General Guidelines

1. A Cover page or title page – You should always attach a title page to your assignment.
Use previous page as your cover sheet and make sure all the details are accurately filled.
2. Attach this brief as the first section of your assignment.
3. All the assignments should be prepared using a word processing software.
4. All the assignments should be printed on A4 sized papers. Use single side printing.
5. Allow 1” for top, bottom , right margins and 1.25” for the left margin of each page.

Word Processing Rules

1. The font size should be 12 point, and should be in the style of Time New Roman.
2. Use 1.5 line spacing. Left justify all paragraphs.
3. Ensure that all the headings are consistent in terms of the font size and font style.
4. Use footer function in the word processor to insert Your Name, Subject,
Assignment No, and Page Number on each page. This is useful if individual sheets
become detached for any reason.
5. Use word processing application spell check and grammar check function to help
editing your assignment.

Important Points:

1. It is strictly prohibited to use textboxes to add texts in the assignments, except for the
compulsory information. e.g.: Figures, tables of comparison etc. Adding text boxes in
the body except for the before mentioned compulsory information will result in
rejection of your work.
2. Carefully check the hand in date and the instructions given in the assignment. Late
submissions will not be accepted.
3. Ensure that you give yourself enough time to complete the assignment by the due date.

Assume yourself as the event coordinator working in an event planning organization specialized in
delivering trainings on IT and soft skills. you have been appointed to design and deliver a training
event on IT /Soft Skills to an identified audience. You are required to complete the project within 2
months and the training plan and resources should be finalized as per the requirement of the client.

You are required to form a group of not more than 6 members in order to carry out the event. The
event will be headed by an event manager/ leader and each group member will be assigned a set of
tasks. While designing and delivering the event,

• the skills required to make the event successful


• challenges faced during the design/ delivery
• Critical evaluation of the problems, challenges faced and the methods used to overcome them
• The need for continuously develop in a professional environment

Need to be thoroughly considered.

At the end of the event, produce an individual report by each member covering the following
tasks.

Task 1:

Introduction

As the students of ESOFT Metro Campus, High National Diploma in Computing


FEB/MARCH 2022 batch, we were assigned to do a training event on a selected topic
within 2 months as a part of our Professional practice project.

Our Group was named as Group 1 and 12 members were assigned to the group. We elected
Treshan Silva and Nethmi Nisansala as our leader and secretary, respectively.

And the topic we selected for the training event was “Robotics”.

Task 1
Demonstrate how you are planning to effectively deliver the training event by
designing a professional project plan with following details.

1.1 Roles appointed to group members


In order to make the event a success, each team member had to be assigned different tasks
depending on their unique skill set.

We used the Belbin theory to categorize our teammates to identify their individual skillset
and assign them team roles.

Belbin’s theory states that successful teams were made up of a diverse mix of behaviors.
To build high-performing teams, we need to represent each of the nine Belbin Team Role
behaviors at the appropriate times. Once the whole team has been categorized, you can then
identify where gaps may exist within the team. (BELBIN Associates, 2022)

1.2 Goal and objectives of the project

As a team defining Goals and objectives is very important to achieve our target.

To be brief, A Goal is an Ultimate target we look forward to achieving as a team, and


objectives are specific actions/tasks that need to be done within a defined time frame to
achieve the goal. Setting goals without defining the objectives will only lead to goals that
will never be achieved. (Indeed Editorial Team, 2019)

Therefore, we have used the SMART approach to define our goal and objectives and break
it down practically.

As a Team, our goal was to successfully organize and deliver the training program.

And our objectives are as follows:

• Providing an effective training session most simply.


• Selecting a suitable topic for the event.
• Building up the team spirit and creating a good interpersonal relationship among
the teammates to make the event a success.

• Identify all problems and take necessary actions to minimize them.
• Planning the event and breaking down the tasks to make it easier to track the
status.
• Assigning tasks to each member within a fair timeframe.
• Scheduling a meeting every week to review the status of each member’s task and
make a good assessment of each other.
• Having a mock session within the team one week before the training event to give
the teammates a heads up for the upcoming training, to eliminate any stage fear
and anxiety.

