INTRODUCTION
This report is based on the internship of a gym, health club. Done
by ASHOK P K of BPE 4th year student of university of Calicut, in
the topic of Gym and health club management

Gym – A Place for a Workout


Gym, short for gymnasium (a term coined by the Ancient Greeks),
is actually one of the world’s oldest establishments with deep
historical roots. In its origins, gyms were not just about promoting
physical fitness, but education as well. Ancient Greeks used gyms
to practice various sports, engage in physical therapy, and to
study. In fact, many gyms in ancient times had libraries as well.

Today, modern gyms tend to be a place for indoor workouts with


free weights, fitness equipment and cardio machines provided.
Some gyms have a specialty focus, like boxing or Pilates, while
others keep it simple and stick to free weights and cardio machines
only. Most gyms will have personal trainers available, but not as
many group fitness classes as a health club or fitness centre.

Fitness Centre – A Place for Full-body Fitness


Fitness centres typically occupy more space than a gym because
they tend to provide both indoor and outdoor physical activities—
for example, a pool, running track or golf course. Broadly
speaking, fitness centres provide the same machines, free weights
and equipment as a gym, but they also offer a larger array of
amenities, group fitness classes and certified staff.

Fitness centres usually focus on whole-body health and house


additional amenities like saunas, steam rooms, physical therapy
and snack bars. Most fitness centres will also have personal
trainers and nutritionists available to educate customers on how to
use the equipment, or how to design a meal plan best suited for
achieving their fitness goals.

Health Club – A Place for Body & Mind


The health club concept was first introduced to the U.S. in Santa
Monica in the 1940s, though they actually began in France in the
1840s. Generally speaking, a health club is more similar to a
fitness centre than a gym because the focus is on whole-body
wellness rather than just physical fitness.

Health clubs typically comprise all the characteristics of gyms and


fitness centres because they offer certified staff with personal
trainers, individual and group fitness classes, a variety of
equipment, an array of amenities (pool, steam room, sauna, etc.),
and space for sports like tennis, basketball and volleyball. Many
health clubs even offer recreational areas with restaurants, juice
bars, music and more.

If you’re considering joining a gym, fitness centre or health club,


it’s best to look past terminology alone and choose a facility that
best meets your health and fitness goals, budget and personality.
You may want to visit a few facilities to ask for a tour so you can
see what they offer first hand and get a better feel for the culture.

opportunities for every person to be successful.

OBJECTIVES OF
MANAGEMENT IN GYM &
HEALTH CLUB
1. Member Management
A key objective of gym management systems is to simplify the
entire member management process. The bloodline of any health
club is a happy and sustained membership base. You can break the
objective of member management into two categories: acquisition
and retention. Gym management software should help you both
market your business to new gym members and retain those you
already have. Using gym software for member management will
simplify all aspects of the process, such as check-ins, online
registration, payments, and database management.

2. Gym Scheduling and Class Bookings


You should be able to easily schedule classes and manage all
bookings and any other events you’re hosting. A gym
management system should link class bookings to your client-
facing app so that your members can manage their classes and
book time slots with their favorite instructor both online and
offline. When investing in gym software or upgrading your
existing system, this is a non-negotiable feature that will add to
your value offering. Over time, it increases your member retention

and attracts more customers who expect flexibility and complete


convenience.

3. Manage Billing
Managing a gym tends to involve a ton of administrative tasks like
contracts, invoices, billing, membership cancellations, and
payments. Gym management software should consolidate all
billing management into one location. When you can see an
overview of your gym’s finances, it can ease stress and save money
in the long term. Finding out how to get the most out of your gym
management software will mean that you can use it throughout
the member journey. It will help cover everything from creating
and signing contracts to automated billing and membership

By using your gym management system for email marketing, you
can keep clients engaged. Automation and personalization are key
to increasing engagement while at the same time easing the
number of resources you need to run email campaigns. Segment
your audience and target your email list with content that is
relevant and valuable. You can create monthly newsletters,
nurturing campaigns, or send out quick updates whenever you
need to inform your members of your latest news.

