Welcome to My First English.

This handbook has been developed to acquaint


you with the school system. This is the complete guide of the school's rules
and regulations. You are required to become familiar and aware with all the
information stated herein before commencing. Any questions or clarifications
shall be asked to MFE Executive Admins.This handbook should be close at
hand for reference throughout your service.

STANDARD OPERATING PROCEDURES

1. Always check for new messages and updates on your Dingtalk app or

Messenger app around (9:00 AM - 3:00 PM).

2. Be online at least an hour before your first class.

3. Confirm your attendance in DINGTALK app 1 hour / 30 minutes before the


first class by sending a message.
(This can be done after we add you to the MFE Teachers Group)

Attendance Message:

4. Conduct ERP schedule and CLASSIN class check.
*Remember that we will always follow the schedule in our ERP. Check your Classin
calendar if it matches your ERP schedule. If you notice that there are missing
students in your Classin schedule, please message both the Executive Manager and
the executive Secretary.

Note:
Every Friday evening or Saturday morning, check if you have classes that needs to
be updated. Then send a message to both admins (the Executive Manager and the
Executive Secretary)

Executive Manager and the Executive Secretary)

5. Conduct system check on your CLASSIN desktop app and prepare for your
lessons.

6. Send greetings to the trial student or transfer student.

a) First, send a greeting message with Chinese translation to your trial student

7. Send a message for the first regular class, including the book you will be using.
*the first regular class is after the trial student bought the class

Note: Strictly send only 1 book, not the whole series.

8. Send a message to your regular student if you are going to change their book.

9. For transfer students, use the previous book he/she is using for the first class.
Then assess the book if it’s good for the student.

If the book is good - send the book again and informed the student that you
will continue using the book.
If the book is not good - change the book, send a copy of it, and message the
student.

Note: There will be an ASSESSMENT FORM for transfer students


(similar to trial class form)

10. You can enter the classroom 20 minutes early before the start of class time.
Students can join your class 10 minute○s before the start of class time. You can also
see the number of participants who are already in the classroom. You can choose to
the disable your camera and microphone before you enter the classroom, so no one
can see you if it’s not yet the start of class.

*We don’t require teachers to enter the room 20 minutes before the class time, you
can enter 1 minute before your class time.

11. Always dismissed the class if it's already the 28th and 58th-minute mark. The
management doesn't want to see seconds or 1-minute leave early.

12. If the student is not yet in the classroom. You can mention them in the chat and
tell them that you are in the classroom and that you have a class today. You have to
send the standardized message The teacher can also turn off their video while
waiting for the student.

Once you enter the classroom and the student is not yet inside, send a message.

Note: Please follow this standardized message. Always remember to add Chinese
translation when we send messages to students and tag them.

1st message - Once you enter the class


Hello, Student! This is your English teacher. I'm inside the classroom now. It's
our class time. Where are you? Are you going to attend the class? I'll be
waiting for 15 minutes. Thank you and See you!

2nd message - Send on 5th-minute


Hello, Student! This is your English teacher. I'm inside the classroom now. It's
our class time. Where are you? Are you going to attend the class? I'm still
waiting for you. Thank you and see you!

3rd message - Send on 10th-minute


Hello, Student! This is your English teacher. I'm inside the classroom now. It's
our class time. Where are you? Are you going to attend the class? I'm still
waiting for you. Thank you and see you!

4th message - Send on 15th-minute


Hello, Student! This is your English teacher. I'm sorry but you didn't take the
class today so I'll see you in our next class. Good bye

For example:

13. If you need to cancel your class for whatever reason, make sure to inform the
Executive Manager and Executive Secretary about it. Then send a message to your
students to inform them about the cancellation of class.

Note: Always remember that when we send messages to students, it should be in


CHINESE message and tag them. Ask the admins to delete your canceled classes
as well.

This is how to put the notice:

14. Please send a message to your students that when they want to ask for leave,
they should message you directly in CLASSIN and not with Ms. Lin. Also tell them
that they can send messages in CHINESE. So they will feel comfortable to message
you all the time.

