CHAPTER I

THE PROBLEM AND ITS SCOPE

Introduction

Most people focus on how it increases the school’s productivity and

automates many of the redundant tasks required for operating the school

properly. These benefits are pretty substantial and must-have for a good school

management system.

However, an excellent school management system does more than that. Sure, it

offers all of the above benefits plus gives confidence to the students, employee,

and visitors to enter the school. But above all, it increases the students’ security

during school hours and after that.

The ideal school Enterprise Resource Planning (ERP) software offers

different features that will increase child safety and security during their

educational years. And that makes it more important for schools to adopt a

school management system because the safety of their students is a priority of

every educational institution.

Bohol Northern Star College (BNSC) is one of the well-known exclusive

schools in Poblacion, Ubay, Bohol. Being founded by the year of 1996

established in Isaac GarcesStreet,Poblacion, Ubay, Bohol. This school is one of

the well-known exclusive private schools. Because this is the distinguishing


school who hold a Primary, Secondary and Tertiary higher level teaching and the

only school who have college institution in Ubay, Bohol. BNSC also have

different kind of courses.

School Log Management System has become an essential need for every

school to operate. No doubt. It holds so many crucial functions to ensure that the

school management runs smoothly. School management systems helps the

institution to trace who are entering the school, the time they in and out.

School Log Management Systems is important for the overall functioning

of any educational establishment. They increase productivity and efficiency.

Many schools are finding it useful to use School Log Management System to

organize the day-to-day functions of their educational institutes. As the

researcher of this research problem our main objective is to help Bohol Northern

Star College design and develop a school log management system to manage

the logs and know who are going in and out and the time they enter or exit

toensure safety for every students, employee ,visitors and generally.


Theoretical Background

According to Cheong Cheng, Y. (1993), "The Theory and Characteristics

of School‐based Management" School‐based management employs theories of

“equifinality” and “decentralization”, assumes that “school is a self‐managing

system” and regards “initiative of human factor” and “improvement of internal

process” as important. When compared with externally‐controlled schools, the

characteristics of school‐based managing schools are very different in school

functioning. They should have clear school mission and strong organizational

culture. In these schools, managing strategies should encourage participation

and give full play to members′ initiative; there should also be considerable

autonomy of procuring and using resources to solve problems in time; the role of

people concerned should be active and developmental; human relationship is

open, co‐operative with mutual commitment; administrators should be high

quality and always learning; and evaluation of school effectiveness should

include multilevel and multi‐facet indicators of input, process and output in order

According to Dr. Yasin Olum, (2004)Contemporary theories of

management tend to account for and help interpret the rapidly changing nature of

today’s organizational environments. This paper will deal with several important

management theories which are broadly classified as 12 follows: The Scientific

Management School comprising the works of Frederick W. Taylor and Lillian


Gilbreth’s motion study, among others; the Classical Organizational Theory

School comprising the works of Henri Fayol’s views on administration, and Max

Weber’s idealized bureaucracy, among others; Behavioral School comprising the

work of Elton Mayo and his associates; the Management Science School which I

discuss at the end of this section; and Recent Developments in Management

Theory comprising works such as Systems Approach, Situational or Contingency

theory, Chaos theory, and Team Building approach. For lack of time and space,

this discussion will provide a general description of some of the scholars in each

of these management theories and the successes that they achieved.

According to Corneille Luboya Tshiunza (2018) “Theoretical Analysis on

School-Based Management Towards the Geographical Approach Analysis of the

Reforms, Challenges and Perspectives” The governments of many country

around the world are initiated and implemented some strategies of school

governance which aimed at improving education services and its quality. These

strategies aim at decentralizing the decision-making power by increasing school

performance, parental and community involvement in schools. Most of these

strategies of school governance are implemented through school-based

management reforms (SBM). The literature on school-based management is

interested on the problems experiencing the school districts and schools during

SBM initiations, implementations and evaluations. Many empirical and theoretical

studies emphasize the SBM implementation challenges. Some of them point out
the lack of theoretical framework suitable for empirical studies on the SBM

structures, its operations and evaluations. Others still have to deal with the failure

of many SBM operations and its inefficiency to bring the results desired by

schools, school actors and stakeholders. These SBM reforms issue should be

viewed in the line with the context of educational policy of each country,

provinces, associations and regional organizations, continental and worldview.

