you to know that assignments depend on the opening and availability onboard may take 3-6
months waiting period. We further advise you not to resign from your current job..

While waiting for your assignment, let’s have a look at the steps you need to take before you are
ready to go on board. To make the joining process and travel preparations smoother for you, please
see guidelines below which lists the important documents you need to ready.

An assigned Onboarding Specialist will provide additional instructions for your Pre-employment Medical
Exam (PEME), Visa, etc., and validation of uploaded documents will be done after receiving your Letter of
Employment (LOE).

Kindly email [email protected] within 72 hours to confirm that you are available to start
processing your document in the next 120 days. If not, please tell us the reason and state your next
date of availability.

How to Upload Your Documents in C-TRAC

Step 1. Log into your C-TRAC account

Step 2. Go to DOCUMENTS

Step 3. Click on the specific document you want t o upload

Step 4. Take a photo of or scan the document and save the file in jpg or pdf format

Step 5. Upload the file

Step 6. Enter your document details

Step 7. Click ADD

C-TRAC Document Status

Please refer to the color-coded status guide in C-TRAC to track the status of your r equirements.

• Yellow – Document Not Submitted (you have not yet uploaded your required document
• Orange – Pending Document Approval (your document details are incomplete)
• Red – Disapproved/Document Rejected (your uploaded document is invalid and has been
rejected by your Onboardin g Associat e)
• Green – Completed (your documen t has been verified as valid for your assignment

For any rejected documents, you will receive an email stating the reason for the rejection.

4. Background Check

Check your email from time to time to see if you’ve received an email from Hire Right, which is
contracted by RCL to perform a background check on you.

If you receive an email from Hire Right, please provide all the information they are requesting to
avoid any delays in the Background Check process.

5. STCW Training Certificates


All new hires need to obtain a:

Basic Training (BT) certificate with Certificate of Proficiency (COP)

Important Reminder: BT is a requirement for Seaman’s Book application. You must obtain
your COP at the Maritime Industry Authority (Marina). An RCL Medical Certificate for
Service at Sea is a requirement for COP application.

Ship Awareness and Seafarers with Designated Security Duties (SDSD)

You can undergo your BT and SDSD training at any Marina-approved maritime training
facility. We highly recommend the Philippine Center for Advanced Maritime Simulation and
Training (PHILCAMSAT). For more information, go to ww w.philcamsat.com.ph or visit their

Proficiency in Survival Craft and Rescue Boat (PSCRB) – Required for all Marine Personnel

- Click on STCW

- Take a photo of or scan your BST certificate

- Save the file as jpg or pdf

6. Seaman’s Book

Your Seafarer’s Identification and Record Book (SIRB) or Seaman’s Book must be valid for the
entire length of your contract. A Seaman’s Book issued starting 2017 is valid for 10 years.

After receiving your Seaman’s Book:

- Take a photo of or scan the page with your photo and details
- Save the file as jpg or pdf
- Enter your Seaman’s Book details
- Upload the file and click ADD

Your Seafarer's Identification and Record Book (SIRB) or Seaman's Book must be valid for at least
one year from your joining or sign-on date.

Kindly note that the correct SIRB Number is the one highlighted in yellow (see picture below).

7. Worker's Information Sheet (WIS)

Register with POEA’s online registration facility. This is open to all Filipino applicants aspiring
anytime. You need to have a valid Seaman’s Book before you can have the e-registration
number and Worker’s Information Sheet or WIS.

Review your WIS and verify the information. Make sure it contains error-free information about
your Seaman’s Book. This is needed by eRegistration System when we process your POEA
contract. If none appears in the WIS or if the information is inaccurate, rectify this under Section 3
of your POEA profile.

Additional information for the POEA e-registration You will need the following to register:

1. A working personal email account


2. A valid Philippine passport
3. Applicant is at least 18 years old

1. Section 1-For Seabased applicant/worker, select Sea-based in the class preference then
select Agency Hire
2. Your eRegistration account will be put to dormant status if there is no trace of login after 6
months.

4. Please ensure that the personal information indicated on your WIS application is based on
your passport.

9. Anti-Piracy Awareness Seminar (APAS) and Pre-Departure Orientation Seminar (PDOS)

POEA requires all Filipino seafarers to undergo an Anti-Piracy Awareness Seminar and a
Pre-Departure Orientation Seminar before joining their vessels.

Send an email to [email protected] to request APAS and PDOS schedules.


APAS and PDOS are whole-day sessions so you will need to schedule each on separate days.
Use the subject line: APAS / PDOS Training Schedule Request. APAS is held every
Tuesday and PDOS is held every Monday, Wednesday, and Thursday, at the RCM

After receiving your APAS certificate:

- Log into your C-TRAC account


- Go to DOCUMENTS
- Click on Anti-Piracy Training
- Take a photo of or scan your APAS certificate
- Save the file as jpg or pdf
- Enter your APAS details
- Upload the file and click ADD
