A. Overview of Big Rice Mill Operation

Scope and Importance: Handling large amounts of paddy while operating a

huge rice mill calls for a thorough approach to rice processing. This size of business is

essential to providing the market with the enormous amounts of rice needed to support

the nation’s population. The fact that rice is a staple food for billions of people

emphasizes the importance of these operations.

Processing Stages: Usually, the process starts with cleaning the raw paddy to

get rid of undesirable items and contaminants. Husking, milling, polishing, grading, and

packaging are the next steps. Every stage helps to improve the finished product and

guarantee that it satisfies safety and quality requirements.

Modern technology and automation: Big rice mill operations use modern

technology and automation to attain accuracy and efficiency. Contemporary

technologies optimize workflows, augment efficiency, and diminish human labor.

Consistent quality control, which guarantees that the finished rice products fulfill strict

requirements, is another benefit of automated systems.

B. History of Rice Milling

Over the course of centuries, large-scale rice milling operations have changed to

accommodate both economic and technological improvements. At first, milling and

pounding by hand were typical.

a) In the early stages of the pre-industrial revolution, rice was milled by hand

using tools like a mortar and pestle. This was followed by a shift to more automated

San Nicolas, Candon City, Ilocos Sur

procedures throughout the Industrial Revolution. In some areas, water-powered mills

emerged, increasing productivity.

b) During the Industrial Revolution (18th-19th centuries), mechanization

accelerated. Water wheels were replaced by steam power, which increased output.

Massive facilities began processing massive amounts of rice, leading to a more

centralized method of milling.

c) 20th Century advances: Electric Mills were introduced in the middle of the

century, which significantly increased efficiency. Precision grading systems and rubber

roll huskers are examples of modern technology that have become common.

d) Automation and computerization: These two trends revolutionary rice

milling in the second part of the 20 th and early 21st centuries. Higher yields and quality

were guaranteed by computer-controlled machinery that optimized the milling process.

e) Globalization and Market Demands: Large rice mill operations responded to

trends in globalization by increasing their rice output to satisfy demand from around the

world. Exporters now depend heavily on quality assurance and certification.

f) Environmental considerations: As environmental impact became more

widely recognized, some rice mills implemented sustainable operations by reducing

waste and utilizing eco-friendly technologies.

g) Integration with Supply Chain: Large rice mills frequently collaborate closely

with farmers, distributors, and retailers to streamline production and distribution.

h) Challenges and Innovations: Persistent innovations are driven by issues

such as pest management, climate change, and market fluctuations.

i) Current trends: Modern technology, data analytics, and quality control

procedures are used by large rice mill operations today. Research and development in

rice varietals and milling technologies has continued. Understanding the history of big

rice mill operations has a big impact to the economy and in the industry of rice milling. It

also offers insights into the dynamic interplay of technology, innovation of machineries,

market factors, and agricultural practices across time. They are essential to maintaining

a steady global rice company that is truly one of the biggest demand of world’s

economy and agriculture.

C. Satake’s Rice Mill Discovery

In an effort to relieve the workload of millers in the Japanese city of Higashi-

Hiroshima, Riichi Satake invented the first rice milling machine powered by electricity in

1896. One hundred and fifty years later, the new Satake executives are tackling issues

for the world's rice, wheat, and maize sectors. The Japan-based company's ongoing

concentration on research and development allowed it to successfully broaden its

offerings and focus.

According to Kazuhisa Matsumoto, president of Satake Corp., "manufacturing

companies will not be able to survive market competitions without having robust

technological development." Satake has continuously improved its technology and

worked on creating new goods and technologies.

With the construction of Riichi Satake's vertical abrasive rice mill, Higashi-

Hiroshima—a region well-known for producing sake, a Japanese rice wine—became

6

the birthplace of Ginjo Sake, a high quality. Currently, the city is among Japan's top

three major sake brewing regions. Satake has subsequently expanded the field of

development from machines to processing system design and consumer items. Since

then, the company has developed a variety of grain processing machines throughout

the world. For instance, the company developed a system to handle and manage the

machinery along with paddy dryers, paddy huskers, polishers, and packers in the rice

milling industry. Subsequently, it produced dehydrated rice, functional rice, and

equipment for commercial rice cookers.

"The needs of consumers for food have gradually changed over time,"

Matsumoto stated. "They want food that is easier to prepare, safer, and more

delicious." Satake has supplied the market with devices and frameworks that quickly

meet these demands. Satake has evolved from being a machine manufacturer to a

company that creates systems and solutions that meet the needs of consumers and the

milling industries by continuously inventing cutting-edge technology. With 3,000

workers across 54 sites throughout 14 countries, Satake is a global organization.

a. Constant Innovation

Before Riichi Satake's invention of the mechanical rice mill, they were operated

manually or hydraulically. Riichi Satake continued to innovate, introducing a high-speed

milling machine with sand rolls in 1925. In 1944, he was awarded the Blue Ribbon

Medal for his inventions, the first in the agricultural processing sector to receive this

recognition.Toshihiko Satake, co-president of the company, published the book "Theory

of rice milling", from which modern rice milling technology evolved. Invented in 1955,

7

the Pearlmaster rice mill became the first rice mill to be exported from post-war Japan.

