1 scope

Library Management System is basically updating the manual library system into a internet-
based application so that the users can know the details of their accounts, availability of books
and remaining time for borrowing. The project is specifically designed for the use of librarians
and library users. The product will work as a complete user interface for library management
process and library usage from ordinary users. Library Management System can be used by any
existing or new library to manage its books and book borrowing ,insertion and monitoring .

3.2 Limitations

Without computers, as some libraries are, all of them are dependent on paper work. When
compared to computerized systems, data backup and data retrieval systems are inefficient and
labor intensive.

Users of a paper based system become almost wholly reliant on the librarians, for all levels of
service, whether they are enquiries about existing books, inter-library loans, or the availability of
books. There is additionally no real involvement of a user in the entire process.

Researching which new books are required by users becomes very difficult, and again, labor
intensive. Librarians must be consulted directly to find out the availability of a book since it may
already be issued to some other library user.

Furthermore, acquiring hard data on user trends and interests within the library again becomes
very hard with a paper based system. Forms will need to be designed, printed off and handed out.
This is the kind of work that an online, library based survey would improve on hugely.

5.1 Modules

SmartLib Library Management Software has a user friendly framework that consists of three
modules- Librarian, student interface and staff/ library staff/ mentors Interface Let’s go through
each of them

1. LIBRARIAN / ADMIN
In a Computerized Library Management System the librarian manages the library activities in
digital set-up. It negates the chances of losing and damage of paper works, documents and files.
The transaction can be conducted with less time and more effect by the user. The books can be
managed properly in the library with the system. Besides that, library management system also
allows user to manage the publisher as well as lost book module. The library staff can handle the
staff and view the report module.

1.2STUDENTS INTERFACE
This system is designed for a user friendly environment so that student and staff of library can
perform the various tasks easily and in an effective way. Through this part of the portal students
can log in and have access to the library data.

9.1 Future scope

This application can be easily implemented under various situations. We can add new features as
and when we require. Reusability is possible as and when require in this application. There is
flexibility in all the modules.

Extensibility:

This software is extendable in ways that its original developers may not expect. The following
principles enhances extensibility like hide data structure, avoid traversing multiple links or
methods, avoid case statements on object type and distinguish public and private operations.

Reusability:
Reusability is possible as and when require in this application. We can update it next version.
Reusable software reduces design, coding and testing cost by amortizing effort over several
designs. Reducing the amount of code also simplifies understanding, which increases the
likelihood that the code is correct. We follow up both types of reusability: Sharing of newly
written code within a project and reuse of previously written code on new projects

Understandability:

A method is understandable if someone other than the creator of the method can understand the
code (as well as the creator after a time lapse). We use the method, which small and coherent
helps to accomplish this.

Cost-effectiveness:

Its cost is under the budget and make within given time period. It is desirable to aim for a system
with a minimum cost subject to the condition that it must satisfy the entire requirement

Scope of this document is to put down the requirements, clearly identifying the information
needed by the user, the source of the information and outputs expected from the system.

2.1 Current System

In the available Online Library Management System, librarian maintains the details of each book
on the registers so to find out the number of books available in the library they need to go to
check the entire entry which makes the process slow. While they need to spend an extra hour to
maintain the records of books. For a student who wants to know about a book in the library need
to search the entire book section. The student needs to check the status of the book means the last
date of book, how many books has issued.
2.2 Flaws in Current System

 The financial drawback is one of the major reasons. To implement sophisticated


technology, you need to invest in it.

 People need to be educated in technology. This is a serious problem in developing


countries like India where the pedagogy and infrastructure are missing. Lack of training
facilities and unavailability of trained staff are major barriers.

 Barcode operations and retrospective conversion of materials need skilled data operators.

 Hardware like barcode printer, servers, barcode scanner, etc. are not insufficient. Also, to
acquire good quality hardware you need to invest more.

 Lack of support of college administrations that seem to ignore the need for digitization of
materials.

 Improper planning or organization. It needs coordinated efforts from IT professionals,


library management teams, and college administrations.

2.3 Need Of New System

The proposed Online Library Management System project will help the students and librarian to
maintain the details of the library. It will assist the librarian before the shortage of books while
they can know the details of the number of currently available in the library according to the
author by accessing the system. A student can view the details of the book issued by them, and
the system will notify the students about the last date of submission of books. At the time of
issue of a book, the student will get assisted by the system about different authors of a similar
book so that they can get the best available book from the library.
