PREPARATION FOR ARRIVAL IN PORT


(To be completed between 12 to 2 hrs before arrival)
1. In preparing the passage plan for arrival in port, have the following factors been taken into
consideration?
a. Available port information
b. Advice/recommendations in sailing directions
c. Latest weather reports
d. Tides and currents for port/adjacent areas
e. Calculated/known minimum and maximum depths of water in port
approaches, channels and at berth
f. Any restrictions on draught, trim, speed, entry times, etc.
g. UKC calculated for all legs of the planned route
h. Location of safe areas to await Pilot (and their proximity to
navigational hazards)
i. Passage plan updated with additional information received since
departure
j. Updated passage plan briefed to the Bridge Team
k. Updated passage plan checked and approved by the Master
l. Updated route displayed on ECDIS
2. Has Engine room been given adequate notice?
3. Are anchors cleared & ready for use?
4. Has the Emergency Contingency plan been prepared and discussed?
5. Is it necessary to rearrange cargo/ballast. Draughts been calculated and
checked?
6. Are all relevant charts and nautical publications corrected up to date and
courses laid off?
7. Have the latest navigational messages for the area been received?
8. Has ETA been sent with all relevant information required by local
regulations (e.g. details of dangers/hazardous goods carried).
9. Has the e-NOA and e-NOA Updates (as applicable) been submitted to
NVMC, QI & Agent?
10. Have all navigational equipment including steering gear been tested and
results entered in the logbook?
Refer US CFR 33 164.25 and SOLAS CH V-26
11. Have Main Engines been tried out for ahead and astern movement? (At a
safe location as per guideline in SMS). Has the Emergency Stop been tried
out?

a. Course and engine movement recorder


b. Synchronisation of clocks
c. Internal communications equipment
d. Signalling equipment, including flags/lights
e. Deck lighting
f. Mooring winches
g. Mooring lines/wires/heaving lines
h. Drip trays / Save-alls plugged prior arrival.
i. Pressure on fire main
j. Whistle
k. Cranes power on, and in readiness
l. ICCP (impressed current) OFF if so required
m. CPP controls and indicators
n. Gyro/Magnetic Compass and repeaters, including steering flat
o. Navigation shapes and lights and Christmas tree lights working
13. Has the Deck Hydraulic power been switched on or has sufficient notice
been given to Engine room for same?
14. If appropriate, have the checks in Checklist 5 been carried out and a pilot
card completed?
15. Has manual steering been engaged in sufficient time for the helmsman to
become accustomed before manoeuvring commences? Are both steering
motors running?
16. Have the crew been advised of the time of ‘stand-by’ for entering port,
and has “End of Passage (EOP)” been rung well in time for vessel’s arrival,
allowing gradual slow down?
17. Is bridge manning level as per WSM /Owners requirements, suitable for
current situation?
18. Have VHF channels for the various services (e.g. VTS, pilot tugs, berthing
instructions) been noted and a radio check carried out?
19. Is the following berthing information available?
a. Whether anchoring/berthing alongside
b. Which side to jetty
c. Whether ship accommodation ladder/gangway or shore gangway
will be used
d. Size/number of shore connections
e. Derricks required
f. Mooring boats/lines
g. Loading rate
20. Have issues related to Port Security been addressed (gangway watch,
stowaway Precautions, security searches, posting of contact detail as per
Vessel Security Plan, etc.)?

21. If applicable, has the bow thruster been tried out and is it ready for use?
22. Has adequate notice been given to E/R for change over to a compliant fuel
prior to entering the ECA or inland controlled water areas?
23. Has E/R been informed of change over to compliant fuel as per regional or
local MARPOL requirements (fuel changeover prior or as soon as possible
after arrival at berth)?