The following year, Satake developed a single-stage rice mill for farmers.

The focus during that time was increasing the volume of production with mass

production and improved efficiency. Satake’s Compass Rice Milling System allowed the

Japanese government to centralize large-scale rice milling facilities. Because of the

government’s endorsement, the system was used by a majority of rice mills in Japan in

1962. In 1966, the company developed the tempering dryer, which could dry rice up to

10 times faster than previous dryers, and in 1974, the Rice Master, the first husker with

an oscillating paddy separator, ushered in a new era for husking.

In addition, Satake began to increase the number of its physical locations. In

1968, it opened Satake Inc. in Houston, Texas, and in 1980, it opened Tohoku Satake

Co., Ltd. in northern Japan. The 1990s saw more physical development with the

founding of Satake UK Ltd. and the purchase of Satake Manufacturing (Suzhou) Co. by

Robinson/Simon. Satake America Latina Ltda., located in Porto Alegre, Brazil; and Ltd.,

situated in China. Once production levels were at an acceptable level, attention turned

to product quality. More and more customers were requesting rice that tasted better

and was cleaner. Rice that cooked quickly and didn't require washing was one of the

most sought-after conveniences. Meanwhile, consumers demanded safety and

security, particularly that there be no foreign objects or discolored grains, and Satake

complied.

"By creating ground-breaking products that have never been seen before, one

after another, in response to the needs of society and the times, Satake has led the

8

grain processing field," Matsumoto stated. A "Taste Analyzer" that assesses rice's

flavor objectively was created by Satake in 1986. He said that "the new method has

made it possible to conduct simple and consistent taste tests, as it determines the taste

of rice based on its component content." The company created "rinse-free rice" in

recent years by carefully and safely removing the bran from the rice's surface, enabling

it to be cooked without needing to be rinsed. Customers and the industry had long

wanted this, especially since it didn't create any wastewater.

Additionally, Satake created a method for organically transferring the useful

elements of brown rice to white rice. Through the rice's natural germination process and

moisture transfer, this method transfers the GABA present in brown rice germ to white

rice. The product is marketed under the name "GABA Rice."

According to Matsumoto, "the emphasis on security and safety has further

expanded into the areas of health and beauty in today's Japan." "Our commitment has

always been to promptly incorporate market demands and changes into our product

lines in order to satisfy the needs of our customers and consumers. Not only do

people's tastes drive change, but also advancements in technology, altered lifestyles,

shifting work methods, and other societal shifts. According to Matsumoto, rice milling

facilities are currently looking for automation and labor savings while preserving product

quality and spreading risks. "Satake directly confronts the constantly shifting needs of

the markets and customers. Satake never stops enhancing our technological and

development capacities in order to meet customer needs.

b. Challenges and success

9
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

One more factor contributing to Satake's success is the large number of free-

thinking and flexible personnel. The direction is defined by top management, but

implementing it requires a diverse variety of ideas and the capacity to do so.

That is not to argue that there haven't been difficulties over the years. It's never

easy to develop new items, especially when they're the first of their kind. "It was

extremely challenging to develop ground-breaking products like the high-performance

motor, the optical sorter, the rinse-free rice production equipment, the germ-retained

grain milling machine, and the power-driven rice milling machine at the time of the

company's founding," Matsumoto stated.

Even when the performance and quality of new items are demonstrated, there

are several instances in which sales do not result from them. This occurs frequently

when sales techniques are not well-established or when buyers are not informed of the

advantages of the new product.

Satake created a structure where sales and research and development

collaborate to market the products to consumers in order to get around this obstacle.

Enhancing the work environment and work ethic of its staff is another priority for

Satake. "Happiness to everyone involved with Satake" is its stated policy.

c. To the future

Satake is still putting itself in a successful position as it looks to the future. The

firm and Alapala began a strategic cooperation in 2015, and in 2017 they brought back

the Henry Simon brand of flour milling machinery. Known for his ingenuity and role as a

catalyst in the development of the modern milling business, Henry Simon was

10
Republic of the Philippines

established in the United Kingdom in 1878. Similar to this, Satake has made a

breakthrough in rice milling that streamlines and boosts productivity. All Satake

machinery is included in the REACH rice milling system, enabling quick installation.

The ongoing COVID-19 epidemic, according to Saita, will shape a significant

portion of the near future and has rendered certain conventional ideas and approaches

outdated. The industry now has a chance to reconsider how to approach the problem

and keep coming up with solutions because of the existing circumstances.

CHAPTER V

PROBLEMS/ISSUES AND CONCERNS

17
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

The problems or concerns from each department are represented in this

chapter.

Problem 1: Accounting Department

Accounting problems include those that lead to significant inaccuracies in financial

statements, fraud that goes unnoticed because of insufficient internal control, incorrect

application of generally accepted accounting principles, noncompliance with

regulations, and cybersecurity threats. Accounting issues can misrepresent Nasin-aw

Rice Mill’s profitability and have a negative influence on cash flow.

 Revenue Recognition Problem

Revenue recognition issues include implementing revenue recognition rules

incorrectly, coming up with fraudulent revenue schemes, improperly accounting for

consignments and shipments of third-party inventories beyond the level of possible

consumption, and making irrational predictions.

