401: Information System

Unit 1: Introduction
❖ Data
➢ Data is raw fact
➢ It can exist in any form, usable or not.
➢ It may or may not be meaningful
➢ Input in any system may be treated as data
➢ Understanding is Difficult
➢ Data must be processed to understand
➢ It may not have in any order
➢ e.g.: Numbers, images etc.

❖ Information:
➢ Information is data that has been given meaning by way of relational
connection.
➢ Information is the outcome derived after processing the data
➢ It is always meaningful
➢ Output after processing is called Information
➢ Understanding is easy
➢ Information should be in order
➢ It is properly arranged, classified and organized.

❖ Information Needs and Benefits:


➢ The value of information is directly linked to how it help decision makers
achieve the organization’s goals.
➢ It uprising overall development state.
➢ Growth of IT industry and its strategic importance.
➢ Improvement in communication and transportation.
➢ Good information may reduce energy consumption, pollution and make
better ecological balance in future. \
➢ It helps to land good record management, legal delivery system, natural
resource planning, CRM etc.
➢ Information needed to survive modern competition.
➢ It makes strong & quality organization.

❖ Input, Processing, output and feedback:
➢ Inputs are anything that you put into a system. For a computer the input
can be taken from the user via a keyboard or any input device.
➢ Process is what the system does with these inputs (execution of program)
➢ Output is anything that user getting from the system as an output for eg:
Reports. In short,
Input : Activity of gathering raw data
Processing: Transforming data into output
Output : Production of meaningful data
Feedback : Reviews that user gives on bases of
output.
❖ Characteristics of Information
1. Accurate :
Information should be error free.
2. Complete :
Information should contain all the important facts.
3. Economical:
Information must be economically balanced
4. Flexible:
Flexible info can be used for variety of purpose.
5. Reliable:
Information should be reliable to the sources.
6. Relevant:
Information should be relevant to the current market
7. Simple:
Information should not that much complicated for the people
8. Timely:
Information should deliver on perspective time period.
9. Verifiable:
People can check information is correct or not.
10.Accessible:
Info should be easily accessible to authorized person
11.Secure:
Information should have some strong security policy against
unauthorized users.