6. Data-Driven Decision Making


A modern business needs to make data-driven decisions. If you
want to succeed in the digital era, leverage your data. You have
never had access to more data than you do right now. When
organizations realize the full power of data, they can make better
decisions every day. That means increased efficiency, speed, and
quality of service. Collecting, understanding, and reporting data
are all very different stages. You can’t justify a higher budget or
readjust your class schedule if you don’t understand the data.
That’s why it’s important that the proposed system can provide
reports across the business in an easy-to-digest format.

7. Financial Insights
To make well-informed financial decisions, you need to know the
inner workings of your business. A gym management system can

offer you financial insights by producing reports and tracking your


cash flow. It’s essential that you know how much money is
coming in and out of your business, whether that’s monitoring
multiple revenue streams or knowing the recurring revenue
coming in every month. No need to compare confusing
spreadsheets using a manual system; your management software
should produce clear reports that allow you to track all
transactions easily. When you have access to better insights, it
takes the guesswork out of a lot of decisions. You’ll have the
information you need to make the best decisions for the business
and drive growth.

8. Improve Member Experience


An incredible member’s experience is an essential part of running
a successful fitness business. You could have great equipment and
an impressive facility, but it’s your member experience that will set
you apart from the competition. It’s what makes your business
unique and retains members over time. To create the best
experience possible, it’s important to streamline the customer
journey and empower your members. That means booking,
paying, and interacting with your brand should be as easy as
possible. Members need to be able to book classes, pay for
memberships and manage their gym schedule. Without this, the
member experience will suffer. Nowadays, consumers expect a
tech solution to streamline the ongoing relationship with your
business.

Reduce Costs
Putting your time and resources into the right part of the business
can reduce time-wasting and costs. Administrative tasks take up a
lot of time for gym owners and managers. A gym management
system should free up a lot of time so that your team can focus on

what they do best; selling gym memberships, creating a great


member experience, and producing fantastic member results.
When you make decisions driven by data, you will likely invest
your money and time much more effectively.

EXISTING SYSTEM OF GYM


MANAGEMENT SYSTEM
In the gym management system, if we take the current system and
compare it with the proposed it is far behind. Every work in the
existing is manual and done on paper. There might be a computer
used somewhere for the work but it’s is not doing exactly what it’s
is supposed which is reducing the manual work.

Entering everything manually to the computer by creating a file is


not exactly what we are talking about in computerization. The
existing system requires a lot of manual work which results in
taking more time than it should. The operations like updating and
synchronizing data are also done manually in the existing system
that is not automated and again time-consuming process.

These practices are not at all reliable as the one wrong entry can
take a lot of time in detection and then there is a correction.
Humans are prone to errors and can mistakes often unless it has
some inbuilt programs which can take check the input and save
from error. We introduced the system to reduce the manual work
effectively as there is the backend of the system which will take
care of synchronizing and updating the data for the system.

So, if there is any change in the system data it will appear to all
other users of the system. As the system was not online the
member cannot see their timeline that the event generated by them
in past such as fee payment, attendance, batch timing, and trainer
profile, etc. Keeping an automated system is also helps in
managing the member’s information secure and safe.

As it can only be seen by the administrator with the correct


credentials which is not an option in the existing system. Unless
the records are kept in a physically safe location such as a locker.

Some major drawbacks of the existing system

▪ Required a lot of paperwork and the process takes time.


▪ Everything is done on paper and these are highly prone to
damages and require a good amount of security and space to
store.
▪ Required Buying of goods more frequently as compared to
the online system e.g.: paper, pen.
▪ Likely to have an error.
▪ Lack of storage space for handwritten documents.
▪ Require more physical work and manpower.
▪ Information is not available globally to both clients and
employees hence location restriction.

ATTRACTING CLIENTS
Invest time in social media
Print media still has its place in the world of marketing and
advertising, but social media is hot, hot, hot. Be present and active
in your social media networks. This means you have to do more
than check the feed and hit “like.” Take time to comment, pose a
thought-provoking question, offer another perspective and share
your experience. Find out what social media networks our target
market uses, and share tips, tricks and methods for achieving
health goals.