One of the most important parts of planning a training program was time management. All the tasks needed to be completed promptly to make
the event a success. The Gantt chart was created so that we can track the progress status of our work. Please refer to the below table:

1.6 Contingency plan

A contingency plan is also known as backup, is a plan for a “what if” scenario that could
ruin your project or business. And it is a must include part of any business or event, for the
plan to work out effectively. Unlike other types of plans, the contingency plans might be
used or go unutilized depending on the actual events which take place, since a contingency
plan will be used only in case an event or task does not turn out as expected.

As a team, we made sure to have a couple of contingency plans in case things don’t go well
as planned.

1. The very first contingency plan we came up with was for the event topic. Even
though we had suggested and finalized the topic “Robotics” for the event, we had 2
more topics as backup, in case if any other team had the same or similar topic, or if
the lecturer finds the topic out of scope for the event, we could switch the topic.
However, this plan wasn’t used, as no other teams had selected a similar topic and
the lecturer approved the topic. (Time allocated – 1 week)
2. Initially we planned to have a practical demonstration of a simple robotic module
since a member of our team had contact with a professional related to the topic.
However, we had a plan to display a video instead if things don’t work out as
planned.
And the member was given 2 weeks to check with his contact and inform the team,
and a few other members were assigned to find a video related to the topic. Since
the attempts to do a practical demonstration weren’t successful, we went with the
backup plan to display a suitable video. (Time allocated – 2 weeks)
3. Since we had plenty of members, we had additional members assigned to do the
content research, slides, and video editing, so in case any of the presenters don’t
make it to the event, the additional members assigned to the research team could
take their places.
One of our team members went abroad due to a personal issue, and a member who
was kept on standby was assigned the relevant tasks. (Time allocated – 4 weeks)
4. And 2 members were assigned the role of the event host, and both practiced
presenting equally, so in case if one of the hosts doesn’t make it to the event, the
backup host could take over.

And on the day of the event, the host got late, however we were able to start the
event with the backup host without any draw backs, and the host joined the event,
thereafter. (Time allocated – 6 week)
5. Both the hosts were asked to go through all the topics of other members and get
familiar with them, just in case if the presenters missed any parts or gets
uncomfortable with the presentation due to stage fear, the host would support the
presenter making it much easier for the presenter and to make sure the event gets
completed without any flaws. (Time allocated – 6 week)

We were able to avoid multiple issues and shortcomings in our event since we had
necessary contingency plans.

Problems are obstacle/difficult task that requires a solution to overcome it. As a team we
had to face multiple problems while planning the training event. Identifying the problem
and implementing a suitable solution methodology is very important, to overcome the
problem.

2.1 Problem solving skills

Problem solving can be defined as analyzing the problem, identifying the root cause,
identifying the potential solutions, weighing the alternatives, and selecting and
implementing the best solutions. Analyzing a problem and solving it may vary from person
to person, due to the unique point of view of individuals. However, problem solving can be
divided as follows:

2.1.1 Problem Identification

Identifying the problem is very important in order understand it and work on a solution.
Problems can be identified very effectively by following the below stages:

• Creating an initial problem statement


Initial we need to create a problem statement, we need to define or write down the
problem in simple terms, so that anyone will be able to understand what the problem
is. This is very useful to unlock our thinking capacity by simply looking at the problems
in different perspectives.
• Checking if we’re solving the problem at the right level
We should always double check and make sure that we’re solving the problem at the
right level, failing to do so will only result in wasting our potentials, making the
solutions ineffective.
The ‘why – how laddering tool’ can be used to check it, here we simply as ‘why?’ and
then ‘how?’ to explore the context of the problem and expose alternatives.
• Refining the problem definition
We should identify the situation or contradiction we are trying to resolve clearly in
order work on a solution. In simple terms, defining the gap between expectation (where
we want to get to) and reality (where we are now)
• Scope the problem
In this stage we simply define what can and what can’t be done according to the
conditions of the problem we have identified.

There are multiple solution methodologies which we used to manage our event.

