SRANDARD OPERATING PROCEDURE FOR

EMPLOYEE SATISFACTION SURVEY

Employee insight is key to any HR program. Knowledge, satisfaction and expectations


need to be measured in order to develop the organization prepared for tomorrow. A
strong and satisfaction survey enables the organization to retain and develop the best
talents. Intelligent decisions are the key to organization’s success. Hence the need to
acquire accurate and timely information on the satisfaction level in the organization
becomes a necessity to make effective decisions in these issues and it has to come from
the employees themselves.

Objectives of the survey

The main objectives of this employee satisfaction survey are:

 To derive and analyze the current satisfaction level of the employees in


the organization.
 Assessment of the management developmental needs and areas of
improvement.
 Assessment of level of progress in performance improvement and overall
organization’s climate.

Period of assessment

The employee satisfaction survey is carried out once in a year. The survey is
administered during the month of May every year.

Sample size

The sample size for the survey is about 40% of the total / target population. The total /
target population for the employee satisfaction survey includes the complete employee
strength at the hospital.

Sampling Technique

The sampling technique adopted for the survey is the stratified sampling technique.
Stratified sampling is a probability sampling technique that uses a two – step process to
partition the population into sub – populations or strata. The elements are selected from
each stratum using a random procedure or an appropriate formula.

Strata

For the purpose of survey, the target population is divided into five distinct strata.
The five strata include:

 Doctors
 Nurses
 Para – medical
 Administration and
 Support services

Data collection

The data required for the survey is collected using a structured questionnaire comprising
of a series of fifty five questions.

The questionnaire would provide the required data, information and employee’s opinion
pertaining to various areas such as Sense of belonging to (Organization Name), Work
environment / satisfaction, Role of HOD or Superior, Role Clarity, Employee initiatives
Communication, Decision making process, Training, Team building, Inter departmental
co-ordination, Compensation and Staff welfare and etc.

The Employee Satisfaction Survey Process:

Survey is critically developed, anonymous, and is designed to obtain accurate feedback


from employees on critical topics organizations need to understand. The process makes
the product work. The process involved in this employee satisfaction survey includes the
following steps:

1) Determination of the objective of the survey. The entire survey (including data
collection using questionnaire) is designed with reference to this objective.
2) Determination of the target population for the survey.
3) Determination of the sample and classification for breakup from the target population.
4) Determination of the appropriate sample size, strata and sampling technique to
carryout the survey.
5) Design and development of appropriate structured questionnaire required for the
survey (both in English and Tamil). The questionnaire covers various criteria such as
Communication, Job satisfaction, Management practices, Employee morale /
initiatives, Training, Pay and compensation, Promotion opportunities, Performance
evaluations, Benefits, Organizational structure, Organizational culture, Employee
opinion, Work environment / satisfaction, Role Clarity, Team building, inter –
departmental co-ordination, etc…
6) Implementation of Pilot survey for the designed questionnaire.
7) Revision of the designed questionnaire as per requirements and suggestions derived
from the pilot survey.
8) Installation of the final revised questionnaire to the employees.
9) Collection of data from the filled in questionnaire.
10) Analysis of the collected data and measurement of the required results as per the
objectives.
11) Presentation of the acquired results and observations to the management.