15. If the student asked for a sudden leave before or less than 15 minutes after the
class time started - it is considered as leave.

16. The waiting time in each class is all the same, 15 minutes for 28-minute and 58-
minute classes. Once you are done waiting, please click END LESSON FOR ALL
before sending the 4th message as noted below.

17. If a student asks for leave for more than 2 days or is absent from class for
more than 2 days (without valid reasons), please inform the administrators. So, Ms.
Lin can talk to the student or the parents and tag them for suspension, and find a
new student to be added.

*For leave students with advance notice - When a teacher receives a message that a
student can’t go to the class in advance, the teacher is not to enter the classroom
anymore and should send a message to both admins to delete the class. (ERP
record is mark as “leave” unless remedial class is done)

18. Technical Problems

(a) If you’ve taken the total of 25 minutes class - the class is counted.
(b) If it’s less than 25 minutes, you can ask for remedial class for it to be counted.
(c) If your student is having technical problem/internet interruption for 3 minutes -
the class will be canceled unless the student asked you to wait.

**Please send a message with Chinese translation if the student is having technical
problem/internet interruption.

I apologize but because you are having a technical problem or an internet


problem so we can't continue this class. Please fix it first. I’ll see you in our
next class.

Note: If the student insists on continuing with the class after sending this note,
please count the class.

**Always send a message immediately to both admins (the Executive Manager and
the Executive Secretary) if you’re having a technical/internet problem, so they can
send a message to the student inside the classroom.

19. For students who didn’t attend their remedial classes

(a) If the teacher was the one who canceled the class and ask only verbally to the
student to have a remedial class, then the student didn’t show up in remedial class. It
will not be counted class.

(b) If there was an official exchange messages between the student/parent and the
teacher about the said remedial class and it’s set in CLASSIN for at least 24 hours,
then the student didn’t show up in remedial class. The class can be counted.

(c) If the teacher just sent a message to the student or parent about the remedial
class but there’s no confirmation message that the student or parent agree or
approve about it, the remedial class is not counted.

20. One (1) class session should not be less than 28 minutes. Two (2) class
sessions should not be less than 58 minutes. In CLASSIN, classes are set for an
exact 30 minutes and 1 hour. But, you may exit the classroom once the timer is
already at the 28th or 58th minute mark.

21. Sending of books (a recap)

Send a copy of the book you will be using for your lessons after your first formal
class with your student. The same goes for when you change the book you are using.

22. Daily ERP Lesson Reports should be done and save before the day ends.

Example:
Class Done: AUGUST 1, 2023 (9:00 PM)
ERP Done on or before: AUGUST 1, 2023 (11:58 PM)

23. ERP Lesson Reports should be doubled check and recorded only until SUNDAY
of the week.

Monday is considered to be a new week which means you can’t record any classes
on the previous week.

Example:
All class records from July 24 (Monday) to July 30 (Sunday) are final and can’t be
changed on July 31 (Monday), as it is already a new week.

24. 1-MINUTE BEST VIDEO - All teachers are required to send a 1-minute best
video of their chosen student every month directly to Ms. Lin. Sending the video will
be from the end day of the current month until the 5th day of next month.

Note: After you send the 1-minute video, send a screenshot to both admins (the
Executive Manager and the Executive Secretary)

25. TRIAL CLASS FORMS should be done and send to Ms. Lin, the School Owner,
the Executive Manager, and the Executive Secretary as soon you are done with your
classes for the day. Please be reminded that sending of trial class form should be
submitted after your trial class or before 9 am the next morning.

26. MONTHLY REPORTS should be sent to the students on or before the 5th day of
the next month.

Example: All October Monthly reports should be sent to students on or before


November 5th.

Note: Send the screenshots of your finished monthly report to both admins (the
Executive Manager and the Executive Secretary)

27. Cancellation of Classes

(a) Send a proper class cancellation message to your students.

