Digital planners BY INMA

Welcome to the world of digital planning. In this guide, I will try to explain to
you all the basics about digital planners and the first steps to start using them as
well as some interesting tips. I hope that after reading it everything will be clear
and that you will be ready to start trying this system!

Imagine the planners are like the physical planners you've always bought, but
because you're going to view them on an electronic device you can't write with a
pencil. You need to install a note-taking app that supports hyperlinked pdf files.
This app will do the function of the traditional pencil: it will allow you to write on
your planner with the Apple Pencil, a stylus, or the keyboard (and much more).

My planners are designed and optimized for iPad but you can also use them with
other tablets, stylus, and apps that support PDF Annotations and links. They can
also be used on a computer with any software supporting PDF with hyperlinks
and allowing you to add text.

My favorite note-taking apps are Goodnotes and Noteshelf. They are quite
similar, their price is similar and both can be installed on mobile, tablet and
computer. Goodnotes is currently only available for iOS and macOS. Noteshelf is
available for iOS and macOS as well as Android. In this guide, I show you the
first steps to use digital planners and notebooks with both.

First steps with your digital planner with Goodnotes

How to open your digital planner or notebook in Goodnotes

METHOD 1

1. Download the PDF file with the planner (if the file is a ZIP you have to unzip it
first). It will open on your browser.
2. Click on the “share” button on the top right side of the screen.
3. Select “Open in Goodnotes”

If the option “Open in Goodnotes” doesn’t appear on your iPad, try to check the
settings.

METHOD 2

1. Save the planner to a cloud folder like Dropbox, Google Drive, iCloud or
similar on your computer
2. Go to the GoodNotes app, click “+” on the top left side of the screen and
select “import”
3. At the bottom of the screen, click “Browse” and find the planner, then click on
the planner to import it into the GoodNotes app.

How hyperlinks work in Goodnotes

In Goodnotes, for clickable links to work on your digital planner, you need to
have the Read-Only tool selected. It has the shape of a pencil and is on the
upper right.

How to duplicate a page

1. Go to the page you want to duplicate.


2. Tap the “More” (...) icon located at the top right.
3. Tap “Copy Page”.
4. Navigate to where you want to place the copied page.
5. Tap the “Plus Page” icon.
6. Select if you want to insert the page “Before”, “After”, or “Last Page”.
7. Tap “Paste Page”.

How to delete a page

1. Tap the thumbnail button. It is a symbol with 4 squares and is located on the
upper left-hand side.
2. Tap on the little downward pointer underneath the page you want to delete.
3. Then select “Move to Trash”.

To delete more than one page at a time, tap on the thumbnail button, tap on
“Select”, pick the pages you want to remove, then tap on “Trash”.

IMPORTANT! Remember that you can copy and add as many pages to your
planner as you want, however, don’t delete the first page of each section or the
hyperlinks won’t work.

How to change the cover of your planner

You can add new covers to your planner in PDF, JPG, or PNG format. To do this
follow the steps below:

1. Open up your planner to the Cover Page (Page 1).


2. Tap the “+” icon and select “Import”.
3. When your Files open up, navigate to where you saved your desired cover and
tap to select.
4. Your new cover is now imported to your planner.
5. Now, delete the previous cover by opening up the “Thumbnail view” and
delete the previous cover page using the method described above.

How to use stickers with your planner

USING PNG FILES

1. Download the zip file on your iPad, it will be downloaded to the Downloads
folder but you can change it later to wherever you prefer.

2. Unzip the ZIP file:


a. Open the Files app, then find the ZIP file or archive from which you want
to extract.
b. Tap the ZIP file or archive.
c. A folder is created containing the files. To change its name, touch and
hold on to the folder, then tap Rename.

Make sure you're using iOS 11 or later to open ZIP files. If you have an older
model you will probably need an external application to decompress these

files. In this case, don’t try to download and open your ZIP files onto a
smartphone or a tablet, please, use your computer. For this, just double-click
on it. With some types of computers, you may need specific software to open
them. There's lots of free zip software, you can try iZip for Mac or the free
version of WinRAR for PC.

3. To place the stickers, open Goodnotes and the planner or notebook you want
to place the stickers on, slide your finger up and drag the iPad Files
application to one side to use Split View and see two windows on your iPad.

4. Open the folder where you have the PNG stickers.

5. Tap and hold the desired sticker image and drag it over to your GoodNotes
planner page.

USING A STICKER BOOK

Sometimes your purchase may include in addition to the stickers in PNG format,
a sticker book in GOODNOTES format with the stickers already pre-cropped and
inserted in this application. This file can only be used with Goodnotes, it does not
work with other note apps. To use it follow these steps:

1. Download the GOODNOTES file. Remember that you should not unzip it but
download it and open it directly on Goodnotes. If Google Drive shows you the
content of that file as if it was a folder, just ignore it and click on the
download button that appears on the top right.

2. The sticker book will be downloaded to the Downloads folder but you can
change it later to wherever you prefer.

3. Click on the “share” button on the top right side of the screen.

4. Select “Open in Goodnotes”

5. Once you have it in Goodnotes you can simply copy the stickers you want
and paste them into your planner or notebook, to do this:

a. Select the Lasso Tool.


b. Draw a rough selection around your sticker of choice. Tap again on your
selection and choose “Copy”
c. Go to the page in the planner where you want to place the sticker. Tap
and hold on to the screen and select “Paste”.

