1. Discuss how commercial project management software packages can be used to assist in
representing and managing project schedules. (25 marks)

To truly answer this question correctly an understanding of what commercial project

management software packages are should be established. Software for project planning,
scheduling, resource allocation, and change management is known as project management
software. It enables cost control, budget management, quality management, and document
management for project managers (PMs), stakeholders, and users. It may also be used as an
administration system. Additionally, collaboration and communication between project
stakeholders are supported by project management software.

The use of these software packages comes with its own advantages which are as follows:
There is a centralized approach: The fact that a project management application keeps
everything consolidated is just one of its many benefits. Project management is made simpler
when everything is on one platform. It also encourages real-time tracking and aids in keeping
track of project collaboration. Not only that, but it also streamlines the process of alerting
other team members. Additionally, it enables you to overcome every challenge that comes
your way without any difficulty. For improved project management, the majority of software
solutions have all the functionality under one roof.

More so, it helps to establish clear goals: Setting up specific targets is simple using project
management software. One of the most important tasks in setting goals and objectives for a
project is to do this. The likelihood is that you won't have a roadmap if you don't know what
your final aim is. Setting objectives and hitting those milestones is much simpler with this
type of management software. This aid increases project transparency and encourages more
expansion. It aids in work delegation and also helps you establish priorities based on the
same. By doing this, it is ensured that the projects are completed on schedule and within
budget.
Furthermore, with project management software packages you are able to track progress:
The ability to track progress is one of the most popular and accountable benefits of project
management solutions. It is crucial to monitor the project's development at every level. This
aids in risk identification and may possibly stop any kind of possible crisis. It helps to have

tools for direction while managing several tasks at once. It should go without saying that
centralising data storage facilitates more straightforward issue tracking.

Also, it helps to identify risks: Every undertaking entails a certain amount of risk. You will
undoubtedly run into either one or the other, it goes without saying. Project management has
the benefit of facilitating earlier identification. It is simpler to properly manage risk when you
are able to see it earlier. You definitely don't want to have to correct everything at the final
end. Early problem solving aids in stopping the occurrence of additional issues, which
improves project performance.

Project management software encourages better prioritisation which is another wonderful

advantage. This will enable you to assess the project's weaknesses. Additionally, it aids in
project management. It ensures that you can send real-time updates to your teammates. These
platforms make it simple to prioritise projects if that is what is needed. You don't have to
approach each and every one of them and inform them. It would only take one central
message to tell everyone, which is a fantastic alternative.

Better collaboration: The use of project management software fosters improved teamwork.
How or why? it's primarily due to improved communication. It is simple to monitor the
progress when communication is centralised on one platform. Additionally, document sharing
is greatly streamlined. Overall, when the team's communication is on point, the collaboration
process as a whole runs well. By bridging the gaps, our software tool encourages improved
project execution and team formation.

However, there are some disadvantages that come with these software packages which are as
follows:
It is a very costly investment in that it requires money to buy good project management
software. And for other businesses, the cost can be a deterrent to making the switch to project
management software. In addition to the software's cost, its implementation and upkeep are
also expensive. Additionally, some goods are frequently sold with additional modules, which
could increase their price.

It may be complex: Although project management software is designed to assist businesses

in organising their operations and streamlining their workflow, getting used to the system
may take some time. There is a learning curve that needs to be considered based on the
complexity of the programme. Project managers will need to become familiar with the
program's main functions and make sure that their team members are trained on the features
that are pertinent to the jobs they must complete. It will undoubtedly take some time for
everyone to catch up and for the new system to be effectively used by all.

The project team may be switching from conventional spreadsheets to project management
software for the first time. When using the tool for the first time, the team could initially be
frustrated by how challenging the UI is to use because they assume it will take some getting
accustomed to. Without anything to compare it against, they might not understand that the
interface was actually poorly designed, which is why they are having trouble using the
programme. Unattractive, overcrowded interfaces with poor design can be rather
inconvenient. The team may desire to completely return to the old way of doing things rather
than increasing productivity.

Furthermore, the benefits of using project management software out way the drawbacks.
Software for project management does have a price, however the improved team output more
than makes up for it. Regardless of the difficulty or learning curve, mastering a new skill is
always beneficial. Additionally, project managers must understand that project management
software is used to support and complement them, not to completely replace them, when it
comes to execution.

In conclusion. The project management software will be well worth it if the team puts out the
effort to utilise the project management software to its full capacity.
