RE: UNIT 4 - TASK 9 - SELECTING TRANSPORT PROVIDERS

If the new Warehouse in Jumna does become active, we will need to source a new
transport provider, as the existing provider, Mugla Distribution, does not operate in
the Eastern part of Betaland.

The new company will be used primarily to move goods from Jumna Port to the new
Warehouse. However, there may also be a requirement for them to assist in the
movement of aid from the new Warehouse down to Chagong.

 Although you will not participate in the actual selection decision, you have
been asked to produce a document that can be used to evaluate potential
providers and form the basis of the areas that will need to be discussed if
meetings are held with them.

By following the research and supplier questionnaires method that will help us get
information and data gathered from the suppliers themselves through signing in their
internet websites and other sources of information such as their brochures and
catalogues as well besides the other information that will be got form another sides , we
will specify the potential transport suppliers who will be subject to more evaluation before
the final selection.

The following evaluation aspects should be considered before taking the final selection
decision .

 Business’s activities permission and license documents form the authorized


government agencies .
 Size and capacity of the business.
 Type of the business
 Location of the business and its facilities .
 Contacts and addresses information
 Age of the business and its previous work experience .
 Legal form of the business .
 Goods or services supplied by the business entity .
 Business financial data and capacity .

 Business reports and organization structure.
 People authorized to sign different business transactions related documents
and contracts.

In addition to the above gathered information , a research process is carried out for
gathering views , opinions and references about the suppliers depending on the following
sources:

 People working for the humanitarian aid organizations and those working for
another humanitarian aid organizations who used the supplier at the past .
 People working for local government or chambers of commerce.

In some cases especially when the value of the transport cost and the related risk are
high , a supplier visit and a spot check action is taken place to have an evidence of the
given information and data in the supplier’s questionnaires .

Such visit and spot check taken by a team of people representing the organization in
which every individual employee assigned to specific spot check tasks and where the
responsibility of taking the final decision is taken by all .

In following this method , the information and data that will be gathered are related to the
following business areas;

 Business location and other facilities .


 The general capacity of the business in relation to the types and number of
vehicles and trucks , the number of staff and their qualifications and skills , the
financial resources , the volume and capacity of production ..etc.
 The mechanism of handling and caring of the equipment .
 Quality policies , quality assurance and quality control systems and activities ,
 Health, safety , hygiene and environmental procedures .
 Management competence and employees ‘morale and attitudes.
 The management systems.

Ultimately, the above information and data gathered through the appraisal methods will
be matched to the criteria of evaluating and apprising the acceptable supplier for taking
the final decision regarding the suitable and acceptable supplier .
