Introduction

Fig 1. An editing software

As technology develops, one ongoing trend is editing pictures. The main reason for people
to edit pictures is to increase the pictures’ attractiveness, which can be used for different
purposes. The satisfaction that editors get when the pictures turn out to be more beautiful
than the original makes the editing of pictures more meaningful.

Most pictures used on one's social media accounts are enhanced with filters. The business
industry tends to place pictures in their advertisements to attract its target market. When

1
Unit 3.3: Inserting and Manipulating Graphics

submitting documents for school purposes, students are usually instructed to add and
improve pictures and other illustrations to make their work more engaging.

There is a vast amount of software available for editing. Users can easily install these on
their personal computers or mobile devices. Some are accessible through the Internet.
There are also those that are embedded within other software like word processors.

Have you tried editing your personal photo? What is your purpose for editing it? What
software did you use?

Documents that only contain text can be dull. Adding pictures can instantly make them
more pleasing. Documents that contain different illustrations can attract more readers. Also,
the use of images, much like the use of quoted texts, must be cited properly to avoid
plagiarism and other problems.

In this activity, work with a partner. Create a short caption for each of the pictures given
below. Write your caption on the space provided after each picture. Try to be as creative as
possible. Answer the guide questions after the activity.

Explain and Elaborate

Inserting and Manipulating Graphics in Word Processor

Fulfilling school requirements like reports using word processors may come easily for most
students because they are taught the basics of such programs at a very young age. They
also tend to explore technology more since it is easily accessible. Therefore, they are
expected to make their school papers more engaging and less boring. Most students try to
be creative by designing text, adding pictures and graphic organizers, and even applying
page borders.

Have you tried experimenting with the different

image formatting methods before? Was it hard?
Why? Why not?

One great feature of word processors to make documents more eye-catching is inserting
and manipulating graphics. Graphics are any visual representation of an object. These may

6
Unit 3.3: Inserting and Manipulating Graphics

come in the form of pictures, shapes, charts, and other similar objects. After inserting your
chosen graphics, you should not forget to format them to fit your document’s overall design.

We will be using Microsoft Word to illustrate how to insert and manipulate graphics. As you
open the program, you will see the following icons in the Insert ribbon.

Fig 2. Illustrations group options

The following are the features and its functions:

Picture

This allows users to insert any digital pictures stored in their personal computers or other
devices. The program supports different file formats like Windows Bitmap (.bmp),
Graphics Interchange Format (.gif), Joint Photographic Experts Group (.jpg), Portable
Network Graphics (.png), and Tagged Image File Format (.tif). Users can access these
through the dialog box that will pop out.

Clip Art

This allows users to insert clip art images installed in the program’s library. The program has
different kinds of useful content like static clip art, GIF images, and audio files. Users can
also download more clip art from Microsoft.com. Users can access these through the dialog
box at the right of the document.

After selecting any picture or clip art, an additional ribbon called Format will appear. This
will provide you with different options for enhancing the inserted graphic.

● Picture Layout - It converts selected graphics into organizers.

Fig 4. Remaining sets of options in Format ribbon

● Position - It changes the location of the graphic.

● Wrap Text - It positions the graphic around the text.
● Bring Forward or Send Backward - It moves the graphics forward or backward if
there is more than one selected.
● Selection Pane - It presents a pane for users to easily monitor the changes in the
graphic.
● Align - It helps line up graphics with different positions.
● Group - It groups graphics together into one.

8
Unit 3.3: Inserting and Manipulating Graphics

● Rotate - It changes the orientation of the graphic.

● Crop - It cuts out unwanted parts of the graphic.
● Height and Width - It modifies the graphic’s size.

Shapes

This allows users to insert different drawn shapes installed in the program. The gallery
provides a number of shapes under the categories lines, rectangles, basic shapes, block
arrows, equation shapes, flowchart, stars and banners, and callouts. These can also be
edited and combined to provide users with different looks. Users can access these through
the options below the icon.

Once users select any shape, the Format ribbon will also appear. The last two sets of options
are the same as those in Pictures and Clip Art.

