Budget Description

I have divided the budget into different categories, and then kept expenses under them. The categories are as follows:
1. Decoration: Under this, I had kept expenses, which are done on pre-event basis. From standing (“I Love BHU”), flowers, colourful papers, posters,
banners, rangoli and Pooja items are kept under this section.
2. Material & Supplies: This category includes everything, which the four events needed to conduct smoothly. ID cards for volunteers, team leads and
team members, items to sell during Money in the Pocket event, colourful papers for hints during treasure hunt, and in other events for other purposes.
3. Logistics: Transportation costs, paperwork for permission to conduct event in the premises including Permission from proctors, Dean Sir and Director Sir
to cover event in BHU campus, classrooms and use equipment in the faculty.
4. Refreshments: Expenses related to Food items distributed to team members, volunteers and participants are brought under this.
5. Awards: This include costs related to trophies and certificates for top three teams and other participants as well.
6. Venue & Equipment: This include smartboards, classrooms and campus, which I had assumed to cost nothing here.
7. HR Costs: This includes compensation to the club members, which is assumed zero in my budget calculation.
8. Miscellaneous Expenses: This includes all other expenses, which do not fit in above categories including minor office supplies, or any ad hoc event
expenses.

Outcomes of the Budget Calculation

According to the assumptions and Budget Calculation attached below, following are the outcomes:
Lower Limit – Rs. 7,096
Upper Limit- Rs. 11,225
Average cost of the event comes to be Rs. 9,116

Therefore, we can say that the event on an average costs roughly around Rs. 9,000.