This study reviews the existing theoretical frameworks and showed some

practical challenges of implementation of SBM reforms. It uses some evidence

cases of evaluating studies to show the effect of SBM reforms and emphasize

the necessity of contextualization of SBM studies and its results. The study

proposes the theoretical contributions based on the geographical approach of

analysis of the SBM reforms, its initiation, implementation, evaluations and its

Legal Basis

This study was anchored in Section II of RA. No. 9155 A Framework of

Governance for Basic Education, Establishing Authority and Accountability,

Renaming the Department of Education, Culture and Sports as the Department

of Education, And for Other Purposes which stated that:

The policy of the State to protect and promote the right of all citizens to

quality basic education and to make such education accessible to all by providing
all Filipino children a free and compulsory education in the elementary level and

free education in the high school level. Such education shall also include

alternative learning systems for out-of-school youth and adult learners. It shall be

the goal of basic education to provide them with the skills, knowledge and values

they need to become caring, self- reliant, productive and patriotic citizens.

The school shall be the heart of the formal education system. It is where

children learn. Schools shall have a single aim of providing the best possible

basic education for all learners.

Governance of basic education shall begin at the national level. It is at the

regions, divisions, schools and learning centers — herein referred to as the field

offices — where the policy and principle for the governance of basic education

shall be translated into programs, projects and services developed, adapted and

offered to fit local needs.

The State shall encourage local initiatives for improving the quality of

basic education. The State shall ensure that the values, needs and aspirations of

a school community are reflected in the program of education for the children,

out-of-school youth and adult learners. Schools and learning centers shall be

empowered to make decisions on what is best for the learners they serve.
REVIEW OF RELATED LITERATURE AND STUDIES

Related Literature

According to Shema, (2019) School management system is aimed at

improving the quality of school’s performance. In the perspective of educational

administration, the concept of school management represents the process of

professional, comprehensive, and sustainable school governance that aims to

provide quality educational opportunities suitable with the needs, potential, talent,

and interest of the students, and that are relevant to local, national, and

international demands, adequate and inclusive, i.e. without discrimination,

holistically no fragmentary towards total and perfect development. Every level

and type of education unit has its own unique function relevant to the

According to Adian F. Rochim, Mukhlish A. Aziz, and Adnan Fauzi

(2019)Device monitoring is an important thing tomanage networks. Information-

related network state orcondition can be gathered through the device monitoring

foradministrators to take decisions regarding occurred events.Logs can be useful

information to monitor network devices.Network administrator of Diponegoro

University needs acentralized the logs, so that can receive, manage, and

analyzelogs. This research identifies functional requirements of the

logmanagement system. DSR Method was used to design topologyand software


of the log management system. The next step isimplementation of the topology,

software, and application. Thelast step is testing the system and log

management application.The results show that collecting centralized logs and

processingthese logs into information in the form of dashboards using ELKStack

application successfully implemented. The dashboardresulted by ELK Stack

Application will be implemented on theweb application using PHP programming

language and CodeIgniter framework. The test results show that system can

receivelogs and group the log according to the device location and theseverity

According to Ahmad Ali,Abid Khan,Mansoor Ahmed, and Gwanggil Jeon

(2021) A computing environment requires a robust and comprehensive process

to track and document user activities to uphold confidence in the system. Audit

logs are used for this purpose to monitor the actions of administrators and users.

However, these logs are vulnerable to multidimensional attacks, including

modification of logs, erasability of logs, and privacy of the user. Since

administrators have unprecedented access to these logs, they can modify,

delete, and even destroy them. Securing these logs against malicious activities is

the prime requirement of audit log management. Existing schemes have several

limitations, including immutability, computational expensiveness, missing

semantics, and are not verifiable. Various schemes have been proposed for this

purpose, but a standard method is required to structure heterogeneous logs and

their security semantically. To cope with these limitations, in this paper, we


propose a Log Management System using blockchain. The proposed system will

ensure audit logs' security, which will eventually strengthen users' trust in the

computing environment and make it unbreachable even by the administrators. It

has been evinced that our model performed better in terms of performance and

features already mentioned when compared with existing schemes.