 Lease Accounting Problem

Nasin-aw Rice Mill must capitalize operational leases with tenant right of use (ROU)

and a term longer than twelve months due to changes in lease accounting standards.

Even for shorter operating leases, such as those for office space, rent expenses might

be reported on a monthly basis. Over time, the leases are amortized.

 Fair Market Value and Impairment Write-downs

It is possible for accountants to overlook necessary adjustments or impairment

write-downs when registering necessary assets or liabilities at fair market value.

Accountants must routinely determine if asset valuations have been impaired in order

18
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

to acknowledge the loss of value due to shifting business and economic conditions.

Adjustments to the fair value of specific assets and liabilities must also be taken into

account by accountants.

When required by company, accounting professionals adapt through journal entries

and financial statement disclosures.

 Payroll Mistakes

Payment errors and accounting issues may arise if Nasin-aw Rice Mill chooses to

handle payroll, payroll taxes, and benefits on its own. Staff morale and productivity are

negatively impacted by payroll issues such as incorrectly computing paychecks for

hourly earnings and salary charges.

 Statement of Cash Flow

One way to make classification errors in a cash flow statement is to classify interest

and dividends paid and received incorrectly. The cash flow statement classifies interest

earned and paid as an operating activity. In the cash flow statement, receiving

dividends is an operating activity and paying dividends is a financing activity.

 Outdated Software for Accounting

Using manual data entry and paper documents for business transaction processing

and recording, outdated accounting software technology is inefficient, lacks real-time

results for visibility in managing the company or its sales & marketing processes, and

does not automate regulatory compliance.

 Insufficient Financial Analysis

19
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

When an accounting staff lacks effective accounting processes, they are unable to

devote enough time to value-added work because they are too busy closing the books.

By computing ratios, identifying and monitoring business trends, and offering decision

assistance for novel prospects, financial analysis creates value.

 Inadequate Internal Control Problem

Nasin-aw Rice Mill may not have enough staffing to attain the separation of duties

needed for adequate internal control. Its accounting systems may be inadequate to

prevent fraud and duplicate payment errors.

 Fraud Problem

Fraud, including embezzlement, may result from inadequate internal control and

employee collusion.

 Non-Compliance with Regulations

Various domains are covered by regulatory compliance, such as taxation, data

security and privacy, and sanctions lists.

 Not Enough Security

Cybersecurity is a serious problem that can jeopardize consumer information,

personnel records, and intellectual property owned by your company.

Problem 2: Business Department

Although they are sometimes overlooked, commonplace business management

issues are widespread in enterprises. A thorough analysis of Nasin-aw Rice Mill will

undoubtedly reveal a number of hidden business management system issues. Being

20
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

ready to tackle these problems from the standpoint of the entire business management

system is essential for success. Even when one acknowledges the existence of a

problem, figuring out how to tackle these business-management concerns in a different

way might be difficult.

 Conventional Methods of Metric Reporting

Conventional methods for reporting metrics are incredibly inefficient and ineffectual.

Frequent company performance reports, including a table of statistics and red-yellow-

green scorecards, can result in unhealthy organizational practices and needless

firefighting. Regretfully, the majority of companies continue to rely on these outdated

reporting methods, which is impeding their ability to implement effective management

practices that foster optimal organizational behaviors.

 Deployments of Process Improvement Not Beneficial to the Big Picture

Everyone should understand that, in order for an organization to survive,

improvements may be necessary. This knowledge enables an organization to

implement process improvement initiatives to enhance processes.

 Generic executive business strategies.

A two-day executive retreat is frequently where organizational strategies have their

start. Executive retreat strategic statements are frequently written in a very general way

that makes it difficult for staff members to understand. These business tactics are

typically tough to implement and don't function well in a corporate setting.

 Establishing Organizational Objectives

21
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

Leadership frequently establishes organizational goals on a monthly or quarterly

basis; nevertheless, this practice of defining goals for businesses can result in very

harmful, if not destructive, behaviors.

Organizations that have a business management policy culture that sets goals for the

following time period may manipulate the figures to make things look better than they

actually are.

 Customers' Voice (VOC)

Nasin-aw Rice Mill frequently concentrate on use a Likert scale with a range of 1 to

5 to measure customer satisfaction; nonetheless, this kind of survey seldom offers

precise guidance on how to modify procedures in order to better satisfy consumers'

needs, wants, and wishes.

Problem 3: Sales Department

The success of Nasin-aw Rice Mill is strongly impacted by the productivity and

efficacy of sales force.

 Long Sales Cycles Are Reducing Effectiveness

For many enterprises, the sales cycle is getting longer. There are many reasons for

this, but primarily, the biggest challenge is the dependencies on a greater number of

stakeholders for agreement.

 Too Few Inbound Web Leads to Help with Sales

While they shouldn't fill your entire sales funnel, inbound internet leads are an

essential part of it. Your website may facilitate the work of your sales representatives. A

22
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

potential customer who has visited your website, read the content, and then gotten in

touch with you is already very interested in what you have to offer.

