Microsoft Teams Guideline

Part -1
Login using Gmail account:
1. Provide your designated HR with your Gmail ID.
2. Wait for the HR to add you to the Microsoft Teams platform and
send you a link to your Gmail account.
3. Once you receive the link, click on it to access the specified team
chat.
**If you haven’t had account on MS teams before you will receive a
verification code to create the account in MS Teams**
4. Remember to keep your login credentials secure and do not share
them with anyone.
By following these steps, you should be able to access the Microsoft
Teams platform and communicate with your team members efficiently.
Note: - Please be sure to check your spam folder as well.
Login using Outlook/Other email platform
(Hotmail, Yahoo etc.) account:
1. Provide your designated HR with your email ID.
2. Wait for the HR to add you to the Microsoft Teams platform and
send you a link to your email account.
3. Once you receive the link, click on it to access the specified team
chat.
**If you haven’t had account on MS teams before you will receive a
verification code to create the account in MS Teams**

4. Remember to keep your login credentials secure and do not share


them with anyone.
By following these steps, you should be able to access the Microsoft
Teams platform and communicate with your team members efficiently.
Part-2

use the web app instead to avoid confliction

You may have two options when logging in: personal or GAO rfid inc.
(guest). To positively join the team, select the guest option. This option is
applicable for both the Gmail and Outlook and other email platforms.

Part-3
If you see a message saying "You'll need permission to access this
team or channel. Try contacting the team owner or admin.", there's
no need to panic. It is possible that it may take some time for your
username to be updated in the Teams database. This usually takes
about 1-2 hours but can sometimes take longer.
During this time, you may not be able to access certain features or join
certain teams and channels within the platform. However, once your
username has been updated, you should be able to fully access and use
Microsoft Teams.
It's also a good practice to confirm your presence in the team chat once
you have successfully logged in, as this will let your team members
know that you have joined the platform and are ready to communicate
and collaborate. Additionally, all the training materials will be provided in
the team chat, so you must check in every day to make sure you're
integrating with the team and your Team Leader / TL.

Part 4: Basic Navigation

Once you have successfully logged in to Microsoft Teams, you will see
the interface displayed on the screen. Here are some basic navigation
tips to help you get started:
1. Teams: This is where you can view and access all of the teams
that you are a member of. You can join new teams, create your
own team, and browse through teams that are available in your
organization.
2. Chat: This is where you can have one-on-one conversations with
your colleagues or group conversations with your team. You can
also use the chat feature to share screenshots, emojis, and gifs.
3. Calendar: This is where you can view your schedule and upcoming
meetings.
4. Calls: This is where you can make voice or video calls to other
team members. You can also use the calls feature to share your
screen or record a meeting.
5. Files: This is where you can access and share files with your team
members. You can create new files, upload existing files, and
collaborate with others in real-time.

Part 5: Best Practices

To ensure a productive and efficient experience with Microsoft Teams,


here are some best practices to keep in mind:
1. Communication: Use clear and concise language when
communicating with your team members. Avoid using emojis,
acronyms, or slang that may not be universally understood.
2. Notifications: Customize your notification settings to ensure that
you are only receiving alerts for important messages and updates.
3. Etiquette: Follow basic etiquette guidelines, such as being
respectful of others, refraining from interrupting, and muting your
microphone when not speaking.
4. Security: Keep your login credentials secure and do not share
them with anyone. Be cautious when clicking on links or
downloading files from unknown sources.
