business can be “inside” the
company’s walls. In today’s world, an OMS must be fully integrated with a wide variety of
external process, such as eCommerce websites, shopping channels, shippers, payment
processors, marketing services, and fraud prevention.
As you can see, an OMS does far more than just order management. It’s a well-
rounded business management tool that helps to keep all of your important data and processes
in one unified system.
Along with the benefits of reduced time and errors, making the switch to an order
management system means money saved for your business. By investing in an OMS, you
don’t have to spend money on separate accounting, inventory management, customer service,
shipping, and marketing software. Instead, an OMS gives you all of these components in one
program.
You can also save money thanks to the real-time data provided by your OMS. For
example, if your inventory data shows that a certain product is not selling well, or being
5
returned more than any other, you can drill down and figure out why. You may decide to
retire that product, or make improvements to improve sales. Your OMS offers a wealth of
interconnected data that you can use to increase the financial health of your business, and
make educated and informed decisions to improve your bottom line. (What does an order
management do?, 2020)

2.2 REVIEW OF RELATED SYSTEMS

Foodpanda Application
This application allows food shoppers to browse and order different foods available in
restaurants. Consumers can contact the rider directly. This feature allows consumers to start a
conversation with the riders directly. Now instead of calling restaurants and foodpanda
directly, customers can chat with the rider directly if they'd like to drop more instructions on
their location or to even inquire about late deliveries. From pick up to delivery points, all
food orders can now be tracked in real time through the app. Once the order is confirmed, the
‘contact your rider’ tab allows to start a conversation with your rider. From the restaurant to
your front door, now it's easier to know where your food is at all times.
FoodLine(Singapore’s Biggest Catering & Tingkat Portal)
FoodLine.sg is the biggest one-stop portal for people looking for buffet catering, food
catering services and cakes from Singapore caterers and cake shops. Here, people can search
for catering menus and cakes according to their budget, preferences and number of guests.
They can also compare thousands of past customer reviews by going through the list of
caterers and cake shops.
Lazada
Lazada Philippines, creates avenue for sellers to promote their items online, and to
give Filipinos new ways to discover and buy the best options for themselves. Its constantly
growing the inventory of items, and offering convenient payment options which are via
online or cash on delivery method, the true effortless shopping experience begins once again
through Lazada’s new platform. In this application, the user needs to log in in order to be able
to purchase products from the app.
Shopee
Shopee provides customers with an easy, secure and fast online shopping experience
through strong payment and logistical support. Shopee has a wide selection of product
6
categories ranging from consumer electronics to home & living, health & beauty, baby &
toys, fashion and fitness equipment.

CHAPTER 3
METHODOLOGY AND SYSTEM ANALYSIS

3.1 RESEARCH METHODOLOGY

A waterfall model under the software development life cycle (SDLC) will be the guide to
create the online food ordering system. It is used by system developers to produce or alter
information systems or software.
It divides the development process into several stages or processes. After the
completion of one stage, it will logically move to another stage. Sometimes
moving back to the previous stage is necessary due to failure that occurs in current
stage.

3.2 REQUREMENTS GATHERING

The requirement gathering technique to be employed in collecting data from the respondents
is through online survey using google forms or any online surveying platform.