 Lack of Trust and Reputation for the Brand

Make sure you have enough offline and online sales and marketing collateral in

place to handle a lot of the grunt work for you. A potential customer will evaluate your

brand reputation before speaking with you based on their exploration of your case

studies, content, and brand visibility. Your sales staff will face a significant obstacle if

the materials they have access to are noncommittal or closed off.

 Idle Taking Too Long with Unqualified Leads

Because of erroneous prospect data, sales representatives chase unqualified

prospects for over 25% of their work. Your sales representatives may become

extremely demotivated as a result, which could negatively affect your sales pipeline and

eventually your figures.

 Internal Conflict Regarding Novel Procedures

Your sales team will push back every time you make changes to your sales

procedures. Sales representatives frequently feel uneasy about change, especially if

they have worked for your organization for a long period. This can create a hostile

atmosphere among your peers.

Problem 4: Marketing Department

23
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

Nasin-aw Rice Mill utilize marketing as a crucial tool to attract prospects and convert

them into paying customers. The inability of marketing teams to effectively offer

products may be a hindrance to enterprises.

 Finding talent

The collective knowledge and skill of a marketing team is frequently a key

component in developing winning campaigns. A skilled workforce might be difficult to

find and retain since skilled marketers are frequently in high demand. If you're having

trouble filling positions, you might want to think about incorporating marketing strategies

into the hiring process to attract better candidates.

 Keeping a healthy enough budget

A frequent problem for Nasin-aw Rice Mill is a lack of resources or money. This

could happen if a business is losing money or if marketing initiatives aren't yielding a

positive return on investment. Lack of funding might hinder a company's growth or keep

marketers from realizing their full potential.

 Creating Leads

Leads are people or businesses that express interest in your goods or services.

Finding prospects and turning them into paying clients is one of the main objectives of

marketers. Generating leads can be difficult, particularly in highly competitive

businesses.

 Selecting the Proper Tools

Customer expectations are constantly changing, which also affects marketing

strategies and tools. It's critical for marketing experts to employ the newest and most

efficient technologies available to draw in and keep clients. Inadequate tools might

keep Nasin-aw Rice Mill from utilizing leads to their full potential and from being

competitive.

 Avoiding taking chances

Similar to numerous other facets of business, marketing may occasionally entail

risks. Who being said, there are marketing teams who are just too hesitant to abandon

tactics that have worked for them for years. This tendency would keep teams from

learning efficient marketing strategies, which would put them behind the times and

possibly impede the expansion of the business.

Problem 5: Operational Department

Planning, arranging, and overseeing in the context of manufacturing and production

are all part of operations management. By utilizing the least amount of resources and

satisfying client needs, Nasin-aw Rice Mill can be effective and efficient through good

operations management. Operations management essentially draws attention to the

connection between process and value.

 Lack of Labor

Even before COVID, as every businessperson knows, labor shortages were a major

issue. A "help wanted" notice was posted on a businesswoman's door. One of the

biggest issues facing operations in Nasin-aw Rice Mill is a labor shortage. There are

roughly 11 million jobs available, but there aren't enough people to fill them because

there are only 6 million unemployed people. This implies that there would still be 5

25
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

million unfilled positions even in the best-case scenario, in which every jobless person

gets employment.

 Delays in Logistics

Nasin-aw Rice Mill is very concerned about logistical delays, particularly in the post-

pandemic phase. For years, the supply chain has been strained by a lack of truck

drivers, which has frustrated many operations managers.

 Extended Lead Times

Customers and manufacturers alike are beginning to demand quicker delivery

times. They experience longer lead times, nevertheless. Prolonged lead times provide

an issue for both obtaining raw materials and delivering finished goods to customers.

Two or three weeks is no longer sufficient. Customers anticipate receiving their

purchases in a day or two and that they would be shipped out right away.

 Equipment Absence

Nasin-aw Rice Mill, whether distribution centers, warehouses, or production

facilities, depend on various forms of material handling equipment (MHE) to finish their

tasks. Palletizers, conveyor systems, and forklifts are common MHEs.

 Inventory Control

Effective inventory management faces various obstacles. Among them are:

Numerous SKUs, or stock-keeping units. Various SKUs make it difficult to keep track of

them. Preventing damage to inventories and guaranteeing efficient order fulfillment

present challenges as well. Inventory visibility is lacking. Only a small percentage of

Nasin-aw Rice Mill now manage their inventories in real time, despite the fact that many

26
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

demand it. Ineffective warehouse and inventory management systems or manual

inventory management are partially to blame for this. Incorrect information. The days of

Nasin-aw Rice Mill being able to count inventory once a year are long gone. You now

need to be aware of the precise amount of inventory you have on hand at all times.

Demand fluctuates. In general, consumer demand is ever-changing, which makes

storing goods more difficult. Overstocking can lead to outdated inventories, and

understocking.

Problem 6: Warehouse Department

To ensure that all of the activities that take place in a warehouse operate as

smoothly and efficiently as possible, warehouse management entails planning,

overseeing, and maintaining these activities. Every warehouse operation is subject to

errors and difficulties, even though some of these procedures appear to be automated

and error-free.