You can also use Split View as before, only this time you have to open two
windows with Goodnotes, in one you open the sticker book, and in the other the
planner or notebook. To copy the stickers, select the one you want with the lasso
tool, click, hold and drag

Edit stickers

As long as the Image Tool (landscape icon) stays selected, you can edit any
sticker or image on the page by tapping on it.

CROPPING STICKERS OR IMAGES

1. Choose the Image tool and tap on the image. Alternatively, long-press on the
image and select “Edit”.
2. Tap the image again and select “Crop”.
3. If choosing Rectangle at the bottom, drag one or more of the handles to
adjust the cropping. If choosing Freehand, you can freely draw contours to crop
the image.
4. Tap “Done”.

IMPORTANT! Using the lasso tool to resize the stickers sometimes makes them
crooked. Try to use the Image tool instead. If you switch to that and resize it
again, it will usually snap back to straight all on its own.

How to save frequently used stickers in Goodnotes

1. Select the Image tool, tap on a sticker twice, and choose “Add Element”.
2. Tap an existing collection to add the sticker.
3. From now on you will find this sticker by clicking on the "Elements tool"
button (it is in the form of a star sticker and is located in the central area of the
toolbar).

How to add custom colors

1. Select the Pen Tool and open the Pen Color Tab.
2. Tap “Edit” and select the Add Swatch icon.
3. Choose a color from the swatches or color wheel. You can also enter a hex
code (I include the hex codes used in the design in some products, you can find
it on the first page if you’ve purchased a product that includes them).
4. Once selected, tap “Add to Presets”.

External links in Goodnotes

1. While editing a text box, select the text you want to link to a URL.
2. Tap Link.
3. Change the URL in the "Link To" field.
4. Tap outside the popover to save it. The linked text will be underlined with
dashes.

As you type the text that looks like a URL (e.g www.webname.com or even
webname.com), GoodNotes will turn it into a tappable link.

How to open your digital planner or notebook in Noteshelf

METHOD 1

1. Download the PDF file with the planner (if the file is a ZIP you have to unzip it
first). It will open on your browser.
2. Click on the “share” button on the top right side of the screen.
3. Select “Open in Noteshelf”

If the option “Open in Noteshelf” doesn’t appear on your iPad, try to check the
settings.

METHOD 2

1. Save the planner to a cloud folder like Dropbox, Google Drive, iCloud or
similar on your computer
2. Go to the Noteshelf app, click “+” on the top right side of the screen and
select “Import document”
3. Find the planner, then click on the planner to import it into the Noteshelf app.

How to duplicate a page

1. Go to the page you want to duplicate.


2. Tap the Pages icon located at the top right.
3. Tap and hold on to the page of your choice and select “Copy”.
4. Navigate to where you want to place the copied page.
5. Tap the “Pages” icon.
6. Tap and hold on to the page of your choice and select “Paste below”.

How to delete a page

1. Go to the page you want to delete.


2. Tap the Pages icon located at the top right.
3. Tap and hold on to the page of your choice and select “Move to Trash”.

To delete more than one page at a time, tap on the Pages button, tap on “Edit”,
pick the pages you want to remove, then tap on “More” (...) and select “Move to
Trash”.

IMPORTANT! Remember that you can copy and add as many pages to your

How to change the cover of your planner

You can add new covers to your planner in PDF format. To do this follow the
steps below:

1. Open up your planner to the Cover Page (Page 1).


2. Tap the “+” icon and select “Import document”.
3. When your Files open up, navigate to where you saved your desired cover and
tap to select.
4. Your new cover is now imported to your planner.
5. Now, delete the previous cover by opening up the “Pages view” and delete the
previous cover page using the method described above.

4. Open the folder where you have the PNG stickers.

5. Tap and hold the desired sticker image and drag it over to your Noteshelf
planner page.

Edit stickers

You can edit any sticker or image on the page by tapping on it with your finger
or selecting the Lasso tool and tapping on it with your pencil.

CROPPING STICKERS OR IMAGES

1. Tap the image with your finger (or select the Lasso tool and tap with the
pencil), then select “Edit”.
2. If choosing the Crop button at the bottom, drag one or more of the handles to
adjust the cropping. If choosing Freehand, you can freely draw contours to crop
the image.
3. Tap “Done”.

How to block images or stickers

Tap the image and select “Lock”.

How to add custom colors

1. Select the Pen Tool.


2. Slide across the color bar
3. Tap on the “+” icon and pick any new color from the custom palette
4. Choose a color from the swatches or color wheel. You can also enter a hex
code (I include the hex codes used in the design in some products, you can find
it on the first page if you’ve purchased a product that includes them).

External links in Noteshelf

You can write external links to a website within Noteshelf by selecting the text
tool and typing
the web page. You can use any format you prefer: copy it from the browser, use
the format www.webname.com or even webname.com. It will automatically
become an external link and when you tap on it you can open the corresponding
web page.