• Brainstorming
To be brief, a brainstorming technique is simply a group discussion where all
the members get to express their ideas and solutions for a defined problem. A
brainstorming session can be both an individual and group event. It is a very
commonly used and an effective method since the problem can be well analyzed
and creative ideas and solutions can be proposed through group extensive group
discussion.
When it comes to practical use in the industries, the application of this method
is uncountable. For example, In Coca-Cola, a group of 40 employees had been
brainstorming for 5 days to create the new Coca-Cola marketing manifesto.
They were divided into several groups and each team was responsible for its
field of marketing.
The process was led by Jonathan Mildenhall, Coca-Cola Vice President, Global
Advertising Strategy and Creative. For 5 days, his task was to develop the theses
for each group and ask as many questions as possible. The next step was one
sleepless night of writing the text and structure of the manifesto. And the result
of their work was the secrets of Coca-Cola marketing domination. (Mobecls
Team, 2019)
In our case, brainstorming has been very useful especially when it came to
selecting the event topic. After an extensive group discussion among the
teammates, we were able to select a topic and finalize it.

• SWOT Analysis
It is a method where strengths, weaknesses, opportunities, and threats of the
organization/team involved are evaluated. This method could be used
effectively analyze data required for strategic planning.
Please refer to the SWOT analysis chart evaluation of our team. It was very
useful when it came to assigning tasks to the team members as they had to be
assigned tasks based on their unique skills set.

Strengths - Characteristics that gives us advantages.

• A team composed on different types of members of various skillsets and


backgrounds.
•Cooperative members.
•Most of the members were fluent in English and Sinhala, no Language
barrier.
• All the members had ready access to computers and the internet.

• 5 Whys method
Five why’s is a very simple tool which can be used to resolve simple or
moderately difficult problems. The main goal is to identify the root cause of a
defector problem by repeating the question “why?”, it can be also used for
trouble shooting, quality improvement and problem solving as it allows us to
follow multiple lanes of inquiry. It was developed by Sakichi Toyoda, the
founder of Toyota Industries Corporation in 1930 and it is still being used by
Toyota in the industry. (Mulder, 2012)
This method was very useful especially when assigning the team roles and also
trouble shooting the issues we faced in our event.
For example, when we planned to meet physically, most of the members did not
show up. We used the 5 why method to solve the issue, where we found out that
most of the teammates were working and living considerably far away, and we
decided to go with online meetings on Holidays and time frames outside the
office hours.

• The Drill down technique

It is a very simple technique, here we breakdown complex problems into


progressively smaller parts to determine the root cause. It is an excellent problem-
solving method to find out the root of the problem and helps to get a much deeper
understanding about the factors that caused the problem.

2.1.2 Building Solutions

Building up solutions is a very important part when it comes to solving problems. And
critical reasoning is very useful in building up these solutions. Critical reasoning can be
defined as the ability to actively conceptualize, analyze, question, and evaluate ideas and
beliefs, simply we can say as perfection of our thinking capabilities.

The instances it was used cannot be named, as we have been using the critical thinking for
almost the entire process. The brainstorming, SWOT analysis, Drill down technique are a
few examples where critical thinking was highly used.

2.1.3 Identification of possible outcomes

Identifying the possible outcomes of the problem and the solution we implement is a very
important part in solving it. Solutions implemented without considering the outcomes of
the problem could be very ineffective.

In our case, selecting the topic was one of the major issues, so among all the topics proposed
by the team members. We analyzed the different aspects of the topics and listed down to
select the best.

2.1.4 Determining the better solution and implementing it

Among all the solutions, the one with the most favorable outcome should be selected and
implemented, so that the problem gets solved. And all necessary steps must be taken to
implement the solutions without any delays in the right time.

In our event, the topic which most members were comfortable with was chosen, and the
subtopics were divided among the teammates, and they were given a deadline for their
work, to meet the event deadlines.

2.1.5 Evaluate the outcome

This is the final stage of the problem solving. After implementing the solution, we need to
find out whether the solution worked as it was planned, and if the problem has been solved.

So, one of our problems was to make sure that the target audience received the complete
benefit of the training event, so to find out whether we our training event was a success, we
shared a feedback form with the audience to fill. And we were able to check the feedback
and understand how effective the were event and the solution methodologies we
implemented.

goal.

A team is a group of individuals working together to achieve a common goal, especially


for complex goals/task which are practically impossible for an individual to achieve. For a
team to succeed all the members should have the same goals and they must be flexible,
reliable, active, and responsible. In addition to that, a good leader and team spirit among
all the members are necessary for the group to be successful.