 Unintentional redundancy

Workflows are created by connecting the many processes that most warehouses

undertake on each item. However, if a workflow is disorganized, it's possible that the

same task be unintentionally carried out more than once. When you have to go back

and fix the error, these redundancies add to your labor expenses and consume more

time. Larger warehouses experience this more frequently than smaller ones since there

is more space and merchandise to manage.

 Cluttered arrangement of the warehouse

27
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

Warehouse managers in Nasin-aw Rice Mill have been forced to use their

warehouse space more effectively over time due to growing storage expenses.

However, according to a Logistics Management survey from 2018, manufacturers only

used roughly 68% of the typical storage capacity, indicating that it isn't always effective.

Inefficient utilization of available space in warehouses still results in a shortage of

storage.

 Inadequate readiness for the demands of the season

While some product categories see consistent demand throughout the year, others

have more demand at particular seasons of the year. Unexpected spikes in demand

might cause serious problems because your warehouse may not be equipped to handle

the volume of requests. This can be the result of either not having enough things in

stock or not knowing where to put them given the short notice. To be prepared to

handle your fluctuating stock levels, it's critical to be informed about the state of the

market and the shifts in demand for the products you deal with.

 Ineffective order handling

Order management is the most error-prone function in a warehouse, despite being

one of the most crucial ones. Order management includes all of the procedures that

begin as soon as an order is received, including accepting it, selecting, packaging, and

sending the appropriate goods to the right consumer, as well as managing any

necessary post-sale procedures like refunds and returns. Any error in one of these

procedures has the potential to bring down the workflow as a whole, necessitating a

complete restart of each phase. This is obviously a significant waste of resources,

28
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

including time and money, and it will cause your customer's order to arrive later than

planned.

 Excessive labor cost expenditures

Laborers are hired to perform a variety of jobs in a warehouse, including general

labor duties including cleaning, operating forklifts, handling materials, monitoring

shipping and receiving, shipping specialist, loading, product picking, stock clerking, and

general warehouse management. Nowadays, with so much technology at their

disposal, most warehouses are trying to figure out how to invest in it. It's a popular

misconception that the only expensive things are automation and equipment. However,

a lot of warehouse managers are unaware that physical labor is very expensive.

Problem 7: Human Resource Department

Nasin-aw Rice Mill’s HR managers may be in charge of a variety of hiring and

management-related tasks. HR issues in businesses can take many different forms.

Additionally, their level of complexity and seriousness varies based on the nature of the

difficulty and the location and operations of the organization.

 Adherence to legal requirements

Making sure you comply with all applicable regulations in your area of operation is

the first major HR issue that frequently arises in businesses. Small HR departments

may find this to be a very difficult task, particularly if no one on the team has any prior

familiarity with local labor laws and regulations. Some of the main issues that come up

are: The time-consuming nature of monitoring employment regulations across all

29
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

regions where the business conducts business ensuring compliance with local

regulations in all operations, hiring, and employment procedures Insufficient time and

knowledge to comprehend the complexities and intricacies of the legislation. A small

business that disregards laws and regulations may face severe repercussions.

 Safety and health

Similar to laws and regulations, HR departments frequently make sure the business

complies with all health and safety norms. Some of the main issues that come up are:

establishing and implementing procedures for health and safety at the business

supplying training to staff members and records of course completion to demonstrate

adherence to health and safety regulations keeping an eye on and modifying local

health and safety regulations keeping track of incidents of workplace accidents or

safety infractions to guard against future claims for workers' compensation. Similar to

employment laws and regulations, a company's failure to implement a comprehensive

health and safety policy may result in expensive legal actions and injury claims.

 Management of Change

It can be quite difficult for HR departments and their staff to manage change. This is

particularly true for rapidly expanding companies that are onboarding new hires at a

rapid pace or seeing a rapid development in their procedures. Regretfully, HR is

frequently the target of these annoyances. Some of the main issues that come up are:

modifying HR procedures and guidelines to reflect the expansion and goals of the

business juggling the demands and preferences of management, new hires, and legacy

30
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS

staff. Maintaining transparent communication prior to, during, and following any

modifications addressing dissatisfaction or criticism from staff members.

 Payroll administration

One issue that no HR firm can avoid is compensation and benefits. This is the main

worry of every worker and has a significant effect on engagement, productivity, and

performance. Some of the main issues that come up are: Understanding how to set up

pay plans to maintain competition in your field keeping an eye on the employment

market to see what other companies are offering matching market demand for

remuneration, particularly when attempting to take on bigger rivals. Offering incentives,

rewards, and competitive perks that correspond with the preferences of your

prospective applicants.

 Attracting elite talent

Similar to pay, smaller HR departments can lose out to larger ones in the competition

for top talent. When a company lacks the resources to pursue the top individuals, this is

still another serious HR issue. Some of the main issues that come up are: being

surpassed in the fierce battle for the best candidates for specialized positions. Finding

great talent requires a significant investment of time, money, and effort—all of which

are scarce.

Problem 8: Production Department

In order to strengthen their position in a market that is becoming more and more

competitive, businesses in the process manufacturing sector of today must streamline

31
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

operations, cut costs, update product formulas on a regular basis, drive supply chain

efficiencies, boost employee productivity, maintain business relationships, and adapt to

new legal and regulatory requirements. Process manufacturers cannot afford to

experience any problems that could impede their output given the stringent standards

set.

