Concept Paper Payroll

This document presents a case study for developing an automated employee payroll management system for Zana Community School. It discusses how the current manual system is challenging to manage the increasing number of employees. The objectives are to design a system to generate and manage real-time payroll processes and pay slips. It will incorporate the current manual system into an automated one. The methodology will include gathering data through interviews and surveys, designing the model using UML, and implementing the model in Java and Microsoft Access.

The Payroll Management System deals with the financial aspects of employee's salary, allowances,
deductions, gross pay, net pay etc. and generation of pay-slips for a specific period.
The outstanding benefit of Payroll Management System is its easy implementation. Other advantages
of Payroll Management System are its extensive features and reports. The employee Payroll
Management System gives you the power to: Manage Employee Information Efficiently, define the
allowances, deductions, net salary, generate all the Reports related to employee payroll.

The increase in organizations large number of employees being recruited hence, a need for an
automated system that will constantly manage employees and their pay. The management has been
done through a manual system where a data entrant has to calculate the minimum and maximum wages
and salaries for every employee on paper which has remained a challenge. This research is aimed at
developing a data model for management of employees and their payroll.

 Background:
An employee payroll management system is a continuous assessment and interpretation of data about
employees and disseminating conclusions of the analyses to the organizations setting.
With the increasing number of employees being recruited up from different corners of the world to
working organizations, a data model system is needed for ease of the management of employees and
their pay without any inconveniences.

This research is aimed at coming up with a data model for easy and quick management of employees in
an organization. The model will be used to retrieve data from the database for quick responses.

This model should be efficient, real time and able to provide records for easy analysis and pattern
tracking of employees in the organization.
 Problem statement:
The organizations are using a manual employee payroll management system which is one of the
hardest aspects to manage, since there's a tremendous increase in the number of employees applying for
particular jobs.
This project will come up with a data model that will be used to implement a system which will allow
the employer to manage their employees in real time.
 Main objective:
 To design an employee payroll management system for timely management of
employees of the organization in real time.

 Specific objectives:

 To generate and manage the Payroll Processes according to the Salary Structure
assigned to the employee.
 To generate Pay-Slips at the convenience of a mouse click.
 To incorporate a manual system being used by the organization into an automated
employee payroll management system.

 Anticipated outcomes:
This project will come up with a prototype for timely management of employees and their pay
automatically.

 Methodology:
 Data gathering:
interview guide
questionnaire guide.
literature review.
Observation guide.

 Model design:
The model / system will be modeled in Java and essential business modeler as a unified modeling
language.

 Model implementation:
The model will be implemented in Java using Java net-beans and advanced Microsoft access database.