And there are various advantages and disadvantages when it comes to working as a team.

3.1 Analysis of team dynamics

Each individual team member have distinct roles and behaviors. Team dynamics can be
described as the effects of these roles and behaviors on other group members, and on the
group as a whole.

Positive team dynamics occurs when the team members trust each other, work towards a
common objective and decision, and hold one another accountable for making things
happen. When a team has a positive dynamic, its members are could be nearly twice as

Therefore, building up a positive team dynamic was our prime objective to make all the

As mentioned earlier, working as a team has its pros and cons, the main disadvantages we
had as a team was the conflict of ideas and unequal participation. As the team had members
from various age groups and attitudes, we had contrasting ideas. Certain members had ideas
that most of us considered as not practical. And they had to give up their ideas and work
on the topic most of us agreed with. And a few members did not participate in the team
activities due to various reasons, a member went abroad, which caused a minor conflict in
the assigned tasks and a few members were unavailable most times since they were
employed. However, we were able to manage the disadvantages and overcame them with
the least impact on the team performance.

Most of the members worked with great dedication and enthusiasm to make the event a
success, which should be appreciated. As an individual I had a very bad impression of
group works with my past encounters, however, our teammates changed my view on
teamwork.

3.2 My role and contribution to the group for the completion of the training event

As soon as the lecturer assigned me to the group, I’ve been an active member of the group.
As we had our first group discussion, most of the members insisted on deciding the topic,
I proposed that we appoint a leader and secretary initially to streamline the other tasks. And
I, myself seconded the nomination of our team leader.

As soon as the leader and secretary were appointed and the topic was finalized, the
teammates were assigned their respective tasks. And most members hesitated to take up the
topic “Humanoid robots” since it was comparatively complex to explain among the other
subtopic, so I volunteered as a responsible member to research, prepare and present it
myself. And I was also assigned to assist the secretary document the finalized team
objectives and tasks assigned to the members.

In addition to that, our leader had requested me individually to keep track onofhe members
who were comparatively less fluent in Sinhala and English, to make sure they don’t get left
out due to the language barrier.

And I also proposed that we have a mock session of the event within the team so that we
can work on the shortcomings. And the proposal was accepted by our team, and we had a
mock session, 2 days before the actual event, and during the mock session, I noticed that
one of our teammates had some issues in presenting his topic. I took the responsibility to
myself and helped the member individually to prepare.

The training event was done successfully by the end of the given deadline. And I’m glad
that I was a part of it. And I’ve identified several aspects which I must improve and work
on, which I could have done better.

4.1 Importance of continuous professional development

CPD stands for Continuing Professional Development, it is the process of continuous


development of professional knowledge, in the form of skills, values, ethics, attitudes, and
the competence necessary to improve the knowledge required in career development and

Unlike other goals and objectives, CPD is a lifelong process. It helps you record, review,
and reflect on your development in your career. It may involve any mode of learning
activity relevant to the field of our profession and can be both formal and informal.

Continuing Professional Development is necessary for a professional due to various


reasons. A few prominent ones are mentioned below:

• Helps to enhance our skills and abilities.

• It also helps us to build up our confidence and improve our profile.

Evaluating the CPD is a very important part of the cycle. It helps us to understand if the
CPD activity was beneficial and if the necessary improvements have occurred, ensuring
that the efforts are not wasted. And it also builds up our confidence.

Necessary evidence needs to be recorded, which will demonstrate our CPD achievements.
There is a variety of evidence criteria that can be used:

1. Product Data: It refers to the essential information required to complete day-to-


day tasks and processes of a Business. It must be readily available, accurate, and
documented to ensure its value.
2. Personal Data: These are records of employees of an organization. These can be
employment records, payroll records, biological records, etc.
3. Judgemental Data: It is collected by using a numerical rating scale by an
immediate supervisor who evaluates the worker/employee.

4. Rating Methods:

There are different rating methods that can be used to measure CPD.

• Ranking Systems – It is a very simple method where employees or team members


can be rated from the best to worst.

• Peer Evaluation - It is a method where the performance evaluation is done by


members of equal qualification or competencies, simply each member of the team
will be rating their teammates. It is mostly done among colleagues of the same
department or team.