 Product Variabilities

Whether they are purchasing rice, food, paddy, or any other product made by

process manufacturing, consumers want all products from that particular brand to be of

the same caliber and value. Unintended variations in a product's recipe or formulation

could have detrimental effects on health and safety, which is why product uniformity is

crucial for both safety and brand consistency.

 Wasted Resources

Waste is a regrettable but unavoidable component of every process manufacturing

production cycle, frequently as a result of inadequate planning or recipe or formula

modifications. Nevertheless, Nasin-aw Rice Mill should aim to decrease material waste

in order to prevent excessive overhead, stop financial losses, and boost overall

productivity.

 Awareness of Environmental Issues

Consumers nowadays are more concerned about the environment than in the past,

and they want firms they support to be equally committed to eco-friendly activities.

Process manufacturers, particularly those in the chemical industry, have an obligation

32
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

to consider the environmental impact of the components they use and to actively seek

out methods of lowering emissions and producing environmentally friendly goods.

 Supply Chain Transparency Is Lacking

Nasin-aw Rice Mill is essential to the supply chain because they convert suppliers'

raw materials into batches of finished goods that distributors subsequently sell to

customers. This supply chain needs to function like a well-oiled machine; problems at

any point, even at the facilities of suppliers or distributors, could cause disruptions to

the entire production lifecycle, which could lead to losses in earnings as well as

possible safety risks.

 Tight Industry Regulations

The Food and Drug Administration, the Environmental Protection Agency, and other

agencies of a similar nature regulate process makers. If these rules are broken, there

could be harsh penalties and permanent harm to the reputation of a process maker.

These standards are intended to safeguard the public and the environment from

hazardous biohazards. To guarantee that all raw materials, machinery, procedures, and

final goods are up to code, it is crucial that process manufacturers carry out routine

quality control inspections.

CHAPTER VI

STEPS BY STEPS OPERATIONS AND PROCESS

This chapter provides a detailed overview of the operations and processes of

Nasin-aw Rice Mill.

Rice Pre-Cleaning Department

33
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

This is the first step in the rice milling system after the rice field from the rice

farmer is transported to the rice milling machine for the rice milling process. Paddy rice

always contain a lot of external substances, including weeds, soil and seeds. These

external substances must be removed before being brought into the peeling process to

ensure the efficiency of the peeler and grinding. It is not affected by this. If not removed

properly, it may affect the efficiency of the rice miller.

A. Rice Cleaning Department

B.1. Removing the husk (dehusking or dehulling). The process of removing

the husk from rice grains is referred to as de-husking. The process includes directing

paddy into a pair of rubber rolls, rotating in opposite directions and at different speeds.

A shear force is generated on the surface of the hull because of horizontal inward

pressure that is applied on rubber rolls. Removing the husk from the brown rice or

unhusked paddy is known as husk aspiration.

B.2 Paddy separation. It is the process of separating paddy rice from brown

rice. This is typically done using a paddy separator machine, which utilizes differences

in density and size to efficiently separate the two components.

The surface of a rice grain is smooth, whereas the surface of paddy is rough.

Paddy separator uses this difference in texture to spate brown rice from paddy.

B.3 Whitening and Polishing. A humified rice polisher is used to polish surface

of the rice. The factors which determine the extent of whiteness are the radial velocity

of the stones, and the external pressure on the outlet chamber of the whitening

machine.

34
Republic of the Philippines

B.4 Separation of white rice. White rice is divided into four categories after

polishing: head, small, broken, and large rice.

B.5 Rice mixing. Mixing of head rice with predetermined amount of brokens, as

required by the customer.

B.6 Mist Polishing. The idea to mix a fine mist of water and attach it to white

rice, making the rice glossy.

B.7 Rice weighing. Preparing milled rice for transport to the customer. Results

in the estimated weight being accurate and reliable. Additionally, rice weighing

technology was evolved to incorporate digital scales providing more precise

measurements. It is important to ensure that the scale used is properly calibrated to

guarantee accuracy.

13. A certain quantity of broken rice and head rice are moved to the blending station.

14. The specially blended head rice and brokens are sent to the bagging station.

15. The market introduces bagged rice.

Examples of the various phases’ outputs:

 After pre-cleaning, clean the paddy.

Grain paddy following pre-cleaning. The deeper hue of the grain clearly indicates

poor quality. These are partially full or immature kernels that the pre-cleaner did not

remove. The overall milling recovery is reduced when low-quality grain is present.

 Brown rice at the rubber roller husker.

Brown rice and paddy grain mixed together as they emerge from the rubber roll

husker. After the first pass, roughly 90% of the paddy with uniform size should have

been husked. After passing through a paddy separator, the mixture is sent to a de-

stoner, and the paddy is then put back into the husker.

 Milled rice after polisher.

Rice milled subsequent to the second friction polishing stage. There are still

small breaks in the grains. To get rid of the tiny broken grains, this product is sent

through a sifter.

accurate revenue recognition. It is crucial to

ensure that your accounting and finance

teams receive the necessary training to

effectively utilize this software. While Excel

spreadsheets are widely used, they are

prone to errors and can be inefficient.