(b) Message the admins to delete the class(es) so students won't enter the class.
(c) Avoid canceling classes of new students.

28. Planned Cancellations should be at least 1 day or 3 days before the cancellation
date.

29. Small Talks or Free Talking - You can share anything to your students even if it's
a lie, you don't need to say all private information about yourself.

30. Class Schedule - If students changed their schedule to 1 to 2 classes a week, we


need to tell them that they can’t get improvement quickly with this number of classes.

31. Failure to follow the above procedure shall be penalized.

TRIAL LESSON

Trial lesson is assigned to you by the School Owner (Ms. Lin). You are responsible
to assess the trial student’s level and the material/book appropriate for the lesson
based on the basic information given to you by Ms. Lin.

TRIAL class forms should be done and send to Ms. Lin (the School Owner,) to the
Executive Manager, and the Executive Secretary as soon you are done with your
classes for the day. Please be reminded that sending of trial class form should be
submitted after your trial class or before 9 am the next morning.

The management will inform you within 24 hours if the trial student has bought your
class or not. Each trial lesson is not paid.

**Sometimes, the parent's initial description/assessment of the student is not correct.


Please make sure to prepare 3 books (the suggested trial book, 1 lower-level book,
and 1 higher-level book). So, you can adjust what book you’ll be going to use in your
trial class based on your small talk with the student.

ERP DAILY REPORT

ERP Reports shall be done before the day ends (11:58 P.M.)

All the things that you need to know on how to navigate the web page of ERP can be
watch on YouTube links that you can find in our MFE Library.

**It’s required to write the book name, page, and topic/lesson.

STUDENT MONTHLY REPORT

Monthly report about your student shall be sent every 5th day of the following month.
You are given a period of five to six days to pass your monthly reports. From the end
of the month until the 5th day of the next month. You need to submit to the Executive
Manager the screenshots of monthly reports that you have sent to your students.
Failure to comply, your salary will be on hold until you complete your Monthly Report.

**If the student is studying with you for less than 2 weeks, no need to make monthly
report.

INCIDENT AND STATUS REPORT

You are required to immediately report any issues, incidents and the status of your
students to the Executive Manager and the Executive Secretary on or before the
class by texting, calling or sending a direct message on mobile phone, DINGTALK or
messenger for the following reasons:

 If you will be late in the class


 If you have power and internet interruption
 If you have any technical/system issues
 If you wish to cancel your class due to sudden emergencies
 If the student has any technical issues
 If the student never response or interact during the class
 If the student has been absent for two (2) consecutive days without advance
notice
 If the student has been canceling classes more than three (3) times in a
month
 If the student has difficulties focusing on your class in any ways
 If the student has difficulties following your instructions in the class
 If the student uses mobile devices or do other activities not related to your
lessons
 If there is no progress or improvement on the student

All teachers should have a cellular data to access CLASSIN and Messenger on their
cell phones to be able to send messages to the students or the management in case
of any emergencies to avoid penalty.

LEAVE OF ABSENCE

Filing of Leave of Absence


The teacher can file a leave following the schedule of the application below. We
encourage the teachers to file Leave of Absence if there are any personal plans
made to avoid student complaints.

2 weeks in advance for 3 leave days or more

If the teacher asked for leave before or on cut-off and salary day, the salary is on-
hold unless the teacher starts to teach for the week again. The said rule will serve as
the company's assurance that the teacher will not resign suddenly.

After approval of the management, the teacher needs to inform the student right
away and if possible, arranged make up classes. Schedule of makeup classes must
be submitted to the Executive Manager and the Executive Secretary.

It must be indicated in the ERP that the class is a make-up class on the lesson note.
In case of no mobile data and can’t connect to DINGTALK, CLASSIN or
MESSENGER, you may directly send a text message to the Executive Manager and
the Executive Secretary so we can inform the students of your absence.

