Drillhole Database Creation

This document provides instructions for creating a Microsoft Access database from raw Excel data files and an existing Access database with some different data. It describes importing data from multiple Excel sheets into Access, comparing data between two sources using lookup functions, and consolidating all drill hole data into a single Access file. The goal is to create a final Access database containing all relevant data for use in mining software.

CREATING MICROSOFT (MS) ACCESS DATABASE (DB)

Available file:

1. Original/raw db-ms excel file

2. Old db- ms access file

Case I: Original (raw) db_excel file will be used in creating final database (access)

1. Ensure that the excel file has four (4) sheets containing the raw data for the collar, survey,
lithology and assay

2. For the collar, data should be organized in this manner

1
3. For the survey, data should be organized in this manner

4. For the assay, data should be organized in this manner

2
5. For the lithology, data should be organized in this manner

Note: ovb=overburden, lim=limonite, sap=saprolite and bdrx=bedrock

6. If all the data are complete and organized, save the excel db file. Open the ms access and
import data from the saved ms excel database.

Click Excel

Select Import the source data

Imported worksheets must appear

on the left portion. Save the ms
access database file.

Import every Select the source file

worksheet and
then, click “finish”
3

Select the db
7. MS access database must look like this.

Note: This ms access database will be used in Surpac.

4
Case II: Original/raw db-ms excel file and Old db- ms access file have different data for some drill hole.
Combined data will be used in creating final database (access).

1. Open the ms excel and import data from the old db-ms access file.

Import data from a Microsoft

access database

Select the old ms access db

file, then click “Open”

Check the box to Enable

selection of multiple tables,
then select all

5
Select the table, then click
“OK”. Four (4) worksheets
will be generated.

Sheet1 contains the Assay data Sheet2 contains the Collar data

6
Sheet3 contains the Litho data Sheet4 contains the Survey data

2. Check the tables if all the required data have been imported.
3. If the two (2) database are already available in excel file, choose one (1) file and extract the
available drill hole (DH) no. from every worksheet. For the collar and survey data, final DH nos.
are already available however, it is not the case for litho and assay data. Using the Advanced
Filter on the Sort and Filter Portion of Data Tab, extract the unique records (unique DH nos.).

Select the data range where

unique records will be filtered.
Apply this to assay and litho
data.

7
4. On the chosen file, create a worksheet containing the consolidated list of all the available DH
from every datasheet.

Column E which contains “1” as

value will be used as the return
value for the look up function
later on.

5. The chosen db and the other db will be compared

using lookup function. The lookup value will be the DH no. from the other db and the table array
and return value will be from the chosen db.