Acccording to Chao-Tung Yang et. al (2019) a log management system is

essential for the networks administrator. With a log management tool, we can

collect, store, analyze, archive, and finally dispose of the log information. In this

paper, we propose the architecture model of a log management system using

ELK Stack with Ceph to provide a safe network, good Wi-Fi signal strength, and

adequate backup data mechanism. In this case, we use our campus data of Wi-

Fi log and NetFlow log. First, we collect and store data of our Wi-Fi log using

Filebeats tool, and then, we use Elasticsearch, Logstash, and Kibana Stack to

visualize the Wi-Fi log data. Second, we collect and store our NetFlow log using

NFDUMP, and then, we also use ELK Stack to visualize the NetFlow log data.

Third, we integrate the Wi-Fi log and NetFlow log data in one architecture using a

distributed storage Ceph file system (CephFS). Moreover, we also compare the

performance of RADOS Gateway and CephFS for better storage mechanism.

According to Abreu, and Joaquim Tomás Almada (2020) Logs are a

crucial piece of any system and give a helpful insight into what it is doing as well

as what happened in case of failure. Every process running on a system

generates logs in some format. Generally, these logs are written to local storage

resources. As systems evolved, the number of logs to analyze increased, and, as

a consequence of this progress, there was the need of having a standardized log

format, minimizing dependencies and making the analysis process easier. ams is

a company that develops and creates sensor solutions. With twenty-two design

centers and three manufacturing locations, the company serves to over eight

thousand clients worldwide. One design center is located in Funchal, which

includes a team of application engineers that design and develop software

applications to clients inside the company. The application engineer’s

development process is comprised of several applications and programs, each

having its own logging system. Log entries generated by different applications

are kept in separate storage systems. If a developer or administrator wants to

troubleshoot an issue that includes several applications, he/she would have to go

to different database systems or locations to collect the logs and correlate them

across the several requests. This is a tiresome process and if the environment is

auto-scaled, then troubleshooting an issue is inconceivable. This project aimed to

solve these problems by creating a Centralized Log Management System that

was capable of handling logs from a variety of sources, as well as to provide

services that will help developers and administrators better understand the

different affected environments. The deployed solution was developed using a


set of different open-source technologies, such as the Elastic Stack

(Elasticsearch, Logstash and Kibana), Node.js, GraphQL and Cassandra. The

Related Studies

The study of Roy Anupam (2018) entitled "School Management System"

(SCMS) stated that Education is the key to unlock the golden door of freedom.

After parents this is teacher who guides children to the path of success. At this

current age of education in most of the places Bangladesh is felled behind in

many expects. Among many reasons one is lack communication between

teacher and parents. SCMS will help to smoother and make it more effective by

sharing performance information about student on daily basis.

According to Romeo E. Balcita& Thelma D. Palaoag (2020) of their study

on "Integration of School Management Systems Using aCentralized Database"

(ISMSCD) School have different departments and offices with interrelated

functionalities that needs one’s cooperation in order to function well. Offices are

scattered across the campus and transfer of information is affected. The need to

build an integrated School Management System using a centralized database will

make school services of better quality. The need to integrate technologies like
barcodes, use of internet, video cameras, sensors and the use of a better

framework are needed to cope up with the changing needs of the society and in

providing quality school service. Thus this study aimed to build such system,

implement the system and identify the level of acceptability. Features of the

system include enrollment, assessment, report generation and providing decision

support module. The system is based from a standardized school management

framework derived from different existing school management systems. This is

under qualitative as well as descriptive research. Agile AWE model is used in the

project development. This is implemented in an institution that uses manual

process of school management. Manager, staff, teachers, students and guardian

will provide the needed system requirements and at the same time they will be

the respondents in getting the level of acceptability. Feedbacks are continuously

gathered and helps identify possible improvements. This system is beneficial to

institutions currently using manual process in their departments. This is a fully

functional and configurable system that will suit to the needs and surely provide

study on "Building a Framework for the Integration of SchoolManagement

Systems" (BFISMS) Modernizing school services with the use oftechnology

greatly influences its success. Schools are nowrequired to give the most efficient

services not only to thestudents but also to the students’ guardian or parents and

to itsemployees. School services that concerns with attendance,grades, fees,


security, tracking of students, files and reportgeneration. Students, parents,

teachers, staff, and the schooladministration all want a good quality service.

