Project Initiation Document What does a project initiation document contain?

The precise contents of a project initiation document vary according to the type of project, and should be agreed between Project Manager and Supervisor. However, this document will contain the following as a minimum: the provisional project title the final title does not need to be decided on until write-up of the project a short description of the problem to be solved and its background the overall aim of the project the specific objectives to be met in meeting that aim project deliverables - these should include the project report the constraints imposed on you in meeting the objectives a short description of your proposed approach to solving the problem (e.g. what processes or methodologies do you plan to use? what technologies are candidates to be used?) a list of the facilities and resources needed a log of risks to the project (to be reviewed regularly) a list of the starting points that you intend for your research (e.g. specific books or papers in journals, existing reports or documents, online resources) a list of the major activities to be undertaken in the course of the project a project schedule (e.g. Gantt chart or similar) showing the timescales allotted for each major activity (no need for this to be very detailed, but it should have enough information to be used as the basis for periodic review of progress) consideration of legal, ethical and social considerations relating to the project and a completed ethical examination checklist and consent form if necessary. Remember if an ethical check list has not be completed, the project may not be marked.

What is the process for PID approval?


Create Document Review with Supervisor Effect Changes Submit final document to supervisor. Supervisor to approve document. Supervisor to submit to relevant Project Stakeholders. Stakeholder Review of Project. Stakeholder Approval of project. Final Approval communicated to Project team.

PID checklist
The following checklist can be used when preparing your PID.

Has your idea been approved?

Has enough explanation been supplied to identify the scope of the problem? Are resources available within the University, or easily obtainable? Is the tool choice realistic? Is there a client? Have all constraints and risks been identified? Does the list of proposed deliverables include:

Project artefact (if applicable) Project report Documentation relating to chosen methodology/ies?

Does the list of objectives cover the main tasks foreseen? Does the project plan:

Contain tasks relating to the list of objectives Have realistic time-scales Include a task for reviewing the project plan?

Has the ethical checklist procedure been followed, and evidence supplied in the PID? Does the reading list contain literature expected for the subject area, and expected/recent dates of publication?