• Self-evaluation – As the title suggested, these types of evaluation are done by our
own self. We will be evaluating our progress, development, and learning by
comparing our situation before and currently.

When considering the rating average, the most audience had mentioned that the team
presentation skills need more improvements, and it was also noted from the additional
comments that the hosts/presenters need to be more interactive with the audience.

And the overall ratings provided by the audience denote that most of them found the
training event useful and up to the standard. From the ratings, we were able to conclude
that the event was a success since there were no negative ratings, except for a few
suggestions for improvements.

The details from the feedback forms were shared among the team members as a part of
their CPD evaluations and necessary plans have been made to improve their respective
skills.

5. McGregor’s theory X and theory Y

All these theories focus on what will motivate people and how to motivate them simply by
identifying basic needs and psychological factors. Among these, the most significant and
fundamental theory is Maslow’s hierarchy of needs. He classified human needs into five
hierarchical levels, starting from the most basic level of needs that said one must satisfy
lower-level deficit needs before satisfying higher-level growth needs. And McClelland’s
Theory of Needs classified needs into three, need for achievement, need for power, and
need for affiliation. Herzberg’s Two factors theory uses the categories of hygiene and
motivation whereas hygiene is addressed, job dissatisfaction decreases, and when
motivation factors are met, job satisfaction increases. Vroom’s theory of Expectancy states
that people will be highly productive and motivated if they believe that it is likely that their
efforts will lead to success, and they will be rewarded for their success. And McGregor’s
theory X and theory Y simply divides workers into 2 categories, inherently lazy, self-
centered, and lacking ambition workers who need a strong, top-down control Management
style and workers who are inherently motivated and eager to accept responsibility where
management style should focus on creating a productive work environment coupled with
positive rewards and reinforcement.

Even though these theories focus on how to motivate people, they are different from one another except for a few instances. We would be
comparing these motivational theories with a quest to understand as well as to see the similarities and differences between these theories.

As we can see that most of these motivation theories convey that, workers have needs and
when these needs are not met, they cause demotivation, and they also suggest that there are
differences in humans, in terms of need. Different things motivate different people and
recommend specific things that management can do to help their employees become self-
actualized and motivated.

CPD helps workers to maintain a set of high-quality, appropriate skills, and knowledge
throughout their professional life. So, it is necessary to follow these motivation theories to
achieve it. These motivation theories assist to understands the employee needs and factors
that drive the employees to excel in their career and give them the opportunity to react
accordingly. And there are various steps the management/manager can take to motivate the
employees, a few of them are as follows:

• Make expectations clear.


• Combine Work Goals with Employee Goals.
• Understand what motivates each employee and take necessary steps to improve the
motivating factors.
• Create a fair system for all and make rewards achievable.
• Leads by example and appreciate employee performance.

Making workers effectively take part in CPD when they are motivated will bring huge
benefits to the organization since they learn or develop modern professional skills and
knowledge, which makes a difference to move forward the organization's productivity and
viability.

The manager must work on the motivators. To motivate older workers, higher-level needs
must be satisfied. Therefore, to improve employability, we must improve soft skills such
as self-awareness, self-regulation, etc. For an organization to achieve this employability,
they need to take a variety of actions. Initially, they should allow their employees to be
aware of these motivation theories. Thereafter, by organizing numerous activities, the
employees can build up confidence, and it will lead to creating a friendly atmosphere. It
can bring about both the progression of the employee and the organization. Thus,
motivational theories can be successfully used to meet the objectives of the CPD plans.

Conclusion
This marks the end of the assignment, to conclude, I have explained all the incidents
conducted and their timeline is detailed accordingly. The team structure and each member's
role were also set out considering factors like goals and targets. I have outlined my role
with interpersonal and communication skills also according to the activities conducted. All
the techniques and skills that have been used to do our project are reported. Applying
problem-solving skills and critical reasoning to this project, I believe will make this a
success.

Problem-solving skills to find solutions to the problems appeared when conducting the
event. Some of the used skills are listed as brainstorming, five why’s, and SWOT analysis.
Each team member's contribution to this project is evaluated and documented.

As an author, I hope I have done the job given to me by taking up the responsibilities to the
best of my ability.
