Design and Implementation of Online Hotel Reservation System


(A case study of X hotel)
1. Background of the Study

The importance of computer and its application have been recognized globally. The impact
computers to the society have been felts in hotels booking system.
Computer booking system (CBS) has brought a lot of change improvement and efficiency in hotel
operation.
There is a great need for an easy quick, reliable and information system to aid the traveler in planning
their vacation. Shelter is one of their basic necessity of life individuals need a place to stay at all
times ranging from a business man who travel from one place to another in the course of their
business to student who goes to study away from his home. Different professionals travel out of
their domain in other to achieve certain aims and objectives such as tourism.

A hotel can simple define as a building or a place for the great to receive room and stay for short
period of time, also a place of refreshment, entertainment and protection of the visitors.
In many states or countries however a hotel are defined based on their status. Hotel and other
accommodation are as diverse as many family and business travelers they accommodate
Establishment varies greatly in size and in the service they provided. Hotels comprise the majority
of establishment and tend to provide more service than other lodging place. Most hotels are
commercials properties that cater mainly to business people, tourist and other travelers who need
accommodation for a brief stay.

Larger hotels often have banquet halls and spacious ball rooms to accommodate conventions, business
meeting, wedding reception and other social gatherings conventions and business meetings are major
sources of revenue for the hotel.
There are some laid down principles regulating each room that can be occupied by each quest.
2. Statement of Problem
Although the administrative section of X hotel has been handling the hotel booking system is
significant. It will aid in checking or solving the following problems

1. Manual system if of time consuming and involved too much labor before the booking list is
finally released.
2. Loss of the complete ticket as a result of mishandling in the case of transfers of document
(records)
3. Duplication of records where the customers may wish to purchase more tickets for other
customers.
4. Check guest customers which are not easily detected.
5. And the guests need to come to hotel in person that doesn’t give comfort for their travel
because they need to sure about their room and other accommodation before they arrive.

3. Objectives of the Project


The major aims of this study are develop software system that will help in reducing labor and
replacement of manual method used in booking rooms for guest. Other aims and objectives of the
work are to provide to;
1. Easy retrieved and storage of data and information
2. Daily count of guest that arrive and departure from hotel
3. Daily weekly and monthly summarizes of guest booked, arrived and departed from X Hotel
4. Improved data management efficiency through the elimination of data redundancy.

4. Scope of the study

A Hotel is a large establishment, which consist of different section/department with their various
responsibilities that bring about the efficient running of the Hotel service. This Project work covers
Admin, and housekeeping, Room, sale of food and beverage departments.
Limitation of the Project
The project doesn’t include the financial aspect of the hotels.
5. Methodology
5.1. Data collection methods

The data collection methods to be used include interviews and observation.

A. Interview
For this project, personal interviews with management officials, staff and customer in the hotel is

undertaken to support those data collection methods. The reason for the selection of interview is that

it makes the respondents free to express their ideas freely.

B. Observation
The other primary data collection method is observation. Observation is purposeful, systematic and

selective way of watching and listening to an interaction or an event as it takes place. In this regard,

non-participant observation is carries out at institute to supplement the other data collection methods.

5.2. Software Development Methodology

Since communicating concepts using modeling can clarify doubts and leads to a mutual

understanding on the system with the Client as well as within the team, appropriate modeling tools

will be used. Therefore, structured system analysis and design approach with the iterative waterfall

model and includes requirement gathering, analysis and design of the proposed system is used to

describe and model the system.

The techniques that were used for analyzing and designing system were:
 Data Flow Diagram
 Use case diagram
 ER diagram
 System Architecture
 Relational Database Design
6. Hardware and software tools
6.1. System development tools/ Software Tools
The system is developed by using PHP programming language; reason to choose this tool is
because:
 Fast – PHP was created to develop dynamic Web Pages so it is fast on websites. The PHP
code is embedded in HTML and the time it takes to process and load the browser with
HTML and create a full web page is very quick.
 Free – PHP is released under the PHP License. This means that anybody can download it
and use it 100% for free.
 Easy - The syntax of PHP is very easy to use and learn. PHP is usually mixed in with HTML
and can be easily included in HTML files.
For the back-end, which is invisible for the end users, the popular MYSQL database server is used
in order to support and store the data. In addition, its implementation also designed to be running on
a client-server architecture using Apache web server where the data involved is stored in central
repository and managed by administrator.
6.2. Hardware Tools

7. Expected Output and Result

This project is designed to investigate and give solution for the existing system problems which are
described above.

Additionally, the design will help the hotel workers and customers to have their contribution on the
requirement gathering as the result they will get good Design and Implementation of Online Hotel
Reservation System that will help them in their activities.
