EBS

Bank reconciliation is a process that explains the difference between the bank balance shown in an
organization’s bank statement, as supplied by bank and the corresponding amount shown in the
organization’s own accounting records at a particular time. The difference arises due to so many reasons
like cheque issued by organization has not been presented to bank, bank charge not recorded in
organization’s book etc. to overcome the difference, bank reconciliation can be done in two ways
1. Manual bank reconciliation statement
2. Electronic bank statement (EBS)

ELECTRONIC BANK STATEMENT (EBS):-


Before going to the customization for EBS, the followings have to checked for your
company code
1. Should create 3 bank GL by t code fs00(bank main a/c, bank outgoing a/c and bank
incoming a/c)
2. Make sure that your sub-GL a/c like bank outgoing and bank incoming should be open
item managed.
3. Last digit of 3 bank GL a/c should be 0, 1, 2 like xxxxxxxxxxx0 for main a/c, xxxxxxxxx1 for
incoming a/c and xxxxxxxxxx2 for outgoing a/c.so that u can do masking accordingly.
4. Maintain your house bank properly through FBZP.

GO FOR EBS CONFIGURATION:-

Path:-spro>sap reference img>financial accounting (new)>bank


accounting>business transaction>payment transaction>electronic bank
statement>make global settings for EBS (t- code –OT83)

Step 1: create account symbol:-

It is a connecting link between GL accounts and posting rule, here we have to create account symbols
according to the type of transactions like check received check paid, RTGS received RTGS paid, misc. dr.,
misc.cr. etc. as per business requirement.
STEP 2: Assign accounts to account symbol:-

Here we do masking which I noted before that assign main GL with +++++++0, any incoming as
+++++++1, and any outgoing as +++++++2, assign the require GL for misc. dr. and misc. cr. accordingly.
STEP 3: create key for posting rule:-

Define keys for posting rules so that it can connect rules with external transaction type and accounts
symbols.

STEP 4:Define posting rule:-

The most important and vital step for EBS is posting rule creation, while creating the posting rule there
is a option for posting area in which we have to chose 1 or 2, we should take 1 as we have to clear
according to bank accounting. There is another option posting type where we have to give 4 if our
transactions saying to clear debit GL account or 5 for clear credit GL account or any other according to
the rule.
STEP 5: Assign external transaction type to posting rules :-

Here we have to assign external transaction type noted in 61 tag of MT940 format given by bank.
Different types of interpretation algorithm are there from which we have to choose according to our
requirement. Let example suppose we have to clear according to assignment wise, then choose
algorithm 015 and 001 for string, if we want to clear reference field wise choose 027, for document
number wise choose 013.
STEP 6: Assign bank accounts to transaction types :-

Additional rule for automatic clearing :-(T.code-OB74)

Here we have to fix criteria such as EBELN, ZUONR, XBLNR for GL accounts so that GL will be auto-
cleared.
SEARCH STRING USE:-

Why we use search string?

While running EBS, any number maximum of 13 digits can be cleared near to external transaction type
of 61 tag of mt940 format. But for the case of RTGS number, it is more than 13 digits. To clear rtgs we
have to use search string so that it will read 86 tag (which is text field) of mt940 format. For example:-

Suppose a RTGS is a number consist of document number+company code+last 2 digit of fiscal year

Like 1000000015201418(company code 1918, fiscal yr 2014)

In string 1-Put ##### in source column and table-field in target column. Example- to read assignment
field use BSEG-ZUONR.
In string 2-Put ##### in source column and ????? in target fieldof a string.
Put equal number of #### and ???? as per our RTGS number in source and column field.

Here we have to use #### and ??? to read any number in 86 tag.
In search string use, give company code, house bank, id, external transaction type, algorithm, BDC field
name1, BDC field value1and BDC account type1 as given below.
ENDUSER ACTIVITY:-

1. Make transactions of vendor and customer with your bank sub-accounts. (bank incoming and
outgoing accounts.)
2. Give check number/RTGS number in assignment field while transaction posting.
3. Check open items of sub accounts in FBL3N, also noticed bank main account balance.
4. Run T-codeFF_5 by uploading MT940 format given by bank.
5. In FBL3N, u will find open item as cleared item with an automatic clearing transaction between
bank sub- account and bank main account.
6. Also check miscellaneous account, you will get debit and/or credit balance to it.
7. If u finds any unclear document, check it through T-code FEBA/FEBAN.
8. Update through FEBP, make open item for this and run batch input session through T-code
SM35.