Therefore, it is advisable to explore

alternative software solutions that can better

meet your company's needs and enhance

efficiency in financial management.

-Lease accounting problem. Adequate

training is essential for business accounting

teams to stay updated with the latest

accounting standards. By receiving proper

calculations, and provide comprehensive

reporting capabilities. By leveraging such

software, accounting teams can save time,

reduce errors, and improve overall financial

performance.

-Fair market value and impairment write-

downs. Accountants must have adequate

training to properly record asset

impairments and fair market valuation when

required and make necessary financial

statement disclosures. Research financial

statement areas subject to accounting

issues with impairment.

-Payroll mistakes. Consider entrusting your

payroll responsibilities to a highly proficient

organization that specializes in such

services, such as ADP or Paychex. By

providing them with the precise number of

hours worked and relevant payroll details,

you can ensure that payments and tax

47

San Nicolas, Candon City, Ilocos Sur

withholdings are accurately calculated and

in accordance with tax regulations.

Additionally, you can anticipate receiving

precise reports that account for these

crucial elements. With the assistance of

these expert payroll providers, your

business can confidently make timely

payroll tax remittances as required by law.

-Statement of cashflow. Staying updated

with the latest developments and training

materials on cash flow statement

preparation is essential for effectively

solving cash flow statement problems. By

continuously learning about the updates

and training topics, individuals can gain a

comprehensive understanding of the

fundamentals involved in preparing cash

flow statements. This knowledge will enable

them to tackle any challenges that may

arise and ensure accurate and efficient

48
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

cash flow statement problem solving.

-Outdated software for accounting. Enhance

the obsolete software technology utilized in

accounting software or systems by

transitioning to cutting-edge cloud-based

software. In the event that a complete

system overhaul is not financially feasible,

contemplate the integration of third-party

add-on software to cater to your specific

requirements.

-Insufficient financial analysis. Employ

advanced cloud-based platforms and

supplementary software integrated with

artificial intelligence and machine learning

capabilities to streamline accounting

procedures and financial analysis. These

ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

key performance indicators (KPIs) and

provide trend analysis. These dashboards

should be accessible to authorized

personnel from all functional departments.

-Inadequate internal control problem. In

situations where the segregation of duties is

not being effectively implemented, it is

advisable to involve the business owner in

the approval process. This can be done by

assigning them the role of a matched

vendor invoice document reviewer and

second signature. By doing so, the business

owner can provide an additional layer of

scrutiny and ensure that all invoices are

thoroughly reviewed and approved before

any financial transactions take place. This

helps to mitigate the risk of fraud or errors

that may occur when there is a lack of

segregation of duties within the

organization.

50
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

-Fraud problem. Aim to establish a strong

system of internal controls by assigning

tasks to employees in a manner that

ensures adequate segregation of duties.

This means that the responsibilities of

controlling or safeguarding assets and

recording transactions in the books should

be assigned to different individuals. By

implementing this segregation of duties, you

can minimize the risk of fraud and errors, as

it requires collusion between multiple

employees to carry out any illicit activities.

-Non-compliance with regulations. Ensure

that your company, along with its financial

and accounting staff, is well-versed in the

regulatory matters that pertain to your

industry and organization. Undertake a

comprehensive project to meticulously

document any regulatory concerns and

make sure to disseminate the findings

51
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

extensively throughout the company.

Additionally, organize a training session for

all employees, where you can place

significant emphasis on the core values of

the company, such as ethical behavior and

empowering employees to act as the moral

compass for the organization. By doing so,

you will foster a culture that prioritizes

compliance and integrity.

-Not enough Security. Deploy cutting-edge

cybersecurity software to fortify your

organization's digital infrastructure. Develop

and disseminate a comprehensive company

policy that outlines the necessary measures

to ensure robust cybersecurity. This policy

should encompass the latest industry

standards and best practices to safeguard

sensitive data and protect against potential

breaches. Additionally, conduct thorough

training sessions for employees, educating

them on identifying and avoiding potential

52
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

threats such as phishing emails and other

malicious scans that could potentially

compromise the security of the company.

By implementing these proactive measures,

your organization can significantly enhance

its cybersecurity posture and mitigate the

risk of cyberattacks.

Business Department

-Conventional methods of metric reporting.

Conventional methods of reporting metrics

are highly inefficient and ineffective. The

use of standard business performance

reports, such as color-coded scorecards

and numerical tables, can result in

counterproductive firefighting and

detrimental organizational practices.

-Deployments of process improvement not

beneficial to the big picture

It is crucial for individuals to acknowledge

the necessity for organizations to enhance

53
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

their operations, as it is vital for their

survival. With this awareness, organizations

may choose to implement a Lean Six Sigma

or Lean process improvement initiative to

enhance their processes.

-Generic executive business strategies.

Executive retreats often produce strategic

statements that use generic language,

making it challenging for employees to fully

understand and implement them.

Unfortunately, these business strategies

often struggle to be effective within the

company and face obstacles in their

execution.

