FATAL RISK CONTROL PROTOCOLS


SELF-ASSESSMENT
CONSOLIDATED DATA

Instructions For Completion

The data for the consolidation needs to be copied in from the various site workbooks. To do this you will need to do
the following:

1 Open the site's Self-Assessment Workbook and go to the "RawData" sheet.


2 Select the cell range A5:K204, this has been named "Results" to make it easier to select by selecting it from the
drop down list in the Name Box on the Formula Bar.
3 Copy the selected range of cells.
4 Switch back to this work book and select the "RawData" sheet.
5 Click on the first empty cell in column A at the end of the list of data. e.g. For the first time this will be cell A5, then
A205, A405 etc
6 Important: Choose from the Menus: Edit, Paste Special, Values. This will paste in only the values from the self-
assessment workbook and not the formulae which would create unnecessary links between the files.
7 Repeat Steps 1 - 7 for each site's Self-Assessment Workbook, adding each lot of data to the end of the existing
table being built up in this work book.
8 In this workbook, select the "RawData" worksheet.
9 Re-define the "RawData" range name to include the newly added data. To do this you will need to:
10 Click anywhere in the table of data, then press [Ctrl]+* to highlight the entire table.
11 From the Menus, choose: Insert, Name, Define.
12 Type the name "RawData" (without the quotes). This should replace the currently highlighted name
"Business_Unit". Then click on the OK button.
You should now be able to refresh the data in the Pivot table on the "Pivot Table" sheet, and this should use all the
data that you have now copied into the workbook.

IMPORTANT NOTES
1 When pasting the data into this work book, ALWAYS use the Paste Special, Values only.
2 Do not delete the pivot table on the "Pivot Table" sheet as the data in the predefined charts depends on it. It can
however been changed to include different fields or re-arranged without affecting the predefined charts.