Building aquality system need a good quality framework. Thus this studyaims to

build a framework for the integration of SchoolManagement System. This study is

a qualitative research aswell as descriptive research. Literature review,

interviewing ofschool personnel and analysis of existing school

managementsystems successfully implementing such system were conductedto

formulate the framework of the study. Integration ofTechnologies like the use of

biometrics for attendance andsecurity, using mobile phones as a tool for

teaching,computerization of library system, computerization of studentgrading

system, computerization of faculty evaluation system,computerization of

enrollment system, computerization of dailytime record system, and providing

online services makinginformation queries availability anytime anywhere. The

onlineintegration widens School Management System services andextends

school operations. Furthermore, it also providesavailability of real-time up to date

information. Thus, building aframework for the integration of school management

systemscan give way for improving and providing an efficient schoolmanagement

assessment, providing studentreports, library management, student entry

According to Ferdous, Md: Rayhan (2020) of their study on“An Evaluation

of School Management System" School Management System is an all-inclusive

education management solution at the school level that seamlessly integrates

different departments of a school from classes, exams to the school events

calendar. As a powerful system, it brings parents, teachers, and students on a

common interactive platform. This study was done on the ShurjoMukhi Limited-a

school management system. ShurjoMukhi Limited is tied in with making and

envisioning a future they need to endure and desert. A future where

correspondence is as normal as chuckling, a future where framework power

doesn't rely exclusively upon charging our PCs, cell phones, or getting lights and

devices in our home. It's all about doing the necessary tasks like online banking,

online bill payment and internet shopping from mobile or laptop, which are as

easy and available as the sun on a bright sunny day. Modern business is

extremely complex due to changing customer preferences and tastes etc. all the

time for technical and high competition. So, every company should be of

international quality. We all know day by day all sectors of Bangladesh are going

to digitalize for these purposes we take the initiative to digitalize the education

system by providing the system. Using this system an institution can do their job

effectively and efficiently. By using this system they do their daily job online and

paperless way. ShurjoMukhi Limited has a strong point that not only helps the

market survive, but it also has weak points that can reduce the demand for its

products as well as improve the market. It also has some threats but also

Ghorpade Shabdali Santosh1 et. al (2022) conducted a study on "School

Management System" that School Management System plays a great role in our

country. Student is the main part of any school. In current system all activities are

done by manually. It is very costly. Every school face lot of paper work and

arising some difficulties to keep details of every student and also main problem is

waste of time. This problem solved by today’s technology. In today’s technology

reduce lots of paper work. One project manages school organization. In that

project if you want search detail of any student, we obtain easily detail just one

mouse click of that student. They provide an objective system for recording and

aggregating information and support the institution’s strategic goal.

THE PROBLEM

Statement of the Problem

This study aims to design and develop Web based School Log

Management System for Employees& Students of Bohol Northern Star College

Inc.

Specifically, to answer the following questions:

1. What is the profile of the respondents in terms of:

1.1 Age,

1.2 Gender,

1.3 Civil Status,

1.4 Educational Attainment,

1.5 Employment Status.

2. Assess the current process of the Web based School Log Management

System for Employee & Student of Bohol Northern Star College Inc. in

terms of:

2.1 data processing

2.2 data recording

2.3 data updating

2.4 data inquiry

2.5 data security; and

2.6 generating reports.


3. Design and develop Web based School Log Management System for

Employee & Student of Bohol Northern Star College Inc.

4. Test the proposed Web based School Log Management System for

Employee & Student of Bohol Northern Star College Inc.


SCOPE AND LIMITATION OF THE STUDY

Scope

The main goal of this study is to help the faculty and staff of Bohol

Northern Star College Inc. in tracking or knowing who are entering the campus

and ensuring everyone’s safety. Faculty and staff can access this system with

their browser application on their laptops or personal computer.

Below are the areas covered in this study along with their respective

definition and functions:

Dashboard Module

This module showed the homepage of the system.

Student Module

This module will be responsible for adding, updating deleting, and viewing

the student’s information.

Employees Module

This module will be responsible for adding, updating deleting, and viewing

the employee’s information.

Logs Module

This module showed the logs of students and employees.


User Module

This module will be responsible for adding, updating deleting, and viewing

the direct user’s information.

Limitation

The system is limited to develop of software that will take care of students

and employee’s login and logout of the school and keeping logs of the time they

enter and exit on the campus for Bohol Northern Star College Inc.

The project was covered the design and development of school

management system for Bohol Northern Star College Inc. using PHP as

programming language and My SQL as database (backend).

This system is only exclusive for Bohol Northern Star College Inc.
OBJECTIVE OF THE STUDY

This study aims to develop a Web-based School Log Management

System for Employees & Students of Bohol Northern Star College Inc. that will

help the establishment to monitor students and employee’s in and out of the

school and ensure the safety of everyone.