-Establishing organizational objectives. In

order to achieve a future target, like the

quantity of products delivered, a company

might choose to move upcoming orders to

the present time to improve the current

period's figures. However, this strategy

54
Republic of the Philippines
ILOCOS SUR POLYTECHNIC STATE COLLEGE
MAIN CAMPUS
San Nicolas, Candon City, Ilocos Sur

could result in a significant loss of revenue

from future orders.

-Customer’s voice. Many organizations

commonly rely on a 1 – 5 Likert scale to

preferences.

Sales Department. Long sales cycles are

reducing effectiveness. Although it is not

possible to compel potential customers to

make hasty decisions, it is within your

control to ensure that your brand remains

prominent in their thoughts during the entire

decision-making journey. Implementing a

follow-up system can help maintain the

prospect's interest without exerting pressure

on them to purchase your product,

regardless of the duration it takes for them

to reach a decision.

-Too few inbound web leads to help with

sales. Conduct a thorough examination of

your website to identify any deficiencies in

your sales and marketing content. It is

crucial to ensure that your web content

aligns seamlessly with the characteristics

and preferences of your target audience.

Additionally, consider collaborating with a

trustworthy B2B data partner to enhance

your ability to connect with potential

customers more efficiently and maintain the

motivation of your sales representatives.

-Lack of trust and reputation for the brand.

Ensure your content strategy is on the right

track by effectively steering it in the desired

direction. By closely monitoring the

performance of your content, you can gain

valuable insights into which types of content

informed decisions and optimize your

content creation efforts for maximum

impact.

-Idle talking too long with unqualified leads.

Ensure the efficiency of your Sales

Development Representatives (SDRs) by

leveraging accurate data to focus their

efforts on nurturing prospects that meet

your SQL and MQL criteria. The utilization

of a data platform dedicated to prospecting

can greatly enhance the productivity and

effectiveness of your sales team.

-Internal conflict regarding novel

procedures. Encouraging your sales team

to embrace new tactics is crucial for their

growth and success. While it may seem

challenging, it is essential to emphasize the

benefits they will gain from adopting new

processes or tools, rather than forcing the

change upon them. By demonstrating how a

new tool can assist them in achieving their

targets, you can minimize any resistance

they may have towards change.

Marketing Department

-Finding talent. There are various strategies

to enhance the satisfaction of existing

employees. This can be achieved by

implementing feedback channels, promptly

resolving management concerns, and

organizing team-building events. When

employees are content with their work

environment, they are more likely to

recommend the company to others.

Additionally, offering competitive salaries,

increased flexibility, and comprehensive

benefits can also contribute to attracting

potential candidates. To further enhance

your reputation as an employer, consider

showcasing your marketing team on social

media platforms or providing platforms for

them to showcase their work.

-Keeping a healthy enough budget.

Overcoming financial obstacles often

requires marketing teams to prove their

significance to company leaders. A useful

tactic involves monitoring and reporting on

valuable performance metrics.

-Creating leads. Stay updated with the

latest advancements in marketing to stay

ahead of the curve. Integrate innovative

techniques into your marketing plan to stay

relevant. Analyze and evaluate your

products in comparison to your competitors'

offerings. Conduct research to identify the

type of content that resonates with your

target audience. Monitor your conversion

rate to identify effective strategies that drive

customer engagement.

-Selecting the proper tools. Customer

relationship management software is a

valuable marketing tool that enables your

team to effectively manage and track

contacts, gain insights about them, and

devise successful strategies to attract their

business. Additionally, your company may

also benefit from utilizing analytics software,

which automatically monitors crucial metrics

associated with your online campaigns.

Furthermore, marketing automation tools

can facilitate seamless checkout processes

and follow-up actions, ensuring that your

customers successfully complete their

purchases.

-Avoiding taking chances. To ensure your

team is comfortable with risk and change, it

is important to adopt various strategies.

warehouse operators is crucial to ensure

they possess the necessary skills to

maintain a smooth flow of inventory. This

will help minimize errors in warehouse and

inventory management, ultimately reducing

delays and preventing lost shipments.

-Extended lead time. Explore various

suppliers. Seek out multiple vendors and

select one that is known for their reliability

and efficient delivery service. Additionally,

enhance your communication and

coordination with vendors to minimize lead

times and expedite the process.

-Equipment absence. To minimize

maximum of 10% downtime. This entails

ensuring that equipment remains

operational and utilized for at least 90% of

the time.

-Inventory Control. Transitioning from

traditional methods such as paper and

pencil or spreadsheets to an efficient

inventory management system is crucial. By

resources to enable this individual to

thoroughly study and grasp the intricacies of

these laws and regulations. Seek guidance

from a legal expert whenever there are

queries or uncertainties regarding the laws

and regulations in place.

-Safety and health. At your organization, it

is important to appoint a dedicated

individual or committee responsible for

health and safety. Equipping them with the

necessary resources and training will

comprehend the local health and safety

regulations.

-Management and change. A change

management process should be

implemented to clearly define the

communication of process changes to

employees, including the timing and

location of such updates. Additionally, it is

important to foster a culture of open and

honest feedback from employees whenever

changes are implemented.

-Payroll administration. Emphasizing the

importance of employer branding and

culture communication to provide

candidates with intangible advantages.