Failure to comply will be penalized. (See penalty section)

HOLIDAY

The following holidays are considered "teacher's leave" and not canceled classes,
therefore accepted by the company:

All Souls Day (2 days leave)


Christmas Holiday (3 days leave)
New Year (3 days leave)
Holy Week (3 days leave)

The school has no classes during these holidays.

Note: The management will send a notice to all students regarding the holiday.

CLASS RATE AND INCENTIVES

1. Rate per Class

Teachers rate per 28-minute class is 100 PHP


Teachers rate per 58-minute class is 200 PHP

2. Referral Incentive

A referral incentive is given to MFE teachers for referring someone. The amount of
incentive is 500 PHP

Before the MFE teacher receives the referral incentive, the referred teacher should
be successfully hired and already had 1 regular student.

3. Attendance Incentive

The amount of incentive is 250 PHP, which will be given every salary cut-off.

Condition: If the teacher didn't ask for leave or canceled the class within 15 working
days.

4. End-of-the-Year Bonus

This bonus is given after the Chinese New Year. Only the school owner can decide
the amount to be given to each teacher.

GENERAL POLICIES AND GUIDELINES

1. School Directives

The school has assigned an Executive Manager and an Executive Secretary to the
teachers to provide support, guidance, service and other directives in behalf of the
company. These admins shall monitor and answer all work-related concerns of the
teachers and they serve as your heads while working with My First English. We
encourage all teachers to obey and follow their directions and leadership.

2. Announcements and Notices

All announcements and important notices shall be sent via DINGTALK group chat
account or through our official email account. All teachers are required to regularly
check them and confirm that you have read and understood all the announcements
and important notices.

3. Teacher-Student Relationship

All teachers are prohibited to make any personal and non work-related transactions
to the students without the knowledge of the school. The relationship between the
teachers and the students is strictly professional to maintain the credibility and
integrity of the school. Making public of student’s pictures and other personal
information is strictly prohibited and is subject to disciplinary actions if caught.

4. Contact Support

All teachers are required to contact the Executive Manager and the Executive
Secretary in case of any emergencies and problems that may occur on or before the
class through DINGTALK or MESSENGER chat, text or phone calls. If unable to
access the Internet for a reason, you are required to at least send a text message to
the management to inform the student of your abrupt cancellation and absence. The
admin may also contact you between 9:00 am to 3:00 pm regarding your shift; make-
up class schedule, class-substitution, and other work related concerns, which you
are expected to respond.

You are required to install DINGTALK and CLASSIN on your cell phone to keep
updated and have a continuous and smooth communication with the admins and
with your students.

5. Grievance

The teachers are allowed to express their grievance in a professional and


appropriate manner by verbal discussion or by writing a letter in any situation where
the teacher has a conflict, issues or disagreement with co-teachers, managers, or
any company staff.

6. Trial Class

The assigned teacher for the trial class shall prepare a lesson based on the student’s
basic information given by the management. The teacher shall immediately check
the trial class on CLASSIN and attend the scheduled trial class. Submit the trial class
report to the Executive Manager and the Executive Secretary after the trial lesson
and wait for the student’s feedback to be given by the management. In case you
cannot attend the trial class, immediately inform both admins. Every trial class is not
paid.

7. Before, During, and After Class

7.1 Before and after class - All teachers are expected to go online at least an
hour before the first class. This is the time to ensure that all your equipment
and system are working properly such as your headphones, laptop or desktop
computers, cables and Internet connection. It is necessary to make all of these
a habit before conducting the class to avoid abrupt cancellations and absences
due to technicalities. All teachers must report all the issues regarding classes
after the shift.

7.2 Confirm attendance - All teachers are required to send a message to the
Dingtalk MFE Group before the first class to confirm attendance for the day.
This is also to confirm that you are ready to take the class and have properly
done system check.

7.3 During the lesson - Always start and end the class on time. Enter the
class on time and always turn on your video at all times. In case the student
has not yet entered CLASSIN, you are allowed to turn off your camera and
microphone and you should send them a reminder message that you are
already inside the classroom waiting for them.