Fig 5. First four sets of options in Format ribbon

● Insert Shapes - It edits the selected shape or replaces it with another one.
● Shape Styles - It gives different forms of the shape similar to the options on the side.
● Shape Fill - It applies color inside the shape.
● Shape Outline - It applies borders around the shape.
● Shape Effects - It adds different visual effects to the shape.
● WordArt Styles - It gives different forms of the text inside the shape similar to the
options on the side.
● Text Fill - It applies color inside the text inside the shape.
● Text Outline - It applies borders around the text inside the shape.
● Text Effects - It adds different visual effects to the text inside the shape.
● Text Direction - It changes the orientation of text inside the shape.
● Align Text - It helps line up the text inside the shape in different positions.
● Create Link - It links the text box of the shape with another one.

Unit 3.3: Inserting and Manipulating Graphics

SmartArt and WordArt

SmartArt allows users to insert different graphic organizers given by the program. There
are different lists and diagrams available that would help visually communicate ideas within
the document.

● List - It places text in nonsequential vertical or horizontal lists.

● Process - It breaks down the steps in a process or cycle with a logical flow.
● Cycle - It shows the steps in a continuous process.
● Hierarchy - It represents hierarchical relationships between objects in the diagram.
● Relationship - It depicts the connection of the elements in the diagram.
● Matrix - It displays a part of a whole.
● Pyramid - It exhibits both the hierarchical relationships and the proportional
importance of its data.
● Picture - It enables the incorporation of images into the SmartArt structure.

WordArt allows users to design text usually used in SmartArt. Using the WordArt gallery
present in the program, users can convert a simple text into a more attractive one.

Two ribbons will appear after inserting a SmartArt; one is the Design, while the other is
Format, which has the same options as the Shapes.

Fig 6. First two sets of options in the Design ribbon

● Add Shape - It gives additional shapes for the diagram.

● Add Bullet - It provides bullets for the text inside the diagram.
● Text Pane - It presents a pane for users to easily type the text used in the diagram.
● Promote, Demote, Move Up, Move Down and Right to Left - It moves the diagram
according to the options.
● Layout - It replaces the selected diagram with another one.

10
Unit 3.3: Inserting and Manipulating Graphics

Fig 7. Remaining two sets of options in the Design ribbon

● Change Colors - It changes the colors of the diagram.

● SmartArt Styles - It shows different forms of the diagram.
● Reset Graphic - It discards any changes in the diagram.

Since SmartArt is a feature only available in Microsoft Office, the video below will further
explain how users can use it more effectively.

Charts

This allows users to insert different charts and graphs available in the program. There are
different types to choose from depending on where the users will use it.

● Column - It displays categories along the horizontal axis and vertical axis.
● Line - It shows continuous data over time on an evenly scaled axis.
● Pie - It represents parts of the whole.
● Bar - It illustrates the comparisons among individual data.
● Area - It plots the change over time and draws importance to the total value of the
data.
● XY Scatter - It combines horizontal and vertical data into a single data point and
shows them in irregular intervals.
● Stock - It specifically represents the fluctuations in stock prices.

11
Unit 3.3: Inserting and Manipulating Graphics

● Surface - It helps to find the optimum combinations between two sets of data.
● Doughnut - It is like a pie chart but contains more than one data series.
● Bubble - It is like a scatter plot but adds a third column that specifies the size of the
bubbles.
● Radar - It compares the aggregate values of several data series.

If you are using Microsoft Word, choosing a chart will make it open Microsoft Excel. This is
because the program uses a spreadsheet as a placeholder to help enter the data needed for
the chart or graph. If you do not have a spreadsheet program installed, there will still be
three ribbons available. Further discussion on graphs and charts will be explored in the next
unit.

Fig 8. Design ribbon options

● Design - It gives options for formatting the essential parts of the chart or graph

Fig 9. Layout ribbon options

● Layout - It gives options for editing the data needed for the chart or graph

12
Unit 3.3: Inserting and Manipulating Graphics

Fig 10. Format ribbon options

● Format - It gives options for enhancing the other elements of the chart to make it
more visually pleasing. Most options are the same as those in Shapes.

Screenshot

Screenshot - This allows users to insert a taken snapshot of any open window on the
desktop. This feature is useful if users want to visually document the steps required to use a
particular feature of an application on the Windows desktop.

A Format ribbon similar to those in the Pictures and Clip Art will appear when users have
selected a screenshot to insert.

Have you tried inserting different graphics into

your document? Which features that were
discussed did you use?