For that we have created an Instagram account name’s “ABSalute


MILO” by this account we have shared such a valuable
information and tips that’s helps for client’s fitness goal, through
this account we can find more clients and provide fitness sessions
one-to-one classes online

Create referral reciprocity


It is perfectly acceptable to tell current clients that you would
appreciate their referral to others who may be seeking the services
of a health coach or exercise professional. Additionally, your
client list will likely include a wide variety of professionals. Refer
those professionals to others and build your referral reciprocity.
Also, don’t forget to create a client loyalty program. This helps
you demonstrate your continued appreciation for their
commitment to you as their trainer and for the referrals they
provide.

Investigate the academic programs offered by


community colleges, technical institutes and/or
universities in or near your community
Seek out the appropriate point of contact—usually a program
coordinator, director or dean—and inquire about adjunct teaching
opportunities for health and wellness (this is often a general
education requirement at many schools), exercise science,
personal training prep courses, human anatomy or other physical-
activity courses. This is an excellent way to network and build
your professional resume. It’s important to note that accrediting
agencies for institutions of higher learning usually have a
minimum degree requirement (often times a bachelor’s) to teach
certain classes. Be sure to ask this information during your
research.

Provide mini-workshops/lunch-and-learns to local


businesses
Employee wellness is sometimes considered a luxury and not a
priority. Make connections with local business owners at after-
hours business gatherings or other events and inquire about
providing short (30-45 minutes) workshops to employees over the
lunch hour or online via podcasts or webinars for a minimal cost.
You most likely will not make a large amount of money (unless

employee wellness is popular in your location), but that isn’t the


point. The point is to build your network, get your face out in the
community and recruit new clients to take advantage of your
professional services.

Reach out to local high schools


Depending on your geographic location and budgetary
constraints, many high schools do not have the ability to employ a
full-time strength and conditioning coach for their athletes. This
may be a perfect platform to market your services while still
providing a necessary service to young athletes aspiring to enhance
their performance.

Incorporate testimonials in marketing efforts


Testimonials from current and past clients go a long way in
elevating your professional profile and attracting new clients.
Word of mouth—if it’s positive—is often the best form of
advertising. You can use testimonials on your website or
strategically place them in informational material such as
brochures, rack cards or other print media.

Offer special pricing deals


This rule never seems to wear out its welcome. People are always
in search of the best deal or the most economically balanced
option. Do some market research in your area and find out what
others are doing and then do it better and in your own unique
way. For example, offer a 25% discount on the first five sessions.
Offer to perform discounted or free assessments every quarter or
create special pricing during holidays or special events. You could
even organize an event such as a St. Patrick’s Day 5K or Mom-
Daughter specials.

Record TED Talks or Podcasts


People often turn to the internet to find answers to their questions.
Why not create quality online resources for people to benefit and
learn from? Consider using a platform like YouTube to upload a
TED talk or record a podcast or series of podcasts. Udemy is
another online learning platform that is easy to use and has a
financial benefit to the professionals who create “classes” or
“lectures.”

The blog world is active and popular


Consider incorporating a blog into your current website. Blog
posts do not have to be long to be interesting or informative. Keep
in mind that a large percentage of the population will search for
and read information on mobile devices. Keeping posts short and
easy to read captures attention more effectively.

Be visible in your community


It’s the community members you serve. Find ways to not just be
present in the community, but involved on an active level. Join a
non-profit board, volunteer or join the local chamber of commerce
or other business organization to support and enhance your
marketing efforts.

Whatever strategy or combination of strategies you select for how


to get clients as a personal trainer, don’t forget to develop an
overall marketing plan so that you can budget for the more
expensive efforts. Remember to revisit and revise this plan as time
passes so that you can remain current and creative in your
approach.

Benefits of physical education in Gym & Health club


As we know, education, particularly school education, aims at the
holistic development of children. It provides students with
opportunities to grow and develop as adults to be useful for the
society. It is important for us to know that one of the most
important requirements for growing into healthy adulthood is the
physical growth which supports cognitive development.
When it’s come to gym & health club the main objective is to help
client’s to achieve their fitness goal, for this I used the general
sports training and nutrition that we have already learned form
physical education, and much more from sports medicine and
corrective physical education to assessment and fixing of
deformity.
And it is very helpful to handle client’s by knowing the psychology
of human and communicate well by understanding their physical
and mental health as well as their problems.