7.4 Correcting the students - Make sure to correct the student’s mistakes in a
polite manner. Encourage the student to repeat as much as possible, introduce
new words to enhance the student’s vocabulary, and encourage the students
to speak more during the lesson with proper grammar and diction.

7.5 No eating during the class - Eating or chewing something during the
lesson is strictly prohibited.

7.6 Abstain from using social media sites - The students can’t see all
activities on the screen once they entered CLASSIN classroom. Therefore; you
are not allowed to open any social media sites and other non-related sites
while conducting the lesson.

7.7 Abstain from using your mobile phones - Put all your devices on mute
and avoid using them during the class as it may distract the student’s attention
and may complain to the management.

7.8 Dress appropriately - Wearing of sleeveless, see-through and shirts with


offensive prints are strictly prohibited during the class.

7.9 Observe silence - Make sure to always use your noise canceling
headphones to avoid having background noises heard by the student during
the lesson. Crying baby, people talking, chicken sound, dog barking and other
noises should not be present while conducting the lesson.

7.10 Update your ERP report - Your ERP reports should be updated before
the day ends. The parents normally check the ERP report to monitor the
performances of their child. Parents may complain for not seeing an updated
report on the ERP. Make sure to write the Book Title, Page Number, Topic or
Activity, and other instructions as a lesson guide for parents or to the substitute
teacher in case of your cancellation and absence.

7.11 Keep in touch with the Executive Manager and the Executive
Secretary - Always communicate with the Executive Manager and the
Executive Secretary for any issues that may arise during your class. The
Executive Manager and the Executive Secretary will do their best to provide
you immediate assistance for your concerns.

8. Absences and Tardiness

The teachers are entitled to file at least two (2) leaves of absence in a month with a
1-week notice given to the Executive Manager and the Executive Secretary. All
teachers shall also inform the student of any issues during the class and shall
arranged make-up classes or extend lesson time if possible. Abrupt cancellation,
absences and tardiness from the class are subject to penalty if the teacher fails to
follow the standard procedure of the company.

The following issues that may cause abrupt cancellations, absence and tardiness
shall be reported immediately to the Executive Manager and the Executive Secretary.

 Interruption of your Internet, modem or router


 Power interruption or outage
 Technicalities such as computer problems, headset, web cam
 Personal or Family emergencies

Arranging of make-up classes and lesson extension shall be reported to the


Executive Manager and the Executive Secretary in advance.

9. Class Substitution

The management may assign a substitute teacher within 3 days of being late or no-
show from the regular teacher, and if the makeup class is not arranged or agreed by
both the affected student and the teacher. The student has the right not to arrange
or accept the makeup class schedule of the regular teacher if he/she chooses to
have a substitution instead. The regular teacher’s class fee per affected class shall
be given to the substitute teacher.

10. Transferring of Students

Once the student has complained three times for whatever reason, the management
has the right to transfer the student to another teacher.

11. Teaching Outside

Teaching outside the premises of the teacher like restaurant, coffee shop and cafe's
are strictly not allowed. You should be able to talk to the admins in case you will be
moving to another place to teach due to internet or power failure.

12. Resignation/Dismissal

12.1 Resignation

Filing of resignation should be one month ahead upon submitting the


letter. And within one month, the resignee teacher should wait for a
new/replacement teacher that meets the company's standard.

Hence, resigning suddenly without further notice and violating the stated
rule will be penalized by cutting off 50% of the salary.

12.2 Dismissal

The management will have the right to dismiss teacher for conduct
seriously jeopardizing any student or the management or for criminal
activity. In such instances, the management has the right under this
agreement to execute immediate dismissal.

Violations that occurred more than the stated above shall be dealt with separately
and may result to suspension, termination of employment or other substantial
amount of penalty.

All teachers have the right to provide an explanation letter or to appeal for whatever
violations he/she may commit from time to time. The management shall make sure
that all actions taken by the admins shall be given with just cause and shall be
discussed accordingly.