SIGNIFICANCEOF THE STUDY

The study aims to develop a system that can help the faculty and staff of

Bohol Northern Star College Inc. to monitor students and employees entering the

school.

The following will be benefited from the result of the study:

Bohol Northern Star College

If this system will be implemented this will be the first Web-based School

Log Management System for Employees & Student of Bohol Northern Star

College Inc.

Staff

Staff also benefited from this study because they can easily track the login

and out of the students and employees and print out the logs or records.

School Guard

The school guard will be also benefited on this study because he/she will

easily scan or type the ID of students and employee’s entering the school.

Researchers
The researchers are aiming to help Bohol Northern Star College Inc. in

monitoring the in and out of students and employees easily and hassle-free.

Future Researchers

This study may help future researchers to use this as a guide to their

study or enhance this system for the school. The researchers also recommend

that future researchers configure all of the features that a Web-based School Log

Management System for Employee & Student of Bohol Northern Star College

Inc. has.
RESEARCH METHODOLOGY

In this chapter, the proponent introduces the research strategy and

techniques in the research.

Research Design

The research design use for the study was a descriptive method. The

design is pondered descriptive because it allows the researcher to generate data

through standard collection procedures based on highly structured research

instruments and precise study concepts and related satiable.

Research Respondents

The main respondents of this study are the school president, school

president staff and school security guard of Bohol Northern Star College from

Poblacion, Ubay, Bohol. Eight (8) respondents are needed in this study and who

were surveyed. One (1) of the respondent is the school president and three (3) of

the respondents is the school president staffs and four (4) of the respondents are

school security guards. The respondent’s age range is from 20 to 70 years old.

Moreover, the study will only take place in Bohol Northern Star College.

Table I shows the profile of the respondents. The respondents are the

school president, school president staff and the school security guard which have

only one (1) school president, three (3) school president staff and four (4) school

security guards a total of eight (8) respondents.

Research Flow

The research flow in figure 1 illustrates how the researchers conducted

their study. It is composed of three parts namely: INPUT, PROCESS and

OUTPUT.

INPUT encloses the statement of the problem in which the research was

purposely conducted.

PROCESS refers to the method of collecting data being used, which was

direct interview and questionnaire method where data is copied, tabulated,

presented, analyzed, and interpreted.

OUTPUT indicates the recommendation based on the findings gathered

for implementation. As a result, the researchers seek ways to improve the

proposed project’s advancement and accessibility.

Research Environment

The Bohol Northern Star College Inc. was the site of the study. This is

located in Isaac Garces Street Poblacion, Ubay, Bohol. The Figure below

illustrates the location of BNSC.

The Bohol Northern Star Colleges or BNSC is a private non-sectarian co-

educational institution of higher learning in Ubay, Bohol,Philippines.The

institution is located at barangay Poblacion near the Catholic Cemetery. It was

established as the Bohol Northeastern Colleges in 1996. It is the only surviving

college to be established in the municipality of Ubay. Thus, it was converted into

Bohol Northern Star College, a stock corporation. In January 2007 to efficiently


administer the tertiary courses and for the secondary/grade school as the Bohol

Northeastern Educational Foundation. The emerging institution continues by

educating minds and molding noble hearts.

Research Instrument

The self-made questionnaire was used to gather the desired information

from the school president, school president staff and school security guard. The

researcher also conducted an interview with the school president, school

president staff and school security guard in Bohol Northern Star College to

gather supplemental information on items undecipherable in the questionnaire.

Research Procedure

The researcher submitted the project proposal to the school head of Bohol

Northern Star College for approval. After the approval was granted, the

researcher interviewed the BNSC school president, school president staff and

school security guard for additional information. Then the researchers personally

distributed the questionnaire to the 8 respondents and giving them enough time

to answer the said questionnaire efficiently. Afterwards, the researchers collected

the answered questionnaire from the respondents and recorded their responses

with sensitivity, unbiased and treated with strict confidentiality.


The data gathered were tabulated, interpreted, and analyzed to establish

the simple percentage of computation

DEFINITION OF TERMS

To give a clear medium of communication between the proponents and

the readers, the following terms are defined conceptually and operationally:

School Log Management System

Is a software solution that gathers, sorts and stores log data and event

logs from a variety of sources in one centralized location.

Bohol Northern Star College
